<strong>Wedding</strong> Policies and Procedures<br />

Availability<br />

The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> has limited space for 2011/2012. Please c<strong>on</strong>tact your Excepti<strong>on</strong>al Events<br />

Sales Manager as so<strong>on</strong> as possible to c<strong>on</strong>firm your wedding date!<br />

Food and Beverage Minimums<br />

The hotel requires a minimum food and beverage revenue for all events. This total excludes state sales<br />

tax (7%), service charges (22%), and rentals. In the event that your food and beverage minimum is not<br />

met, you will still be resp<strong>on</strong>sible for the remaining balance.<br />

Pricing<br />

All prices are subject to state sales tax (7%) and service charges (22%). The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> will<br />

guarantee prices and menus 60 days prior to your functi<strong>on</strong>.<br />

Payment Informati<strong>on</strong><br />

The signed c<strong>on</strong>tract and a n<strong>on</strong>-refundable deposit of 25 percent of your food and beverage minimum are<br />

required to validate your c<strong>on</strong>tract and secure your functi<strong>on</strong> date. Cash, pers<strong>on</strong>al check and credit cards<br />

are accepted for deposits. A valid credit card and authorizati<strong>on</strong> form must be presented to remain <strong>on</strong> file.<br />

All deposits will be credited toward the final bill. Your advance deposits will not be refunded if the event<br />

should cancel. A payment reflecting 50% of the food and beverage minimum will be due 60 days prior to<br />

the wedding. The estimated payment, reflecting the final amount owed, will be due 7 days prior to your<br />

functi<strong>on</strong>. At this time your final attendance count will be needed al<strong>on</strong>g with your signature approving<br />

the final Banquet Event Order. In the event that payment is not received by the specified time, charges<br />

will automatically be posted to the credit card <strong>on</strong> file. Any additi<strong>on</strong>al charges that are incurred <strong>on</strong> the<br />

day of your wedding will be posted to the credit card <strong>on</strong> file at the completi<strong>on</strong> of your event.<br />

Cancellati<strong>on</strong><br />

If the group must cancel for any reas<strong>on</strong> this agreement, the following cancellati<strong>on</strong> penalty will apply:<br />

Post Signing of c<strong>on</strong>tract-180 days prior to event 50% of total estimated revenue<br />

90-179 days prior to event 75% of total estimated revenue<br />

0-90 days prior to event 100% of total estimated revenue<br />

Menu Selecti<strong>on</strong><br />

The complete menu selecti<strong>on</strong>, including both food and beverage items, must be c<strong>on</strong>firmed with the<br />

Excepti<strong>on</strong>al Events Sales Manager no later than 30 days prior to your functi<strong>on</strong>. Requests for changes<br />

made to the menu after this time cannot be guaranteed. Entrée choice policy is as follows: Maximum of<br />

two (2) entrée choices are permitted. Salad and dessert selecti<strong>on</strong>s are the same for all guests. Final counts<br />

for each entrée selecti<strong>on</strong> must be received no later than seven (7) days prior to your event.<br />

Meal Guarantees<br />

Final guarantee count is due 7 days prior to your scheduled event. If your guarantee is not received, your<br />

estimated attendance as listed in the c<strong>on</strong>tract will become your guarantee number and will be charged<br />

accordingly. The excepti<strong>on</strong> to this would be if your actual number of guests exceeds your guarantee, in<br />

which case you would be charged for the actual number of guests that attended your event.<br />

Functi<strong>on</strong> Rooms<br />

The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel reserves the right to change functi<strong>on</strong> rooms with advanced notice if<br />

the estimated number of attendees decreases by 10% or more. In this case your Excepti<strong>on</strong>al Events Sales<br />

Manager will notify you to discuss the changes. Functi<strong>on</strong> room set-up must be determined in advance.<br />

Any changes to functi<strong>on</strong> room set-up made within 24 hours of designated event start time are subject to<br />

