Invitation by the 

EMCTO Scientific 

Committee 

The European Society for Medical Oncology (ESMO), 

the European Society for Therapeutic Radiology and 

Oncology (ESTRO), the European Society of Thoracic 

Surgeons (ESTS) and the European Respiratory 

Society (ERS) have identified the need to cooperate 

in the education of healthcare professionals treating 

malignant chest tumors. 

A regular multidisciplinary, educational meeting 

on this topic is considered important for 

strengthening general knowledge and providing 

an updated overview of prevention, screening, 

diagnosis, treatment modalities and results of 

translational research. This Conference will facilitate 

interaction between the specialities in order to 

promote an integrated approach to diagnosis 

and treatment of chest tumors and to strengthen 

European cooperation and scientific exchange in 

multidisciplinary management of lung cancer. 

Young oncologists at the start of their careers 

are particularly encouraged to participate in the 

Conference. Whilst the educational sessions will 

address multidisciplinary treatment options with 

clinical relevance, abstract submission will provide 

an excellent scientific opportunity for interaction 

and discussion with world-renowned experts in the 

field of lung cancer.

General information 

Venue 

The event will be held at the Palazzo dei Congressi, 

Lugano, located close to the city center. 

Official language 

The official language of the conference is English. 

Translation to other languages will not be available. 

Participants 

More than 500 specialists in thoracic oncology are 

expected to join this program. 

Abstract submission 

Abstract submission will be available online from 

November 2008. Abstracts accepted for presentation 

will be scheduled in poster discussion and poster 

display sessions. 

Accommodation 

Accommodation in Lugano is available in all hotel 

categories. 

Airport transfers 

Amiconi Consulting offers the possibility to organize 

transfers from and to the airport of both Lugano (10 

km) and the international airports of Milan, Italy (70 

km). 

Passport / visa 

A valid identity card is sufficient for entry into 

Switzerland for citizens of EU member countries.

Insurance 

The organizers bear no responsibility for untoward 

events in connection with, before, during and after 

the Conference. Participants are strongly advised

Travel grants 

Travel grants are available for oncologists under 

the age of 40 and will be awarded by the EMCTO 

Scientific Committee on the merits of abstracts 

submitted to the conference. For further information,

The program of this event will be: 

• Accredited with ESMO-MORA category1 points; 

• Submitted for CME accreditation to the ACOE

Cancellation refund policy 

Refund of the registration fee (minus e 100 for 

administration costs) will be granted if notification 

of cancellation reaches the EMCTO Conference 

Secretariat in writing before 25 March 2009. After 

this date cancellations will not be refunded. Refunds 

by bank transfer or to a credit card will be processed 

after the Conference. 

The registration fee includes:

Confirmation of registration 

Confirmation of registration will be sent to all 

pre-registered participants by mid-April 2009. 

The confirmation is the only official document that 

certifies registration and this document must be 

shown on-site in order to receive the Conference 

registration material from Friday 1 May 2009. 

Badge 

Once the participant has received his/her badge, the 

badge is the only official evidence of registration. 

Please note that participants not wearing their badge 

do not have access to the conference. Loss of badge 

is loss of registration and a new badge will only be 

issued upon payment of the fee on a pro-rata basis. 

Important information for participants 

registered as part of a group 

Please note that if a participant is registered in the 

group registration procedure, the group leader may 


instruct the EMCTO Conference Secretariat to send 

the confirmations for each group member directly to 

the group leader and not to the individual participants. 

The leader may then collect the participants’ 

registration material on-site. Should the individual 

wish to collect his/her own material, he/she is kindly 

requested to contact their group leader. In all cases 

registration material will only be given in exchange 

for the original confirmation of registration. 

Mailing list 

During the registration process participants may 

inform the EMCTO Conference Secretariat if they 

wish to be excluded from the general mailing list. The 

general mailing list will be made available to entities 

other than EMCTO (pharmaceutical companies, 

publishers, other scientific societies) for pre- and 

post-Conference mailings. Exclusion from the 

mailing list does not prevent the participant from 

receiving all EMCTO-related correspondence and 

announcements. 

Exhibitors 

Owners, representatives and employees of exhibiting 

firms will have the possibility to request an unlimited 

number of ‘exhibitor’ badges free of charge through 

the exhibitor’s manual and the online registration 

system. The ‘exhibitor’ badge authorizes access to 

the Exhibition and Industry Satellite symposia but 

does not authorize entrance to the scientific activities 

and functions of the Conference.

Abstract Submission Call for Abstracts 

Regulations 

1. By submitting an abstract intended for presentation 

at the European Multidisciplinary Conference in 

Thoracic Oncology (EMCTO) 2009, the author/s 

warrant that any material which has been previously 

published in any publication in peer-review setting 

or presented at a meeting of any other scientific 

organization prior to the European Multidisciplinary 

Conference in Thoracic Oncology 2009 has been 

reworded and/or updated. 

2. Abstracts submitted after the deadline or 

containing infractions of the following rules will be 

rejected and returned without consideration by the 

Scientific Committee. 

a) The first author (underlined in the list of authors) 

is the presenter and will be notified the abstract’s 

outcome. The presenter (= first author) may, but does 

not need to be, a member of the organizing societies. 

b) The presenter will have the opportunity to 

designate another presenter, provided that the 

replacement is given within 24 hours from notice. For 

each replacement, the presenter will be charged with 

the amount of EUR 50 for administrative costs. 

