<strong>Job</strong> <strong>Description</strong><strong>Finance</strong> <strong>Assistant</strong>Purpose of the PostTo enhance the school’s vision which aims to nurture each pupil on their own journey of selfdiscoveryand is based upon the three key pillars of Educational Excellence, CharacterDevelopment and Spiritual Insight.Duties and responsibilities:• Input of standing information to <strong>Finance</strong> system (suppliers, debtors) in accordance withprocedures• Processing of Purchase Orders from requisitions, accurately and in accordance withagreed• authorisation and timescales• Printing of Purchase Orders, checking for accuracy and distributing to suppliers andbudget holders as required• Processing of invoices, checking to Purchase Orders and goods received notes, ensuringappropriate authorisation and payment in accordance with agreed procedures andtimescales• Manage weekly cheque run in accordance with the mandate• Investigating and resolving supplier invoices under query arranging returns and ensuringthat refunds or credit notes are received.• Raising of Sales Invoices from appropriate documentation• Printing of Sales Invoices, checking for accuracy, and distributing to debtors• Implementation of debt collection procedures, including referral to a debt collectionagency ifappropriate• Processing of all Academy income (cheques and cash), and banking of same.• Maintaining a detailed record of non-invoiced income relating to School Trips etc. Carryout thenecessary arrangements with regard to school lettings and other events regardinginvoicing andcollection of payments• Processing and reconciliation of petty cash• Recording of school credit card transactions, assistance to staff using the credit card,reconciliation of statement• Calculation of internal recharging to departments (e.g. reprographics and hospitality) andprocessing of subsequent journals• Assist with month end procedures including bank and other reconciliations and posting ofjournals as required• To Provide financial information reports from the finance system for budget holders andgive advice as requested• Organise and maintain Contracts and Service Level Agreements (SLA) file updatinginformation.• Dealing with queries from suppliers (including statements), debtors, budget holders andother Academy staff


• undertake any additional duties as required by the <strong>Finance</strong> Director and Principal• commitment to the school’s Equal Opportunities & Safeguarding Policies and the welfareof children and young peoplePerson Specification<strong>Finance</strong> <strong>Assistant</strong>Criteria Essential DesirableQualifications andtraining• Good standard of education,preferably to level 3 together withgood numeracy and literacy skills• Hold or be studying for afinance / business relatedqualification• IT related qualificationsExperience• Minimum 3 years’ experience in afinance / busy administrationdepartment• 2 year’s experience in aschoolSkills, knowledge andaptitudes• Working knowledge ofcomputerisedfinance systems and financialcontrols• Working knowledge of Excel andWord• Ability to communicate effectivelyboth orally and in writing across awide range of audiences• Ability to complete work to arequired• High standard of accuracy andpresentationOther requirements• The ability to work with initiativeand to tight deadlines• Show resilience under pressure• Have good organisational skills• Confidential• Committed to safeguarding andpromoting the welfare of childrenand young people• A commitment to working as partof the whole academy team andsupporting the vision and ethos ofthe academy.• to be willing to undertake furtherprofessional development• A genuine ambition andinterest in improving the lifechoices for our youngpeople and the widercommunity