$250 change fee. All wedding recepti<strong>on</strong>s are based <strong>on</strong> the time frame specified in the c<strong>on</strong>tract. The<br />

patr<strong>on</strong> agrees to pay for each hour over agreed ending time, with prior approval from Excepti<strong>on</strong>al Events<br />

Sales Manager, at a rate of $250 per hour, which will be due at the end of the functi<strong>on</strong>, al<strong>on</strong>g with any<br />

additi<strong>on</strong>al food and beverage charges.<br />

Alcoholic Beverages<br />

All Federal, State, and Local Laws with regard to beverage purchases and c<strong>on</strong>sumpti<strong>on</strong> will be strictly<br />

adhered to. State Law prohibits any alcoholic beverages to be brought into any public area <strong>on</strong> the<br />

premises. A 3% State liquor tax will be applied to liquor sales. The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel policy<br />

does not allow any beverages purchased to be taken out of any public functi<strong>on</strong> room <strong>on</strong> the premises. In<br />

accordance with state and local law, it is the Hotel’s policy to (a) request proper identificati<strong>on</strong> (photo<br />

I.D.) of any pers<strong>on</strong> of questi<strong>on</strong>able age and refuse alcoholic beverage service if the pers<strong>on</strong> is either under<br />

the age of 21 or proper identificati<strong>on</strong> can be produced and (b) refuse alcoholic beverage service to any<br />

pers<strong>on</strong> who, in the Hotel’s sole judgment, appears intoxicated.<br />

Food Policy<br />

State law prohibits any food to be brought into any public area <strong>on</strong> the premises, including functi<strong>on</strong><br />

rooms. The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel policy does not allow any food items purchased to be taken<br />

out of any public functi<strong>on</strong> room <strong>on</strong> the premises. All final arrangements, including menu selecti<strong>on</strong>s and<br />

guarantees, should be received by the Catering Department at least 7 days prior to the functi<strong>on</strong>.<br />

Security<br />

The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel reserves the right to inspect and c<strong>on</strong>trol all private parties, meetings,<br />

recepti<strong>on</strong>s, etc., being held <strong>on</strong> the premises, and to limit the noise volume in the functi<strong>on</strong> rooms for<br />

c<strong>on</strong>siderati<strong>on</strong> of others. The Hotel will not assume resp<strong>on</strong>sibility for the damage or loss of any<br />

merchandise or articles left in the hotel prior to or following any banquet or meeting. Arrangements<br />

may be made for security prior to your planned event through your Catering Sales Manager.<br />

Group Representative Guarantee<br />

Patr<strong>on</strong> is required to c<strong>on</strong>duct the functi<strong>on</strong> in an orderly manner, in full compliance with applicable laws,<br />

regulati<strong>on</strong>s and hotel rules. Patr<strong>on</strong> assumes full resp<strong>on</strong>sibility for the c<strong>on</strong>duct of all pers<strong>on</strong>s in<br />

attendance and for any damage d<strong>on</strong>e to pers<strong>on</strong>s or property <strong>on</strong> or about any part of the hotel premises or<br />

theft of property. Under no circumstances will the Hotel be held liable for the criminal acts of third<br />

parties.<br />

Shipping and Storage<br />

Any materials shipped to the <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel must have prior approval by the Catering<br />

Sales Manager. Materials shipped may arrive no earlier than two days prior to your functi<strong>on</strong> and may<br />

not remain <strong>on</strong> the premises l<strong>on</strong>ger than two days after the functi<strong>on</strong> date. All materials must bear the<br />

name of your group, be addressed to the attenti<strong>on</strong> of the Catering Sales Department, and shipping<br />

charges paid by you or your company. If any major handling is required <strong>on</strong> the part of the <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong><br />

<strong>Forsyth</strong> <strong>Park</strong> Hotel, a handling charge will apply. The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel accepts no<br />

resp<strong>on</strong>sibility for items stored or left <strong>on</strong> property.<br />

