your Program Manager to focus on assimilation of your<br />

interns into the work force.<br />

SIX STEP PROCESS


INTERN PROGRAM<br />

SIX QUICK STEPS<br />

Step 1: GEICO (<strong>Intern</strong>) Program Manager will provide the alotted SuiteAmerica Representative with a spreadsheet of <strong>Intern</strong><br />

names, contact information, arrival and departure dates.<br />

Step 2: The SuiteAmerica Representative will send an introduction email to the <strong>Intern</strong>, requesting the <strong>Intern</strong> to complete<br />

and return the questionnaire (example on page 5).<br />

Step 3: When all questionnaires have been returned, SuiteAmerica will create a spreadsheet pairing <strong>Intern</strong>s up with a<br />

roommate based upon arrival and departure dates. We will take into consideration personal hobbies, interests, smoker/<br />

non-smoker and special needs/requests. Additionally, SuiteAmerica will pair <strong>Intern</strong>s without cars with those <strong>Intern</strong>s who do.<br />

Step 4: SuiteAmerica will then email the compiled <strong>Intern</strong> spreadsheet to the GEICO Program Manager to review and/or edit<br />

prior to sending out Rental Agreements to the <strong>Intern</strong>s themselves.<br />

Step 5: Once the spreadsheet has been approved by GEICO’s Program Manager, SuiteAmerica will email each <strong>Intern</strong> a rental<br />

agreement (pages 7-10) and credit card form to be completed and returned to the SuiteAmerica Representative.<br />

Step 6: Upon completion and return of the signed Rental Agreement, SuiteAmerica will email the <strong>Intern</strong> a Final Confirmation<br />

(example pages 11-12). The confirmation will include all details regarding their apartment and upcoming stay.<br />

