Receive PPI <strong>Mail</strong> from the customer<br />

Is PPI in sealed labelled mailbag and has the Sales Order Form<br />

been given to you?<br />

For Priority <strong>Mail</strong>, see note below*<br />

YES<br />

ACCEPT, date-stamp and record<br />

the number <strong>of</strong> bags on the Sales<br />

Order form. Scan the form on<br />

Horizon (Business Suite, PPI <strong>Mail</strong>s<br />

Acceptance) and keep separate.<br />

Hand the sealed bags and Sales<br />

Order Form to Collection Officer.<br />

NOTE:<br />

*Priority PPI should be presented<br />

loose or in an unsealed bag<br />

with a sales order. Scan through<br />

Horizon as prepaid and keep<br />

separate for dispatch with<br />

your priority Royal <strong>Mail</strong> items.<br />

If PPI ‘Signed for’ is presented process<br />

through Horizon as prepaid and<br />

give back to the customer who<br />

must seal the bag at the counter<br />

and hand over the sealed bag with<br />

a Sales Order Form.<br />

Politely REFUSE<br />

and return to customer<br />

NOTE:<br />

UNATTENDED: If PPI bags are left<br />

unattended without a Sales Order<br />

Form, place a date-stamped Red X<br />

label on each bag before dispatch.<br />

Record on Horizon (Business Suite, PPI<br />

<strong>Mail</strong>s Acceptance) using the default<br />

manual code 1234567890 where<br />

the customer number is requested.<br />

AFTER LAT: If PPI bags are accepted<br />

after the Latest Collection Time inform<br />

customer that the items will not<br />

leave the <strong>of</strong>fice until the next day.<br />

LOOSE: If loose PPI mail is left at<br />

the counter, place the mail in an<br />

empty mail bag, and seal with a<br />

date-stamped Red X label.<br />

There is no instruction for PO to scan the barcode,<br />

and there is a Customer Reference number on the label<br />