Vendors<br />

The <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel must approve all vendor agreements 60 days prior to your wedding<br />

recepti<strong>on</strong>. These vendors must be licensed and insured. All vendors are guaranteed access to the functi<strong>on</strong><br />

room approximately 1 hour prior to the start of the event. Vendors will not be permitted to c<strong>on</strong>sume<br />

alcoholic beverages during their c<strong>on</strong>tracted time. Vendors are required to break down and clean up all of<br />

their supplies and accessories at the c<strong>on</strong>clusi<strong>on</strong> of the event. No storage will be provided for left items,<br />

and the <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel accepts no resp<strong>on</strong>sibility for lost or misplaced items. In the event<br />

that supplies, accessories or decorati<strong>on</strong>s have been left <strong>on</strong> Hotel property after the event has c<strong>on</strong>cluded, a<br />

$500.00 clean-up charge will be administered to the wedding master account.<br />

Overnight Accommodati<strong>on</strong>s<br />

All <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> wedding couples with a food and beverage minimum will receive a<br />

complimentary <strong>on</strong>e-night stay in <strong>on</strong>e of our Superior accommodati<strong>on</strong>s, based <strong>on</strong> availability.<br />

Valet <strong>Park</strong>ing<br />

Valet parking is available at an additi<strong>on</strong>al charge. Overnight guests will be assessed $20.00 per day and<br />

guests who attend your functi<strong>on</strong> <strong>on</strong>ly will be assessed the daily rate of $7.00 per vehicle. You have the<br />

opti<strong>on</strong> to post the parking charges to your master account or allow your guests to pay individually. Prices<br />

are subject to change without notice.<br />

Outdoor Events:<br />

Marble Garden Courtyard<br />

Alternate space will not be provided in the event of inclement weather. It is the client’s resp<strong>on</strong>sibility to<br />

arrange additi<strong>on</strong>al tenting or heating (based <strong>on</strong> availability, at an additi<strong>on</strong>al cost) with the Excepti<strong>on</strong>al<br />

Events Sales Manager no later than (14) working days prior to commencement of event. Music: Live<br />

entertainment or disc jockey is allowable in the Marble Garden Courtyard during the hours of 12pm -<br />

10pm. The Hotel reserves the right, at any time during the functi<strong>on</strong>, to c<strong>on</strong>trol the volume of all<br />

entertainment.<br />

Pool Deck<br />

Please be advised that the Pool Deck is available to all guests of the <str<strong>on</strong>g>Mansi<strong>on</strong></str<strong>on</strong>g> <strong>on</strong> <strong>Forsyth</strong> <strong>Park</strong> Hotel and<br />

will not be closed for any reas<strong>on</strong>.<br />

Menu Tasting<br />

Menu tastings may be scheduled M<strong>on</strong>day through Friday <strong>on</strong> a mutually c<strong>on</strong>venient date with you and<br />

your Excepti<strong>on</strong>al Events Sales Manager. Appointments may be made a maximum of two (2) m<strong>on</strong>ths in<br />

advance.<br />

A tasting is available up<strong>on</strong> request for parties with a c<strong>on</strong>tracted food & beverage minimum of $5,000 or<br />

more, and is complimentary for up to two (2) guests. For parties with a c<strong>on</strong>tracted food & beverage<br />

minimum of less than $5,000, a tasting is available at a fee of $50 per pers<strong>on</strong>. Your Excepti<strong>on</strong>al Events<br />

Sales Manager will assist with menu selecti<strong>on</strong>s and guidelines.<br />

Main Course Choice Policy<br />

Maximum of two (2) main course choices are permitted. Salad and dessert selecti<strong>on</strong>s are the same for all<br />

guests. Final counts for each main course selecti<strong>on</strong> must be received no later than seven (7) days prior to<br />

your event. If the selected main courses have different prices, the higher-priced menu item will apply to<br />

both selecti<strong>on</strong>s.<br />