Hereby subleases to Customer residential accommodations<br />

to include an apartment, the related common<br />

areas, furnishings, housewares, and utilities (water,<br />

garbage, gas, electric, and basic local phone service<br />

and cable) (a “Residence”) on the terms and conditions<br />

in this Agreement (a “Sublease”). This Agreement is a<br />

continuing agreement that covers both the present and<br />

any future subleases of Residences by SA to Customer.<br />

The minimum term of each Sublease shall be 30 days. The<br />

term commences and ends on the dates set forth in SA’s<br />

Confirmation to Customer (the “Term”). If for any reason<br />

SA does not deliver possession to Customer on the commencement<br />

date, SA will not be subject to any liability<br />

for this failure, the ending date will not be extended by<br />

the delay, and the validity of the Sublease will not be impaired.<br />

Rent will be abated until delivery of possession.<br />

Move Out/Extensions:<br />

A 30-day vacate notice is required to end your<br />

obligation on the suite. The notice must be sent<br />

in writing.<br />

Location of Residence:<br />

The location of each Residence is listed on SA’s Confirmation<br />

to Customer. SA reserves the right to move<br />

Customer to a comparable or better apartment at any<br />

time during the term of each Sublease should circumstances<br />

beyond the control of SA arise.<br />

Use of Residence:<br />

Each Residence shall be used and occupied only as a<br />

private dwelling and for no other purpose. Customer<br />

shall not sell, pledge, lend, encumber, sublet or part<br />

with possession of any Residence. Customer shall not<br />

assign this Agreement or any Sublease. Customer shall<br />

not commit any act that would violate any provision of<br />

the Master Lease for the Residence between SuiteAmerica<br />

and the Apartment Community. Customer shall<br />

abide by the Apartment Community rules and regulations<br />

for the Apartment Community, including but not<br />

limited to, rules with respect to noise, smoking, odors,<br />

disposal of refuse, pets, parking, number of occupants,<br />

and use of common areas.<br />

Customer agrees to move out of the Residence on or<br />

before its scheduled check out date/time or upon termination<br />

of its right to occupy the Residence, unless SA<br />

confirms in writing that the Residence is still available<br />

and that Customer can continue to occupy it. In the<br />

event Customer requests an extension beyond the original<br />

reservation period, SA will make reasonable efforts<br />

to accommodate such request. If a new or renewed<br />

Master Lease is required by the Apartment Community<br />

in order to grant the requested extension and the rent<br />

to SA is increased, SA reserves the right to increase the<br />

rent to the Customer for the time period of the extension.<br />

If Customer does not move out as agreed, Customer<br />

understands that Customer can be evicted and<br />

that Customer will have to pay for any costs associated<br />

with the delayed move out; including, but not limited<br />

to, additional days’ rent, vendor cancellation fees, and<br />

hotel fees for displaced incoming guests.<br />

Termination:<br />

If a Sublease provides a firm check out date/time, the<br />

sublease shall terminate on that date/time, and Customer<br />

shall move out on or before that date/time, unless SA<br />

extends the Sublease in writing. If a Sublease does not<br />

provide a firm check out date/time, or if otherwise required,<br />

either Customer or SA may terminate the Sublease<br />

by giving the other written notice postmarked at<br />

least 30 days prior to the termination date. If Customer<br />

does not give 30-days written notice of termination, Customer<br />

shall be responsible for 30 days rent, unless SA is<br />

able to re-sublease the apartment to another customer.<br />

Cancellation:<br />

Renter’s Insurance:<br />

In the event of a cancellation by Customer prior to the<br />

scheduled move-in date, Customer shall be responsible<br />

for a $<br />

cancellation fee along with any non-refundable<br />

fees SA incurs as a result of the cancellation.<br />

For Customer’s cancellation after scheduled move-in,<br />

Customer must fulfill all terms of the Sublease. SA will<br />

make a reasonable attempt to re-sublease the apartment<br />

and reduce the Customer’s responsibility. Rent<br />

will not be charged to the Customer from the time the<br />

apartment is occupied by another customer.<br />

Late Payment:<br />

In the event payment is not received by SA within 30<br />

days from the date of any invoice, Customer will pay a<br />

10% late fee. This late fee is a reasonable sum that takes<br />

into consideration all of the circumstances existing on<br />

the date of this Agreement and is a fair and reasonable<br />

estimate of the costs and expenses that SA will incur<br />

due to Customer’s failure to make timely payment. The<br />

parties agree that would be impracticable or extremely<br />

difficult to fix the actual damages resulting to SA from<br />

Customer’s failure to make timely payment.<br />

Inspection:<br />

SA shall have the right to inspect the Residence at reasonable<br />

times. If in SA’s judgment the Residence or its<br />

contents are being abused, damaged or misused, SA<br />

may terminate the Sublease and take possession of the<br />

Residence immediately. Such termination shall create<br />

no right in Customer to a refund of prepaid rental, if<br />

any, nor shall it extinguish any right SA may have to<br />

receive damages or unpaid rent.<br />

Damage, Loss, or Injury:<br />

SA shall not be liable for any damage, loss, or injury<br />

to Customer or any other person, or to any property,<br />

occurring in or about the Residence. Customer hereby<br />

waives all claims against SA. Customer assumes all<br />

risk of injury to any person or damage to property in<br />

or about the Residence from any cause, including, but<br />

not limited to, personal injury; damage and/or loss to<br />

the Residence; to any property, housewares, furnishings<br />

and other products provided by SA; and/or to<br />

personal property of Customer or any other person<br />

located in or about the Residence. Customer shall pay<br />

SA any amounts due SA for damage, loss, or injury<br />

within 15 days after SA notifies Customer that the<br />

amount is due.<br />

SA does not carry insurance that insures Customer for<br />

any of the risks that Customer has assumed under this<br />

Agreement. See above (“Damage, Loss, or Injury”). SA<br />

strongly recommends that Customer contact an insurance<br />

company or an insurance agent of its choice<br />

about renter’s or other insurance to cover these risks.<br />

Move Out/Extensions:<br />

Customer agrees to move out of the Residence on or<br />

of its right to occupy the Residence, unless SA<br />

confirms in writing that the Residence is still available<br />

Hold Harmless:<br />

Modification:<br />

Customer shall defend, indemnify and hold SA and the<br />

Apartment Community harmless against any and all<br />

claims arising from the use or occupancy of the Residence<br />

by Customer and/or from any activity, work or<br />

things which may be permitted or suffered by such use<br />

or occupancy. Customer’s use or occupancy of the Residence<br />

includes the use or occupancy of the Residence<br />

by any person Customer allows to use or occupy it and<br />

by any person who visits such a person at the Residence.<br />

Cleaning Charges:<br />

It is agreed that no employee of SA is empowered to<br />

change, alter or waive any provision of this Agreement<br />

at any time, other than by a written instrument,<br />

executed and endorsed by an Officer of SA, and delivered<br />

to Customer.<br />

Governing Law:<br />

This Agreement shall be governed by and construed in<br />

accordance with California Law.<br />

SA waives normal move-out cleaning costs. Customer<br />

will be responsible for the expense for any cleaning required<br />

by more than normal wear and tear.<br />

Default:<br />

Any failure by Customer to comply with the terms and<br />

conditions of this Agreement shall be a default. In the<br />

event collection efforts must be undertaken to recover<br />

any amount due SA hereunder or in the event a suit<br />

or action is instituted to enforce any provision of this<br />

Agreement, Customer shall pay to SA reasonable costs<br />

and such sum as a court may adjudge reasonable as<br />

attorney’s fees in the suit or action or appeal thereof.<br />

Customer shall pay all reasonable and necessary expenses<br />

incurred as a result of the default. SA reserves<br />

the right to terminate this Agreement immediately if<br />

bankruptcy or reorganization proceedings are instituted<br />

by or on behalf of Customer. Such termination<br />

shall create no right of Customer to a refund of prepaid<br />

rent, if any, nor shall it extinguish SA’s right to collect<br />

unpaid rent. Should any action be brought to enforce<br />

the terms and conditions of this Agreement, it shall be<br />

brought in the State of California, County of El Dorado.<br />

Financial Qualifications:<br />

This Agreement is subject to cancellation by SA prior<br />

to move in if Customer’s credit is not approved. Upon<br />

cancellation due to unacceptable credit, SA shall refund<br />

all prepayments made by Customer.<br />

Authorized Signer:<br />

The person executing this Agreement on behalf of Customer<br />

represents and warrants that he/she is duly authorized<br />

to execute this Agreement and to order corporate<br />

Residences hereunder. If he/she is not so authorized, he/<br />

she agrees to be personally liable on this Agreement.<br />

Payment:<br />

(“BLOCK” means that SA will request the local telephone company<br />

Other Charges:<br />

Customer agrees to pay SA for any charges above the<br />

rent that Customer’s company pays for the Residence.<br />

These additional charges may include, but are not limited<br />

to, long distance phone bills, toll charges, premium<br />

cable channels, optional “Custom Amenities”, damages,<br />

lost/unreturned keys, garage remotes, access cards,<br />

and the other amounts that Customer has agreed to<br />

pay in this Agreement. (Keys start at $10 each; remotes,<br />

parking permits, and access cards start at $75 each.)<br />
