We are delighted to provide you with your<br />
very own Document Portal.<br />
The Document Portal is a secure online communication tool<br />
we use <strong>for</strong> all correspondence with our clients.<br />
As well as receiving our updates, you can use it to exchange<br />
in<strong>for</strong>mation instantly and securely with us.<br />
It features an ‘online filing cabinet’– a place <strong>for</strong> you to store<br />
all your personal documents and memorabilia.<br />

and follow 3 easy steps to register.<br />

HOW WE USE IT<br />
The Document Portal offers an ultra-secure online filing<br />
cabinet <strong>for</strong> your personal in<strong>for</strong>mation: a safe place to keep<br />
your most important documents and treasured memorabilia.<br />
We use the Document Portal to ensure that the in<strong>for</strong>mation<br />
related to your dealings with us reaches you as quickly and<br />
securely as possible, wherever you are.<br />
Please read the section on “How do I access in<strong>for</strong>mation you<br />
have shared with me?” on page 5 to discover how to view<br />
the in<strong>for</strong>mation we have sent you.<br />

Save Time – All your documents will be<br />
conveniently stored in one place and be<br />
completely word searchable. When required,<br />
you can digitally sign documents you have been<br />
sent, saving you time and money.<br />
Protect – Avoid the risk of losing priceless<br />
documents or treasured memorabilia in a fire,<br />
burglary or flood.<br />
Secure - The Document Portal has the highest<br />
levels of security available and your data is<br />
hosted and backed up in ISO27001 accredited<br />
data centres in the UK.<br />

Document Sharing – Instantly share in<strong>for</strong>mation<br />
and documentation with your Wealth Manager,<br />
whenever you need.<br />
We are able to view only those documents or<br />
folders which you have chosen to share with us.<br />
We are unable to view any other in<strong>for</strong>mation<br />
you store.<br />
Give other people access to specific documents<br />
or folders. For example, your accountant could<br />
have access to a ‘Taxation’ folder and your<br />
solicitor a ‘Legal’ folder.<br />
Digital Legacy – Get your affairs in order and<br />
keep priceless documents and memorabilia safe<br />
<strong>for</strong> future generations. Keep a clear and tidy<br />
record of your affairs by saving a copy of your<br />
will and other important in<strong>for</strong>mation.<br />
Organise – You are able to create a<br />
personalised folder structure <strong>for</strong> your<br />
documents which matches your lifestyle and<br />
needs.<br />

LOGGING IN<br />
If you are logging in <strong>for</strong> the first time, follow the instructions<br />
on the Welcome email.<br />
For subsequent visits, please follow the steps below to log<br />
in:<br />
1. Visit our website and locate the login link<br />
2. Enter your User ID and password then click on ‘Login’<br />
3. As an additional security step, you will be prompted<br />
to select one of the mobile, landline number or email<br />
addresses you provided at first-time login to which an 8<br />
digit verification code will be sent. When received, enter<br />
the code and click on ‘Confirm Pin’.<br />
How do I access in<strong>for</strong>mation you have shared with me?<br />
Every time we share a new<br />
document, an automatic<br />
email alert will be sent to<br />
you. Once you are logged in,<br />
you can view all latest shared<br />
documents at the bottom of<br />
the dashboard.<br />

UPLOADING DOCUMENTS<br />
There are 3 simple ways to save your documents:<br />
1. Uploader Tool<br />
• Once logged in, click on ‘Upload’ from the<br />
main toolbar.<br />
• You now have the option of either manually selecting<br />
the file from your device or by using the Drag &<br />
Drop tool.<br />
1.1 Manual Upload<br />
a. Click on ‘Add’.<br />
b. Search your device <strong>for</strong> the document(s) you wish<br />
to store.<br />
c. For each document, click on the ‘Select’ field in<br />
the upload table to choose the folder you would<br />
like to save the document(s) in.<br />
d. Click on ‘Upload All’ to confirm.<br />
1.2 Drag & Drop Upload<br />
a. From your device, locate and select the<br />
document(s) you wish to store.<br />
b. Drag the document(s) into the Drag & Drop area.<br />
c. For each document, click on the ‘Select’ field in<br />
the upload table to choose the folder you would<br />
like to save the document(s) in.<br />
d. Click on ‘Upload All’ to confirm.<br />

2. Email Uploader<br />
Your Document Portal account has a unique email address.<br />
This is a convenient way to quickly <strong>for</strong>ward documents <strong>for</strong><br />
filing later – <strong>for</strong> example when you are on the move and not<br />
logged in. You will already have chosen your email address<br />
when logging in <strong>for</strong> the very first time.<br />
2.1 Saving Documents from Email<br />
If you have emailed documents in, you can file them in<br />
specific folders by:<br />
1. Click on ‘Email’ from the main toolbar.<br />
2. Double click on the email with the attached<br />
documents you would like to store.<br />
3. Click on ‘Save’ from the options taskbar.<br />
4. Select the destination folder(s) where you would<br />
like to save the document(s).<br />
5. Click ‘Ok’ to confirm.<br />

3. Home Paperwork Consultancy Service (optional)<br />
Digitise your paperwork, and rid your home of paper clutter.<br />
A highly trained consultant will come to your home and help<br />
you sort out your paperwork ready <strong>for</strong> collection, scanning<br />
and uploading directly in to your Document Portal. The<br />
paperwork can then be stored in a secure location freeing<br />
up your home. Documents can be recalled at a touch of a<br />
button, if the physical copy was ever required.<br />
