SIX STEP PROCESS

INTERN PROGRAM 

SIX QUICK STEPS 

Step 1: GEICO (Intern) Program Manager will provide the alotted SuiteAmerica Representative with a spreadsheet of Intern 

names, contact information, arrival and departure dates. 

Step 2: The SuiteAmerica Representative will send an introduction email to the Intern, requesting the Intern to complete 

and return the questionnaire (example on page 5). 

Step 3: When all questionnaires have been returned, SuiteAmerica will create a spreadsheet pairing Interns up with a 

roommate based upon arrival and departure dates. We will take into consideration personal hobbies, interests, smoker/ 

non-smoker and special needs/requests. Additionally, SuiteAmerica will pair Interns without cars with those Interns who do. 

Step 4: SuiteAmerica will then email the compiled Intern spreadsheet to the GEICO Program Manager to review and/or edit 

prior to sending out Rental Agreements to the Interns themselves. 

Step 5: Once the spreadsheet has been approved by GEICO’s Program Manager, SuiteAmerica will email each Intern a rental 

agreement (pages 7-10) and credit card form to be completed and returned to the SuiteAmerica Representative. 

Step 6: Upon completion and return of the signed Rental Agreement, SuiteAmerica will email the Intern a Final Confirmation 

(example pages 11-12). The confirmation will include all details regarding their apartment and upcoming stay.

Hereby subleases to Customer residential accommodations 

to include an apartment, the related common 

areas, furnishings, housewares, and utilities (water, 

garbage, gas, electric, and basic local phone service 

and cable) (a “Residence”) on the terms and conditions 

in this Agreement (a “Sublease”). This Agreement is a 

continuing agreement that covers both the present and 

any future subleases of Residences by SA to Customer. 

The minimum term of each Sublease shall be 30 days. The 

term commences and ends on the dates set forth in SA’s 

Confirmation to Customer (the “Term”). If for any reason 

SA does not deliver possession to Customer on the commencement 

date, SA will not be subject to any liability 

for this failure, the ending date will not be extended by 

the delay, and the validity of the Sublease will not be impaired. 

Rent will be abated until delivery of possession. 

This is a 

day/month lease. 

Move Out/Extensions: 

A 30-day vacate notice is required to end your 

obligation on the suite. The notice must be sent 

in writing.

Location of Residence: 

The location of each Residence is listed on SA’s Confirmation 

to Customer. SA reserves the right to move 

Customer to a comparable or better apartment at any 

time during the term of each Sublease should circumstances 

beyond the control of SA arise. 

Use of Residence: 

Each Residence shall be used and occupied only as a 

private dwelling and for no other purpose. Customer 

shall not sell, pledge, lend, encumber, sublet or part 

with possession of any Residence. Customer shall not 

assign this Agreement or any Sublease. Customer shall 

not commit any act that would violate any provision of 

the Master Lease for the Residence between SuiteAmerica 

and the Apartment Community. Customer shall 

abide by the Apartment Community rules and regulations 

for the Apartment Community, including but not 

limited to, rules with respect to noise, smoking, odors, 

disposal of refuse, pets, parking, number of occupants, 

and use of common areas. 

Customer agrees to move out of the Residence on or 

before its scheduled check out date/time or upon termination 

of its right to occupy the Residence, unless SA 

confirms in writing that the Residence is still available 

and that Customer can continue to occupy it. In the 

event Customer requests an extension beyond the original 

reservation period, SA will make reasonable efforts 

to accommodate such request. If a new or renewed 

Master Lease is required by the Apartment Community 

in order to grant the requested extension and the rent 

to SA is increased, SA reserves the right to increase the 

rent to the Customer for the time period of the extension. 

If Customer does not move out as agreed, Customer 

understands that Customer can be evicted and 

that Customer will have to pay for any costs associated 

with the delayed move out; including, but not limited 

to, additional days’ rent, vendor cancellation fees, and 

hotel fees for displaced incoming guests. 

Termination: 

If a Sublease provides a firm check out date/time, the 

sublease shall terminate on that date/time, and Customer 

shall move out on or before that date/time, unless SA 

extends the Sublease in writing. If a Sublease does not 

provide a firm check out date/time, or if otherwise required, 

either Customer or SA may terminate the Sublease 

by giving the other written notice postmarked at 

least 30 days prior to the termination date. If Customer 

does not give 30-days written notice of termination, Customer 

shall be responsible for 30 days rent, unless SA is 

able to re-sublease the apartment to another customer. 


Cancellation: 

Renter’s Insurance: 

In the event of a cancellation by Customer prior to the 

scheduled move-in date, Customer shall be responsible 

for a $ 

cancellation fee along with any non-refundable 

fees SA incurs as a result of the cancellation. 

For Customer’s cancellation after scheduled move-in, 

Customer must fulfill all terms of the Sublease. SA will 

make a reasonable attempt to re-sublease the apartment 

and reduce the Customer’s responsibility. Rent 

will not be charged to the Customer from the time the 

apartment is occupied by another customer. 

