<strong>RECEPTIONIST</strong><strong>JOB</strong> <strong>DESCRIPTION</strong>Purpose of the PostTo enhance the school’s vision which aims to nurture each pupil on their own journey ofself-discovery and is based upon the three key pillars of Educational Excellence,Character Development and Spiritual Insight.Responsible to:Finance Director/PrincipalAs a valuable member of the office administration team, this person will be the first portof call for any contact to the school. She/he will welcome parents, teachers, governorsand all other visitors to the school either by telephone, person to person, writtencommunication, fax or e-mail. They will also assist students with their requests.The person appointed will be expected to:Reception:• ensure a welcoming environment to students, parents, governors and visitors tothe school, either in person or by phone• relay messages accurately, while operating an internal telephone network• maintain security badges for all visitors to the school• be responsible for putting items into various registers each day• open and distribute post arriving into the school and to frank all outgoing mail forstaff• to operate the electronic doors and gates• to organise and maintain the working area of reception• to be responsible for keeping the foyer up to date with brochures, newsletters,flyers.• to be responsible for ensuring the foyer is welcoming and organised including thepurchase of flowers for reception• to be responsible for the ordering of general stationery supplies• to be responsible for calling parents when children are late or absent• to be responsible for mailing correspondence to parents


Secretarial Support when required• provide secretarial support to support staff for general letters, reports etc. usingMicrosoft Word, Excel and Outlook proficiently• undertake any additional duties as required by the Finance Director and Principal


<strong>RECEPTIONIST</strong>PERSON SPECIFICATIONThe person appointed will be expected to have the following:• an ability to remain calm, polite, welcoming and courteous at all times andprovide a welcoming environment to students, staff, parents, governors andvisitors to the school• experience of working in a busy office and being part of a team• possess excellent organisational, interpersonal prioritising skills• an efficient, clear telephone manner• ICT literate and preferably knowledge of SIMS• possess excellent typing skills and good experience of working with MicrosoftWord and Excel• numerical competency• an ability to communicate effectively, both orally and in writing• an ability to undertake the essential tasks entailed in a School Office• a high level of personal motivation and a commitment to the ethos and aims ofthis school• the ability to maintain complete confidentiality and discretion at all times• an ability to work creatively as an individual and as part of a team• the ability to remain calm under pressure and meet all deadlines• to be physically fit to carry out this busy and demanding post• commitment to the school’s Equal Opportunities & Safeguarding Policies
