ALCOHOLIC BEVERAGE POLICY: It is the policy of Northwestern University to not bring<br />

alcoholic beverages on the premises unless the alcohol is provided by a licensed caterer.<br />

Events with alcoholic beverages must be served by a licensed bartender provided by<br />

Northwestern Catering. All personnel servicing a bar have completed the Illinois Basset<br />

Alcohol Certification Program. All beverages are to remain within the facility. Unconsumed<br />

beverages will remain the property of Northwestern Catering (Compass), in accordance<br />

with the laws of the State of Illinois. Northwestern Catering reserves the right to refuse<br />

service of alcoholic beverages to any persons. All orders for bar service with alcoholic<br />

beverages must also request food.


Catering Order Cut-Offs<br />

To ensure optimal selection and the best possible service,<br />

please book events at least seven business days in advance.<br />

Catering requests received less than seven days out will be<br />

accommodated to the best our abilities. An additional labor<br />

charge may be incurred if order is within 72 hours of delivery<br />

time and confirmed due to current labor rules pertaining to<br />

the Chicago’s Fair Work Week Ordinance.<br />

EMS On-line Orders<br />

Orders put into EMS directly by the booking client will be<br />

reviewed and approved by NU Catering. Additional costs may<br />

be incurred based on the event style and added to the event<br />

order. The updated event order will be returned to the booking<br />

client for approval prior to execution.<br />

Meeting Room Reservations<br />

All catering requests must be accompanied by a meeting<br />

room reservation number.<br />

Guest Counts/Confirmation<br />

All guest count confirmations must be sent three business days<br />

prior to the event. Any count change closer than three days<br />

will be accommodated when possible. Orders are not<br />

confirmed without an approved and signed BEO.<br />

Billing/Payment<br />

Form of payment (chart string, credit card or check) is<br />

required at time of booking and to confirm your order. Checks<br />

must be received (5) five days prior to event date for the total<br />

amount of your event. Credit cards will be imposed a 3%<br />

processing fee and will be charged five (5) days prior to the<br />

event date. Orders are not confirmed without payment<br />

information.<br />

External Catering<br />

A service charge of 30% will be added on to all external<br />

catering requests. Tables and cloths will not be provided with<br />

external catering orders even if they are above the Food &<br />

Beverage Tables minimum policy.<br />

Special Diets<br />

All special dietary requests must be made when placing<br />

the order. Diners requiring more information can talk to<br />

an onsite manager.<br />

All food - allergic individuals must be aware that NU<br />

Catering handles and prepares egg, milk, wheat,<br />

shellfish, fish, soy, peanut and tree nut products, sesame<br />

products and other potential allergens in in the<br />

production areas of our facility.<br />

Cancellation<br />

Cancellations and charges will follow these guidelines:<br />

Five days or more prior to catering request – no charge*<br />

Four days prior – 25% of total confirmed catering costs *<br />

Three days prior – 50% of the total confirmed catering<br />

costs*<br />

Two days prior to catering request – 75% of total<br />

confirmed catering costs*<br />

24 hours or less – 100% of the total confirmed catering<br />

costs<br />

Specialty items unique to your event may be paid at 100%<br />

depending on the time frame of cancellation.<br />

*Labor may be charged to be in compliance with Chicago’s<br />

Fair Work Week Ordinance.<br />

Food & Beverage Tables<br />

A food and beverage minimum of $200 must be met before<br />

food and beverage tables are included in the price of the<br />

food and beverage. Table drop-off with cloth is 27.50 per<br />

table.<br />

Set-Up and Staffing<br />

Service staff costs will be applied to events where personnel is<br />

needed on-site during the event. Events utilizing china will<br />

always require on-site service staff. All service staff requires a<br />

four-hour minimum per industry standard. NU Catering will<br />

determine the amount of service staff required for an event.<br />

Weekend events will require an additional labor charge.<br />

Events where culinary staff is needed on-site, including passed<br />

hors d’oeuvres, plated meals, action stations, etc. will incur<br />

Culinary Staffing charges.<br />

Drop-Off Catering<br />

Drop-off catering includes food ordered in boxes and bags<br />

that do not require staff to return to the drop-off location to<br />

pick-up buffet ware/equipment. Drop-off catering will not<br />

require set-up or staffing fees.<br />

Removal<br />

Pick-up times at the end of an event cannot always be<br />

guaranteed. Booking clients must communicate and prearrange<br />

with the sales team when exact pick-up times are<br />

required.
