The Terms & Conditions of the AMC would be as below:i) The firm should be in the business of maintenance of Computers, peripherals etc. at least forthe last 3 years (Requisite documents to support this claim will have to be produced forverification) and a satisfactory performance certificate regarding AMC with govt.organizations/reputed organizations (at least two) also shall have to be produced.ii) The firm must be willing to provide onsite support for equipment listed above.iii) The firm must be willing to undertake preventive maintenance of above equipment once in aquarter.

iv) The charges for repair and maintenance/replacement of defective parts/components of theComputers, Printers, Photocopiers and UPS (Excl. Batteries.), if any, shall be borne by the firmduring the period of the contract. No transportation charges/cartage for removal of anycomponent to the workshop for repairs and back to office for installation shall be separatelypayable to the firm over and above the amount payable to the firm under the contract.v) The entire responsibility for smooth functioning of all the Computers, printers, photocopiersand UPS under this contract shall rest with the firm who shall provide trouble free and promptservice throughout the period of the contract.vi) If for any reason whatsoever, downtime is expected to be more than 48 hours, the firm shallprovide a working standby equipment in order to avoid payment of penalty to this office untilthe department’s equipment’s fault has been rectified.vii) In case of breakdown of any computers in question, the firm will be required to attend tothe complaints within 24 hours of their being lodged. In case any complaint is not attendedto/rectified with 48 hours of downtime excluding Saturday/Sunday and Govt. holiday the firmshall be liable to pay penalty as follows, if delay is found to be not satisfactorily explained:Computer /Photocopier Rs.200/- per dayPrinter Rs.100/- per dayUPS Rs. 50/- per dayvi) In case the firm’s services are found unsatisfactory, the contract shall be terminated aftergiving one week’s notice and the work shall be got done from the open market at the firm’scost. Wherever during the period of the contract the firm does not rectify the fault/defectsbrought to his notice within a reasonable period of time, the office shall get the faults defectsrectified by engaging suitable professionals from the open market at the firm’s risk and cost andthe amount paid shall be deducted from the amount payable to the firm.vii) At the end of the AMC – contract period, both the user and AMC holder shall certifyseparately that the computer systems/electronic device are in satisfactory working conditionand that no fault or complaints are pending.viii) It may also be noted that in case of firm backing out in midstream without any explicitconsent of the Department, he/she will be liable to recovery at higher rates, vis-à-vis thosecontracted with, which may have to be incurred by this Department on maintenance ofmachines for the balance period of contract by alternative means. The above act of backing outwould automatically debar the firm from any further dealing with this Departmentviii) The firm shall be responsible for the loss of any Government property owing to negligenceon his or his representative’s part while maintaining the machines.

ix) Repair work shall be carried out by the firm within the office premises. Wherever it is notpossible to conduct the repair within the office premises the firm shall obtain prior permissionof the competent authority to conduct repair outside the office premises.x) The Bills shall be raised by the firm on a quarterly basis upon successful completion of thecontract during the preceding quarter.xi) This bid is not transferable and under no circumstances the successful bidder shall beallowed to sub-contract with any other person/party.xii) A general undertaking that all terms and conditions of this bid are acceptable in the formatplaced at Annexure to this document. This needs to be signed by an authorized person of theapplying firm.3. The quotation should be sent in a sealed envelope so as to reach the following addresslatest by 12 th March, 2012 by 3.30 P.M.Sh. The received bids will be opened in this office on12 th March, 2012 at 4.00 P.M. in the presence of the authorized representatives of the bidders.All the bidders are therefore informed to be present either personally or through representativeson the aforementioned time and date in this office.
