Dear El Carmelo families and staff, 

Whoa, Nelly! Didja see them auction items over yonder? I can't say 

that I know how to choose among all the great things to bid on. And 

these here victuals look mighty tasty - I reckon we'll be eatin’ well at 

the 2012 El Carmelo PTA Auction! And the folk in their finest westernstyle 

Sunday best are having more fun than a pig in mud! 

I want to thank Amy Love again for the amazing work that she and her 

team have put into making the auction a rip-roarin’ party, an important 

fundraiser and a community-building activity for El Carmelo. More than 

just a chance to support our kids' education, we have this party to 

celebrate friendships and our common interest in all aspects of our 

wonderful school. As I spent time with the team that has dedicated so 

many hours to preparing the auction, I could tell that they've been 

having a good time working together. 

Congratulations, El Carmelo, for combining support of children's 

education (in the form of supplies, field trips, activities, and extra 

teaching materials, among other things) with a great party and strong 

community! Y'all done yourselves proud once again.

Howdy families and staff, 

Welcome to our 35th annual auction. El Carmelo PTA is proud to 

present this year's evening event in support of our wonderful school 

and community. 

Grab yer hat and boots and come on down to the Wild, Wild West. We 

look forward to a fabulous evening with you, meeting new families, 

forging stronger friendships and building our El Carmelo community. 

For my second year working on the auction I have been so fortunate to 

have such an amazing group of individuals in our El Carmelo 

community come together and work countless hours to make the 

auction successful. I want to thank our volunteers for their hard work 

and dedication, and for continuously inspiring me to make this event 

the best ever. This night would not be possible without the support of 

our volunteers, donors, underwriters, supportive teachers and staff 

members. A big “Thank You” to everyone!! 

As you Saddle Up for fun, tie on the ol' feedbag, and dance the night 

away to our musical entertainment, please remember the proceeds 

enhance our school and the education of all our children. The auction 

supports our school and builds our community. It is a gift that keeps 

giving.

the bidder to be adventurous. You will be surprised at how these

am proud that El Carmelo continues to be one of the best communities

Auction Rules 

To bid on a silent auction item, write your last name, bidder number 

and the bid amount on the item bid sheet. 

On single winner items, your bid must exceed the previous bid 

amount by the increment shown on the bid sheet. The highest 

bidder at the close of bidding wins the item. 

On multiple winner items, you must increase your bid only when the 

number of bids at that price equals the number of winners. 

Example: if the bid amount is $25 and the number of winners is 10, 

bidder 11 needs to increase the bid amount by the increment shown 

on the bid sheet. Bids will be evaluated starting at the highest 

amount. If there are more bids at this amount than there are 

winners, the item will be awarded to the earliest bidders of that 

amount. If there are fewer high bids than there are winners, 

additional winners will be selected at the next highest bid amount, 

again with the winners being those who made the bid the earliest. 

The process will continue until the correct number of winners has 

been determined. Note: this process may result in some winners 

paying more or less than other winners for the same item. Timing is 

everything! 

If you want to increase your bid, please cross out your previous bid 

to prevent purchasing duplicates of an item and use a new line to 

enter your new bid. Please do not simply cross out your previous 

bid amount and replace it with a new bid amount. This process will 

make it easier to determine who has won the item and may prevent 

you from purchasing duplicate items you do not want. 

If you want two (2) people to attend on a per-person price, you need 

to write your name/bidder number on a separate line to bid twice. 

When you make a higher bid on an item that has multiple buyers, 

make sure you cross off BOTH of your previous bids and re-enter 

both bids at the higher bid amount on separate lines. 

Your bid is considered a commitment to pay. 

Items must be paid on the night of auction. If you are unable to stay 

until check-out begins, please make arrangements for someone to 

pay and pick up your items. Absentee bidders who win items will be 

notified after the auction and given details on how to pay for the

items, as well as where to pick them up. 

You must present your paid receipt to pick up your items. Items that 

need to be picked up will be indicated with an “O” under Location on 

the receipt. 

Payment may be made by check, cash, or credit card (Visa or 

MasterCard). Checks made out to “El Carmelo PTA” are preferable 

as the entire amount goes to our school. All sales are final. There 

are no exchanges or refunds. 

Items purchased may have restrictions, which are described in the 

catalog. Restrictions cannot be changed and are strictly enforced. 

If you purchase an event (party/class/etc.), you will be contacted by 

the donor prior to the event. If you purchase a service or getaway, 

you will need to contact the donor to arrange a date. 

Terms & Conditions 

The Auction Committee has made every effort to describe the items 

correctly. All sales are final, and items are sold “as is.” There will 

be no refunds or exchanges. El Carmelo Elementary School and 

the El Carmelo PTA neither warrant nor represent, and shall in no 

event be responsible for: the correctness of the description, 

genuineness, authorship, provenance, performance by the donor, 

condition of the items, or buyer dissatisfaction for any reason. El 

Carmelo Elementary School and the El Carmelo PTA accept no 

liability or responsibility for activities, services, or products 

purchased at the auction, nor do El Carmelo Elementary School 

and the El Carmelo PTA accept any liability for activities occurring 

at events purchased through this auction. 

It is the responsibility of winners to read all the fine print on their 

items to determine any relevant information, including, but not 

limited to, expiration dates, blackout dates, or other restrictions, and 

to make arrangements based on this information. The Auction 

Committee has made an effort to include enough information in the 

catalog for you to make decisions about items, but neither 

guarantees nor warrants that the information provided is accurate or 

complete. Restaurant and hotel gift certificates do not include 

gratuities or anything beyond what is described. All parties are

given as generous donations of the hosts; we expect them all to be 

fabulous fun, but we will not be able to refund any disappointments. 

The stated value of the auction goods and services has been 

provided by the donors for tax purposes or estimated by the Auction 

Committee to the best of their knowledge. The amount of the 

contribution that is deductible for Federal Income Tax purposes is 

limited to the excess of any money contributed by the purchaser 

over the value of goods or services provided.

1. Horseshoe Toss – Buy a chance to win a bottle 

of wine. For just $10, you’ll have three tries to win. 

Toss a horseshoe (no, not a real one!!!), and try to

2. Silent Auction – All bid sheets are on the silent 

auction tables arranged by category. Bid on your 

favorite items, and then keep checking to be sure 

you haven’t been outbid!

Rules for Playing Heads & Tails 

All ticketed guests will receive a Heads & Tails Card; don’t forget to pick 

yours up when you check in. During the Live Auction the auctioneer will 

ask all Heads & Tails participants to stand and hold their cards either on 

their head or on their tail. The auctioneer will then flip a coin and 

announce whether the coin came up heads or tails. Those holding the 

cards on the “winning end” stay standing—the others sit down. The 

game continues until there is one person left. He or she is the winner of

The El Carmelo MP Room sees constant use every day: lunch
