B3.3. Resources to be committed<br />

<strong>The</strong> total costs indicated on form A3 are € 4,894,600 (EU contribution € 2,447,300) composed of<br />

- personnel costs € 3,024,000 (62.5%) representing 812.5 person/months,<br />

- subcontracting € 256,000 (5%),<br />

- other costs € 667,400 (13.5%),<br />

- overhead € 907,200 (19%).<br />

Other Costs consist of € 165,900 travel costs and € 501,500 equipment costs.<br />

a) <strong>The</strong> travel costs are approximately € 15,000 per <strong>part</strong>icipant. We have planned four general meetings, at<br />

which all <strong>part</strong>ners will be present and at which delegates from the European Commission will also be invited to<br />

<strong>part</strong>icipate – these include one kick-off meeting, two general meetings at the end of the first two project years<br />

respectively, and a final meeting at the end of the project. <strong>The</strong> locations for these meetings are foreseen to be<br />

Vienna (coordination), Valencia, Copenhagen, and Rome. General meetings serve to present the progress of our<br />

work to the Commission, to discuss management issues (financial, administrative, communicational,<br />

monitoring), to work out technical and scientific issues, and to plan future steps. Additionally, they represent<br />

opportunities to disseminate the work being done, either locally or internationally (which will be accomplished<br />

by inviting speakers as well as having potential users of our output <strong>part</strong>icipate the public portions of the<br />

meetings).<br />

<strong>The</strong>re are 4 to 9 scheduled work-package meetings. <strong>The</strong>ir number will depend on the specific requirements of<br />

the tasks in each work package.<br />

Most of the masterpieces to be digitised in the project are unique works of great value that are extremely fragile<br />

as well as light sensitive. For this reason they must be handled with great care and require special equipment<br />

that has been expressly designed for recording this type of object.<br />

Many of the objects involved are so valuable and fragile that moving them out of house for scanning would be<br />

expensive if not even risky for reasons of potential damage to the pieces. Sharing of scanning equipment is<br />

therefore in most cases non-feasible.<br />

Equipment needs are very different for the various <strong>part</strong>icipants. Some institutions, like IVCR and ICPAL, are<br />

equipped with adequate scanning equipment, but others are not. For this reason, two <strong>part</strong>icipants, the WRM and<br />

the SMK, need appreciably higher budgets.