3. With the submission of an abstract, the authors: 

a) Release the copyrights to the European 

Multidisciplinary Conference in Thoracic Oncology. 

b) Give their permission for the EMCTO Conference 

Secretariat official recording service to record their 

presentation at the European Multidisciplinary 

Conference in Thoracic Oncology 2009 for multimedia 

coverage and release or sales to attendees and 

EMCTO members. 

c) Confirm that all authors are aware of and agree 

to the content of the abstract and support the data 

therein. Furthermore the presenter will be responsible 

for obtaining, and, upon request, showing proof 

that all authors have given their permission for the 

submission of the abstract and content therein. 

d) Certify that the study reported in the abstract will 

not be presented as such during the Conference at 

any industry-related satellite symposia and that no 

connection exists with the part of the Conference 

organized by the industry. 

4. The Scientific Committee has mandated that the 

presenter and authors must identify any financial 

interest in products or processes involved in their 

research. This includes stock ownership, membership

on an advisory board or board of directors, 

corporate-sponsored research, or other substantive 

relationships. This information will be forwarded to 

the Scientific Committee, together with a copy of the 

abstract(s). 

5. The presenter of a clinical study must be an 

investigator involved in the study. 

6. The European Multidisciplinary Conference in 

Thoracic Oncology 2009 will offer poster discussion 

and poster display presentations. Detailed instructions 

for the preparation of posters will be mailed along 

with scheduling notices. 

7. No-show Policy 

The abstract’s first and presenting author who, 

without notice, is absent during the session when his/ 

her abstract is presented will be barred from having 

abstracts accepted for the following two EMCTO 

Conferences. 

Travel grants 

A restricted number of travel grants to the Conference 

will be available. Selection of the grant receivers will 

be made by the Scientific Committee on a competitive 

basis from among the accepted abstracts submitted 

by candidates aged 40 years or younger. 

To apply for a travel grant the following documents are 

to be received by the EMCTO Conference Secretariat, 

together with a copy of the abstract, by the abstract 

deadline of 14 January 2009: 

1. letter of introduction by the applicant; 

2. proposed abstract (the applicant must be the first 

author and presenter); 

3. readable photocopy of either identity card or 

passport; 

4. short curriculum vitae (2 pages maximum). 

Incomplete applications will not be considered. The 

EMCTO Conference Secretariat will provide the grant 

receivers with a travel subsidy, accommodation and 

Conference registration. The grant receivers will be 

asked to submit a written report on their participation 

to the Conference within four weeks after the event. 

Instructions 

1. Authors failing to give all information required in the 

online submission system will not have their abstract 

considered by the Scientific Committee.

2. Authors must select the category of their abstract 

and provide up to 4 key words (different from 

the category). The Scientific Committee has the 

authority to re-categorize the abstract and/or to 

select different keywords. 

3. Authors must select their choice of presentation 

(poster discussion or poster display). The Scientific 

Committee will make every effort to honor this 

request if the abstract is accepted for presentation; 

however, the final decision will be left to the 

Committee’s discretion. 

4. The authors may select the option that if the abstract 

is not accepted for presentation (poster discussion or 

poster display), the abstract is to be withdrawn from 

publication in the Abstract Book. Requests made after 

submission of the abstract will not be considered. 

5. The full first name, initials of middle names, full 

family name, complete mailing address, E-mail 

address, phone and fax numbers (in the presenter’s 

section, not in the authors’ list) of the presenter must 

be provided. 

6. The title of the abstract should include significant 

words that reflect the content of the abstract and be 

typed in upper case. Names of cooperative study 

groups should appear in the title, as they will not 

be reported in the author index. Abbreviations may 

be used in the title and text of abstracts if they are 

defined. Spell out the term in full at its first mention 

and follow with the abbreviation in parentheses. 

Particular care should be taken to identify complex 

chemotherapeutic regimens. 

Compounds should be mentioned with the 

generic name in lower case. Commercial names 

are admitted in the text, with the ® symbol, and if 

in brackets following the generic name, i.e. ‘generic 

(Commercial®)’. Commercial names may not be used 

in the title of the abstract. 

7. The list of the co-authors must follow (full first 

name with initial(s) of middle names and family 

name). The number of authors listed is limited to 10. 

Their institutional affiliations, cities and countries 

will follow. Mailing addresses and academic 

degrees should not be mentioned. For names of 

study groups, please see point 6 above.

8. Abstracts should adequately describe the 

objective and results of the research. Each abstract 

should contain an introductory sentence indicating 

the purpose of the study; a brief description of 

pertinent experimental procedures; a summary of 

the new, unpublished data; and a statement of the 

conclusions. 

9. The character limit for all submitted abstracts is 

2,000 excluding spaces. This limit includes characters 

entered in the title, abstract body and table fields 

(default of 225 characters per table) but not the 

author names and institutions. 

10. Illustrations are not permitted. Brief and clear 

tables are accepted. 

11. Careful typing and proofreading is essential. If 

accepted, the abstract will appear in the Abstract 

Book as submitted. Errors, misspellings, incorrect 

hyphenation and deviations from the use of good 

English will be glaringly apparent in the published 

abstract. Once the abstract is submitted, changes, 

corrections or rewording will not be possible. 

Presenters are requested to devote the necessary 

attention to language in order to avoid deviations 

from the use of good English. The Scientific 

Committee reserves the right to reject abstracts 

which are presented in poor English or to request an 

immediate revision by the presenter. 

12. Supplementary data (such as manuscripts) will 

not be accepted. If submitted, supplementary 

documents will not be forwarded to the Scientific 

Committee. 

13. The presenter must indicate if the abstract is 

sent in association with an application for a travel 

grant. Please note that abstracts submitted without 

a complete application will not be considered. Travel 

grant application documents may be sent by fax to
