Interested bidders are advised to submit their bids as statedabove in two-bid system. Failure to comply may lead to rejection of the bid. For postaldelay, Institute should not be made responsible. The EMD of Rs. 15000/- in favour ofNIFFT, Hatia, Ranchi may be deposited along with the bid document.The details of the Network components, Servers, Computer items & other services to becovered under AMC are as under:1. AMC of Network Components, Servers, Computers and their peripherals1.1 Scope of Work:The total hardware of Network Components, Servers, Computers and their peripheralsat NIFFT, Ranchi as listed in section 1.2 & section 1.3 will be under OnsiteComprehensive AMC. The AMC excludes the following items like all Consumables(Paper, Cartridge, Floppy, CD etc.) Plastic Parts of the systems are not included withinthe warranty items. Fire or Natural Disaster is also not included within the AMC Clause.1 of 5

3. Pre-qualification criteria of bidders for tender of AMC1. The firm should be an ISO certified company and have office /somerepresentation office in Ranchi or nearby place.2. The firm should be DGS & D registered.3. The firm must have a turnover of minimum 50 Crores.4. The firm must be providing AMC of similar value/nature to at least one research/educational institute in India such as IITs, NITs or any reputed Institute.4. Terms and conditions:1. The contract will be comprehensive in nature inclusive of repairs and replacement of thespare parts without extra payment. No demand for revision of rates on any account shallbe entertained during the contract period. The vendor shall be responsible for any loss ordamage caused to any of the machines owing to negligence on their part.2. Preventive maintenance of all machines should be done at least once in a month andreport from all the users would be submitted to their department to enable the release ofquarterly payment. In absence of satisfactory report, part will attract imposition ofdeduction on pro-rata basis.3. No advance payment in any case will be made. The payment will be made on quarterlybasis. Invoice may be raised after completion of each quarter.4. An amount of @10 % of contract value, towards security deposit, may be furnishedwithin 30 days from the date of issue of the contract order. The security deposit shall bein the form of fixed deposit receipt drawn on any nationalized bank in favour of NIFFT,HATIA, RANCHI-3. The security deposit will be refundable after the successfulcompletion of the contract and the same will be forfeited if during the contract period,the services of the vendor are found to be unsatisfactory.5. The contract may be terminated by the department at any time without assigning anyreason thereof. If the services of the vendor are found to be unsatisfactory, the contractwill be awarded to another vendor at the risk and the expenses of the vendor. In thisregard, the department’s decision will be final and binding.6. Acceptance of the contract by the concerned vendor /party would be submitted within15 days of awarding the AMC contract.7. The department expects efficient and prompt service of the vendor / party on which nocompromise will be made.3 of 5

8. Service Assurance: maximum acceptable down time will be one day excluding holidayfor the equipment other than Laser printer. The working laser printer has to be resortedwithin the ten working days failing which penalty may be applicable.9. The firm must be authorized service provider for atleast one leading manufacturers PCslike Compaq, IBM, HCL, HP, Wipro, ACER etc.10. Vendors having prior experience with IIMs, IITs or NITs or any reputed academicinstitutions for the similar nature of job may be given priority.11. The AMC rates will be valid for a period of Three Years from the date of signing of thecontract. At the end of each year based on the performance of the party, extension ofcontact may be provided.12. The period of the contract can be extended for further period if required, on the mutuallyagreed terms and conditions13. PAN/TAN and Sales Tax/ Service Tax nos. or VAT whatever applicable to be indicated.14. The Vendor must depute a Qualified Site Engineer (CCNA or MCSE qualified) duringthe period of AMC.4 of 5

FORMAT FOR PROVIDING TECHNICAL QUOTESSl. Scope Of Services RequiredNo.1 Performance certificate from clients should be attached withthe technical bid.2 The company should have an annual turn over of more than 50crores in the last financial year i.e. 2007-2008.3 Vendor shall provide all parts and materials.4 Vendor shall provide Onsite hardware, problem analysis andsupport.5 Authorized Vendor shall provide the service through itsemployees.6 Bidders are strictly advised not to include cost in the technicalbid.7 Any repair required should have to be intimated well inadvance.8 Vendor shall replace necessary parts only by parts of certifiedquality.9 Routine preventive maintenance once in each quarter may beprovided on Site.10 Any fault reported, must be responded within 2-4 hrs of thefault logging time from the time of fault logging and rectificationtime will be 08 hours. In case problem is not resolved in 08hours, standby of similar configuration must be provided within24 hrs from the time of fault logging.5 of 5
