TOPIC: - Synopsis of project report<br />

CONCEPT<br />

A report is written for a clear purpose and to a<br />

particular audience. Specific information and evidence<br />

are presented, analyzed and applied to a particular<br />

problem or issue. The information is presented in a<br />

clearly structured format making use of sections and<br />

headings so that the information is easy to locate and<br />

follow.<br />

When you are asked to write a report you will usually<br />

be given a report brief which provides you with<br />

instructions and guidelines. The report brief may<br />

outline the purpose, audience and problem or issue that<br />

your report must address, together with any specific<br />

requirements for format or structure. This guide offers a<br />

general introduction to report writing; be sure also to<br />

take account of specific instructions provided by your<br />

department.

Objective:<br />

Borstal Schools are a type of youth detention center<br />

and are used exclusively for the imprisonment of<br />

minors or juveniles. The primary objective of Borstal<br />

Schools is to ensure care, welfare and rehabilitation of<br />

young offenders in an environment suitable for<br />

children and keep them away from contaminating<br />

atmosphere of the prison. The juveniles in conflict<br />

with law detained in Borstal Schools are provided<br />

various vocational training and education with the help<br />

of trained teachers. The emphasis is given on the<br />

education, training and moral influence conducive for<br />

their reformation and prevention of crime.<br />

However, the facilities provided to these juveniles in<br />

these borstals are not efficient. According to the news<br />

the borstals are in various states of India not sufficient<br />

for their accommodation. The school at Pudukottai,<br />

which had an original sanctioned strength of only 40,<br />

had 458 inmates at one point of time, a rights activist<br />

said, adding that perhaps this prompted the government<br />

to convert 10 more sub-jails and special sub-jails into<br />

Borstal schools. The government should look into this<br />

issue more precisely so that the juveniles have good<br />

conditions to nurture.<br />

The girls are not being segregated which creates<br />

an uncomfortable environment for the girls to<br />

live there.

CONCEPT<br />

Notice of a Meeting:<br />

When a meeting is to be convened, a notice is required<br />

to be sent to all who are to attend it.<br />

It should satisfy these conditions:<br />

1. It should be under proper authority<br />

2. It should state the name of the organization<br />

3. It should state the day, date, time, and place.<br />

Also, sometimes, how to reach the place


4. It should be well in advance. Some require seven<br />

days’ notice, some 48 hours<br />

It should state the purpose and, if possible, the<br />

agenda<br />

5.It should go to all persons required at the meet


Agenda:<br />

As stated earlier, an agenda is the list of items to be<br />

considered at a meeting. It is also called business or<br />

order of business<br />

Here are some guidelines for listing the items:<br />

1. Apologies from absent members (need not be<br />

written previously)<br />

2. Condolences if any (may or may not be written<br />

previously)<br />

3. Reading and approval of minutes of the last meet<br />

4. Matters arising out of previous meet’s minutes (this<br />

need not always be mentioned)<br />

5. Urgent and non-controversial items<br />

6. Matters requiring closer discussion and debates<br />

7. Any new, on-the-spot items with the approval of the<br />

chairman<br />

8. Date of the next meet.


Minutes of the Meeting:<br />

The minutes of a meeting are the record of the<br />

discussions/decisions therein. They have an official<br />

status; they are useful in law, and in some cases<br />

required by law to be written. Minutes are final when<br />

they are approved by the members of the group to<br />

which they relate, generally in the next meeting, and<br />

signed by the chairperson.<br />

The overall minutes should give:<br />

1. The name of the organization/ unit<br />

2. Day, date, time and place<br />

3. Number in order (e.g. 33 rd meeting of…)<br />

4. Names of chairperson and secretary<br />

5. Names of members present<br />
