STAFF AND RACE OFFICIALS CATERING SERVICESWorking in conjunction with AGPC's Special Events and <strong>Catering</strong> Coordinator,the appointed company or companies, referred to as the Staff and RaceOfficials Caterer, will be responsible for the provision <strong>of</strong> Staff and RaceOfficials <strong>Catering</strong> <strong>Services</strong> for future <strong>Australian</strong> <strong>Grand</strong>s <strong>Prix</strong>. The range <strong>of</strong>catering services may include, but is not limited to, the following:The provision <strong>of</strong> catering services to the Media Cafeteria.The provision <strong>of</strong> catering services to Race Officials.The provision <strong>of</strong> catering services to AGPC staff and nominated groups.In addition the following activities form part <strong>of</strong> the provision <strong>of</strong> the Staff andRace Officials <strong>Catering</strong> <strong>Services</strong>:Menu planning, including the development <strong>of</strong> menu packages andpricing.Menu tastings. The Staff and Race Officials Caterer shall provide samples<strong>of</strong> all proposed food items in order that AGPC may approve or amend themenu selections made by the Staff and Race Officials Caterer.In undertaking the above services and planning activities the Staff and RaceOfficials Caterer must obtain all necessary liquor licenses, municipal permitsand all other statutory approvals in order that the Race Officials <strong>Catering</strong><strong>Services</strong> provided at the Event fully comply with all regulatory requirementsincluding City <strong>of</strong> Port Phillip health department (including food safety) Office<strong>of</strong> Energy Safe and WorkSafe Victoria requirements.


ADDITIONAL INFORMATIONThe appointed Caterer(s) for all or any <strong>of</strong> the catering services outlined in thisdocument is required to co-ordinate the installation and removal <strong>of</strong>temporary infrastructure including supply <strong>of</strong> all equipment and connection <strong>of</strong>water, power and sullage related to the provision and operation <strong>of</strong> thecatering facilities.The following infrastructure is to be provided by AGPC at the cost <strong>of</strong> theCaterer(s):Temporary marquee structures and flooringTransportable buildingsFurniture hirePower supplyFencing and screeningWater supplyOther services provided by the AGPC at no cost to the Caterer(s):Sullage pumping servicesRubbish collectionCleaning servicesExamples <strong>of</strong> other infrastructure, products or services that may be required tobe provided by the Caterer(s) at no cost to AGPC:Refrigerated ContainersStaffing, including all transportUniformsStaff welfareCash registers and float delivery and cash collectionPlastic cups, ice and beverage stocksAGPC may provide <strong>of</strong>ficial suppliers with the right for their products to besupplied at events. These products include, but are not limited to, thefollowing categories:• Official Beer Pouring Rights• Official Alcoholic Cider Supplier• Official Wine Supplier• Official Spirits Supplier• Official S<strong>of</strong>t Drink Supplier• Official Iced Confectionary Supplier• Official C<strong>of</strong>fee Supplier• Official Supplier <strong>of</strong> Milk and Related Dairy ProductsThe Caterer(s) is expected to purchase goods and services from these <strong>of</strong>ficialsuppliers in relation to the management <strong>of</strong> the catering services at theevents.


COMMERCIAL AGREEMENTThe appointed caterer(s) for all or any part <strong>of</strong> the catering services outlined inthis document will be required to sign a written agreement prepared by the<strong>Australian</strong> <strong>Grand</strong> <strong>Prix</strong> Corporation. The agreement may include an optionextendible by AGPC for future events, at AGPC’s absolute discretion.SUBMISSION OF EOISubmissions should be limited to ten (10) A4 pages for each section <strong>of</strong> thecatering service (excluding attachments) and is to include:1. company name, registered <strong>of</strong>fice and date <strong>of</strong> incorporation;2. history and relevant experience (including in connection with sportingevents or other events);3. benefits that may be considered superior and unique compared to othersimilar service providers4. names and experience <strong>of</strong> all key personnel proposed to provide theservices and operational structure;5. details <strong>of</strong> relevant suppliers and subcontractors;6. financial credentials <strong>of</strong> the company (including the company’s mostrecent pr<strong>of</strong>it and loss statement);7. relevant client references in support <strong>of</strong> the company’s previous andcurrent operations; and8. other matters not specifically raised above but considered important forAGPC to consider in its evaluation <strong>of</strong> the EOI.AGPC reserves the right to limit those suppliers invited to tender having regardto: The extent to which the suppliers Expression <strong>of</strong> Interest meets the technicaland performance specifications; and The rating <strong>of</strong> the suppliers Expression <strong>of</strong> Interest.
