How <strong>to</strong> Provide Feedback or Make a Complaint<br />

If you are unhappy <strong>with</strong> any aspect of a service which you receive, it is always<br />

best <strong>to</strong> speak <strong>to</strong> the person in charge of the service. It is in everyone’s best<br />

interest <strong>to</strong> resolve the problem as quickly as possible. Many problems can be<br />

resolved at this stage.<br />

Organisations also appreciate feedback when you are happy <strong>with</strong> a service.<br />

Knowing what works well is just as important as knowing when things go wrong.<br />

However, the following tips can help you be effective in your complaint:<br />

• Complain in person if possible, and follow it up in writing, rather than just<br />

telephone.<br />

• Always be polite – rudeness will get you nowhere.<br />

• Complain quickly, or you may lose most of your legal rights.<br />

• Know your rights – don’t be fobbed off <strong>with</strong> excuses.<br />

• Keep the evidence. Don’t throw away receipts. Send letters by recorded<br />

delivery, or ask <strong>for</strong> a certificate of posting from the post office.<br />

• Keep cheerful. A polite but assertive letter is more likely <strong>to</strong> be taken<br />

seriously than a nasty one.<br />

• Take your complaint <strong>to</strong> the <strong>to</strong>p if necessary – if you’re getting nowhere<br />

<strong>with</strong> an assistant, ask <strong>to</strong> see the manager or <strong>to</strong>p person.<br />

• Don’t get involved in personal rows. Letters are better because you can<br />

plan what <strong>to</strong> say and you’ve got a record of it.<br />

When writing your letter of complaint, stick <strong>to</strong> the facts and try <strong>to</strong> set them out in<br />

a logical sequence. Don’t be tempted <strong>to</strong> make claims <strong>for</strong> which you have no<br />

evidence or proof.<br />

• Make sure you write <strong>to</strong> the correct address.<br />

• Make sure you provide your full contact details.<br />

• Include copies (not originals) of any supporting paperwork.<br />

• Quote any relevant patient/client reference number.<br />

• Mention dates, incidents, and all the relevant circumstances. Stick <strong>to</strong> the<br />

facts as you see them.<br />

• Be clear about what you want the organization <strong>to</strong> do <strong>to</strong> put things right.<br />

• Set a realistic deadline by which you want the matter <strong>to</strong> be sorted out, and<br />

stick <strong>to</strong> it.<br />

card <strong>to</strong> confirm you wish <strong>to</strong> make a <strong>for</strong>mal complaint).<br />

<strong>NHS</strong> <strong>Grampian</strong> accepts that sometimes things can go wrong and the aim of the<br />

<strong>NHS</strong> complaints procedure is <strong>to</strong> give you a quick and thorough response <strong>to</strong> your<br />

complaint by those who know most about your care. If <strong>for</strong> any reason, you would<br />

prefer not <strong>to</strong> speak <strong>to</strong> a member of staff, you can contact a member of the<br />

Feedback Service about making a complaint.<br />

Independent Advice and Support Service<br />

If you would like independent advice regarding your concerns about any of the<br />

<strong>services</strong> provided by <strong>NHS</strong> <strong>Grampian</strong>, you can contact the Independent Advice<br />

and Support Service (IASS)provided by Citizens Advice Bureau.<br />

The IASS is part of the Scottish Citizens Advice Bureau (CAB) Service and is<br />

funded by <strong>local</strong> <strong>NHS</strong> Boards.<br />

The CAB service is free, confidential, independent and impartial. The<br />

Independent Advice and Support Service in <strong>Grampian</strong> is operating at these CAB<br />
