At the time of submission, two (2) identical, single-sided paper copies of the original application and<br />

one (1) CD containing appendix material (if allowed for the <strong>NCTN</strong> key component) must be sent to the<br />

address listed below. Please Note: One of the two copies of the application sent to the <strong>NCI</strong> Referral<br />

Office may be a CD with a bookmarked PDF file (as outlined in the PHS 398). All appendix material (if<br />

allowed for the <strong>NCTN</strong> key component) must be prepared as bookmarked PDF files on a CD following<br />

the instructions in the PHS 398 form.<br />

D. Appendix Material for All Key Components of the <strong>NCTN</strong> <strong>Program</strong><br />

Per the NIH/<strong>NCI</strong> policy on what may be submitted as appendix materials<br />

(http://grants.nih.gov/grants/guide/notice-files/NOT-OD-10-077.html), the information provided<br />

below specifies if appendix materials are allowed as part of the application for the key component<br />

of the <strong>NCTN</strong> <strong>Program</strong> as well as the type of appendix material that may be included. All appendix<br />

materials for paper applications submitted on the PHS 398 form must be submitted as book marked<br />

PDF files on CDs. A summary listing of all the items included in the appendix is encouraged but not<br />

required. When including a summary, it should be the first file on the CD.<br />

Follow the standard instructions for preparing the CDs:<br />

� Use PDF format only. The files should prepared as PDF version no higher than 1.4 for<br />

compatibility with NIH programs and software.<br />

� Where possible, applicants should avoid creating PDF files from scanned documents. NIH<br />

recommends producing the documents electronically using text or word-processing software<br />

and then converting the document to PDF format. Scanned document images should be<br />

checked for legibility.<br />

� Label each disk with the date, Principal Investigator’s Name, Grant Number (if available),<br />

grant title, and applicant institution.<br />

� If burning CD-ROM disks on a Mac, select the ISO 9660 format.<br />

� Do not use compression techniques for the electronic files.<br />

� Do not use password protection, encryption, digital signature and/or digital certification in<br />

the PDF files.<br />

Applications for key components of the <strong>NCTN</strong> <strong>Program</strong> are scanned by central NIH offices to produce<br />

black and white images and black and white double sided copies for the reviewers. Figures in the<br />
