College of Osteopathic Medic<strong>in</strong>e of the PacificInstitute <strong>for</strong> Medical EducatorsIME <strong>Recommendations</strong> <strong>for</strong> Guidel<strong>in</strong>esAcademic Progress Portal - <strong>Faculty</strong> <strong>Advisor</strong> Note Documentation2009-2010GoalTo have the COMP <strong>Faculty</strong> utilize the <strong>Faculty</strong> <strong>Advisor</strong> Note section of the AcademicProgress Portal <strong>in</strong> a standardized manner that will assist with communication <strong>in</strong>volv<strong>in</strong>gsupport <strong>for</strong> student per<strong>for</strong>mance as well as ensur<strong>in</strong>g that the Student Per<strong>for</strong>manceCommittee will have all relevant <strong>in</strong><strong>for</strong>mation <strong>for</strong> deliberation should a student get referred.In general, this <strong>in</strong><strong>for</strong>mation <strong>in</strong>cludes meet<strong>in</strong>gs with their advisees related to an advisee’sacademic progress/difficulties and/or concerns regard<strong>in</strong>g professionalism.Necessary SafeguardsIn order to be optimally effective, and guard aga<strong>in</strong>st misuse of this tool, a documentationprocess should be <strong>for</strong>malized and have several built-<strong>in</strong> safety provisions, <strong>in</strong>clud<strong>in</strong>gsafeguards aga<strong>in</strong>st the follow<strong>in</strong>g possibilities:The over-documentation of <strong>in</strong><strong>for</strong>mation to <strong>in</strong>clude notes which are irrelevant tostudent per<strong>for</strong>mance or the SPC’s deliberations, as this may create excessive<strong>in</strong><strong>for</strong>mation <strong>in</strong> the portal, over-tax the faculty advisors with work, and create aculture of fear and mistrustThe documentation of accusations, conflicts and/or personality differences betweenstudents and students, students and faculty, and/or students and adm<strong>in</strong>istratorsthat should not be placed <strong>in</strong> the Academic Progress Portal and need to be addressed<strong>in</strong> an alternative <strong>for</strong>umPersonal and sensitive <strong>in</strong><strong>for</strong>mation <strong>for</strong> which the student was seek<strong>in</strong>g privateconsultation, the documentation of which would serve to damage trust <strong>in</strong> theiradvisors and create apprehension about seek<strong>in</strong>g help <strong>in</strong> the futureThe tendency to make <strong>in</strong>accurate or <strong>in</strong>appropriate judgments about a facultyadvisor’s skills or a student’s psychological status based on these notesThe potential <strong>for</strong> <strong>in</strong>consistent note-tak<strong>in</strong>g lead<strong>in</strong>g to an <strong>in</strong>consistent per<strong>for</strong>mancepicture <strong>for</strong> the SPC, as (1) <strong>Faculty</strong> members may have different note-tak<strong>in</strong>g styleslevels of ability/skill or (2) a student may seek the assistance of another facultymember or adm<strong>in</strong>istrator who does not have access to his/her record while notseek<strong>in</strong>g the assistance of his/her <strong>for</strong>mal advisorA potential lack of over-sight leav<strong>in</strong>g <strong>in</strong><strong>for</strong>mation <strong>in</strong> the portal that should not bethere which may also have legal implications
