Number of celebration are not fixedand may vary from 5 to 10 or more. Normally functions are indoor type, howevercontractor should have expertise to handle outdoor events also. Quotation are invitedto collect rates of items to be used during such program. AIR will place order foritems to successful contractor from the final list scrutinized after quotation as perrequirement of the particular program. It may be possible that certain items are notordered at any time or few items are ordered more then once. AIR will intimate venueat the time of organizing such program. The rates will remain valid for one year fromthe date of awarding contractDescription of items:Details of items are given in enclosed form.Procedure, Terms & Conditions:1. Two bid system will be adopted for better selection of contractor. Thequotation will have total three sealed ENVELOPE super scribed with thefollowing details.(i) Envelop for Technical bid : Hiring of P.A System, stagework, video work & Power supply to cover variousprogrammes by AIR, Delhi. Technical bid should contain alltechnical offers from the bidder along with DD as bid securitymoney. DD should be in favour of DDO, AIR, Delhi. Pricedetails should not be mentioned on these papers. Paperscontaining price details in technical bid are liable to cancel.(ii) Envelop for Price bid : Hiring of P.A System, stage work,video work & Power supply to cover various programmes byAIR, Delhi. This envelop should contain prescribed form for

the purpose, where rate should be quoted. Offer will not beconsidered, if prescribed format is not used.(iii) Main Envelop: Two properly sealed envelops mentioned asabove should be placed in side a sealed envelope clearlymentioning. Quotation should be addressed to undersigned byname so as to reach him on or before 3.00 pm on 11.04.2013.(iv) Quotation received without proper sealing may be rejected2. Taxes: The Contractor should quote TIN/Service TaxIP AN No. separatelywherever applicable. They should furnish these numbers in their quotation.3. Terms of payment: Full payment will be made after satisfactory completionof event.4. Validity: quotation should remain valid for a period of one year form thedate of opening.5. The quotation's technical bid will be opened in this office at 11.30 AM on12.04.2013 in the presence of such contractor or their agents who may liketo be present.6. The quotation's price bid will be opened in this office at 03.30 PM on12.04.2013 in the presence of successful bidder or their agents who may liketo be present7. This office reserves the right to accept any quotation not necessarily thelowest. This office also reserves the right of increasing / decreasing thequantity of material depending on actual requirement.8. The rates should remain valid for a minimum period of 1 year i.e. up to30.04.2014.9. This office reserves the right to seek earnest money/security deposit at anystage.10. Bidders will have to submit signed copy of this document. Document shouldbe signed on each page.11. The quotation not conforming to conditions of this document may berejected without any further reference.12. All the equipments for the PA system are to be installed & tested 4 hrs orearlier as intimated by AIR, before the start of event and to be got tested toAIR representative.13. AIR will provide the power supply only for event. All other chargesincluding transportation will be borne by contractor.14. Digital console should have equalization, snap shot (profile memory) andother sound processing facilities.15. Cordless microphone should have good sensitivity over a distance of 100ft.16. If work by successful contractor is not up to the satisfaction of AIR'srepresentative, contract may be terminated.17. All other formalities like taking permission for diesel generator set;transportation etc is to be obtained by successful contractor.2

18. AIR will not take responsibility for any kind. of loss to contractor, itsrepresentatives (workers) or items due any of reason. Therefore contractorhas to take all necessary precautions.19. Rate may be quoted per events basis for 1 day.20. Turn over : Turn over of the contractor should be at least 50,000001- peranum. Documentary proof should be attached.21. To & from transportation (from site) of equipments is to borne by contractor.22. All taxes should be mentioned clearly.23. Coordination for obtaining entry passes required for deployments ofequipments and staff is the responsibility of contractor.24. Successful contractor shall bring spares units to meet emergencyrequirement or the cover failure of in circuit equipment at no extra cost.25. Manpower used by contractor shall be experienced. Contractor has to submitcertificate in this regard before start of event. AIR shall not take anyresponsibility about any dispute between his workers etc.26. Microphones should have microphone stands of various sizes.27. Light fixtures should have suitable mounting.28. Headphones and fold back will be required by artist. If asked output frominstruments should taken for mixing.29. Contractor has be provide video recording in the form of CDIDVDIwhenever asked.30. Quality of LED and Plasma TV will have vital criteria for select.3 1. Contractor has to mention other necessary items along with rates notmention in this document but required by him for successful event.32. All equipment should be from professional manufacturer.33. Separate out puts may be required by AIR and Doordarshan for audio.34. Entire setup should be prepared by successful contractor's staff nomanpower or equipment shell be provided by AIR.35. Clarification required if any, may be obtained from undersigned duringoffice hours.36. Ll will be decided on the basis of overall offer.37. No column should be left blank. Please write NIL, if required to kept blank.38. Offer should carry bid security amount (Rs 10,0001-) in the form of DD infavour of DDO, AIR, Delhi. Offer without DD will not be considered. DDwill be returned within one week of opening of quotation.39. Performance guarantees (100/0 of the accepted amount) are to be deposited inthe office at the beginning of contract by successful bidder. Annexure I/ Brief requirement.Quotations are invited from experienced firm for providing P.A system forcoverage of events by All India Radio on as and when required basis. The expectednumber of events would be about 8-10 per year. The rates will be valid for one yearfrom the date of awarding contract. The firm should have experience of providingP.A. system for last 2 years. AgreementAnnexure II1. Terms of payment: Payment bill be made on receipt of bill in triplicate after the each successfulcompletion of the event.2. Validity: quotation should remain valid for a period of one year form the date of opening.3. AIR reserves right to accept any quotation not necessarily the lowest. AIR also reserves right ofincreasing / decreasing the quantity of material depending on actual requirement.4. The rates will remain valid for a minimum period of 1 year i.e. up to 30.04.2014.5. Successful Bidder has to submit DD carrying 10% of the accepted quoted amount as a performanceguarantee.6. All the equipments will be installed & tested 4 hrs or earlier as intimated by AIR, before the start ofevent and to be got tested to AIR representative.7. AIR will provide the power supply for event only. All other charges including transportation will beborne by contractor.8.