Late Payment: 

In the event payment is not received by SA within 30 

days from the date of any invoice, Customer will pay a 

10% late fee. This late fee is a reasonable sum that takes 

into consideration all of the circumstances existing on 

the date of this Agreement and is a fair and reasonable 

estimate of the costs and expenses that SA will incur 

due to Customer’s failure to make timely payment. The 

parties agree that would be impracticable or extremely 

difficult to fix the actual damages resulting to SA from 

Customer’s failure to make timely payment. 

Inspection: 

SA shall have the right to inspect the Residence at reasonable 

times. If in SA’s judgment the Residence or its 

contents are being abused, damaged or misused, SA 

may terminate the Sublease and take possession of the 

Residence immediately. Such termination shall create 

no right in Customer to a refund of prepaid rental, if 

any, nor shall it extinguish any right SA may have to 

receive damages or unpaid rent. 

Damage, Loss, or Injury: 

SA shall not be liable for any damage, loss, or injury 

to Customer or any other person, or to any property, 

occurring in or about the Residence. Customer hereby 

waives all claims against SA. Customer assumes all 

risk of injury to any person or damage to property in 

or about the Residence from any cause, including, but 

not limited to, personal injury; damage and/or loss to 

the Residence; to any property, housewares, furnishings 

and other products provided by SA; and/or to 

personal property of Customer or any other person 

located in or about the Residence. Customer shall pay 

SA any amounts due SA for damage, loss, or injury 

within 15 days after SA notifies Customer that the 

amount is due. 

SA does not carry insurance that insures Customer for 

any of the risks that Customer has assumed under this 

Agreement. See above (“Damage, Loss, or Injury”). SA 

strongly recommends that Customer contact an insurance 

company or an insurance agent of its choice 

about renter’s or other insurance to cover these risks.

of its right to occupy the Residence, unless SA 

confirms in writing that the Residence is still available 

and that Customer can continue to occupy it. In the

shall be responsible for 30 days rent, unless SA is 

able to re-sublease the apartment to another customer. 


Hold Harmless: 

Modification: 

Customer shall defend, indemnify and hold SA and the 

Apartment Community harmless against any and all 

claims arising from the use or occupancy of the Residence 

by Customer and/or from any activity, work or 

things which may be permitted or suffered by such use 

or occupancy. Customer’s use or occupancy of the Residence 

includes the use or occupancy of the Residence 

by any person Customer allows to use or occupy it and 

by any person who visits such a person at the Residence. 

Cleaning Charges: 

It is agreed that no employee of SA is empowered to 

change, alter or waive any provision of this Agreement 

at any time, other than by a written instrument, 

executed and endorsed by an Officer of SA, and delivered 

to Customer. 

Governing Law: 

This Agreement shall be governed by and construed in 

accordance with California Law. 

SA waives normal move-out cleaning costs. Customer 

will be responsible for the expense for any cleaning required 

by more than normal wear and tear. 

Default: 

Any failure by Customer to comply with the terms and 

conditions of this Agreement shall be a default. In the 

event collection efforts must be undertaken to recover 

any amount due SA hereunder or in the event a suit 

or action is instituted to enforce any provision of this 

Agreement, Customer shall pay to SA reasonable costs 

and such sum as a court may adjudge reasonable as 

attorney’s fees in the suit or action or appeal thereof. 

Customer shall pay all reasonable and necessary expenses 

incurred as a result of the default. SA reserves 

the right to terminate this Agreement immediately if 

bankruptcy or reorganization proceedings are instituted 

by or on behalf of Customer. Such termination 

shall create no right of Customer to a refund of prepaid 

rent, if any, nor shall it extinguish SA’s right to collect 

unpaid rent. Should any action be brought to enforce 

the terms and conditions of this Agreement, it shall be 

brought in the State of California, County of El Dorado. 

Financial Qualifications: 

This Agreement is subject to cancellation by SA prior 

to move in if Customer’s credit is not approved. Upon 

cancellation due to unacceptable credit, SA shall refund 

all prepayments made by Customer. 

Authorized Signer: 

The person executing this Agreement on behalf of Customer 

represents and warrants that he/she is duly authorized 

to execute this Agreement and to order corporate 

Residences hereunder. If he/she is not so authorized, he/ 

she agrees to be personally liable on this Agreement. 

Payment: 

CORPORATE HOUSING: Please indicate how the corporate

Phone Service: 

Customer elects to BLOCK or UNBLOCK long distance

toll calls) 

(“BLOCK” means that SA will request the local telephone company 

to place a “long distance block” on the line which will 99% 

of the time disable the line from making a long distance call.) 

Other Charges: 

Customer agrees to pay SA for any charges above the 

rent that Customer’s company pays for the Residence. 

These additional charges may include, but are not limited 

to, long distance phone bills, toll charges, premium 

cable channels, optional “Custom Amenities”, damages, 

lost/unreturned keys, garage remotes, access cards, 

and the other amounts that Customer has agreed to 

pay in this Agreement. (Keys start at $10 each; remotes, 

parking permits, and access cards start at $75 each.)
