G E N E R A L C O N D I T I O N S1. <strong>Quotation</strong> in duplicate addressed to the Chief MechanicalEngineer, <strong>Chennai</strong> <strong>Port</strong> Trust are to be sent to the SuperintendingEngineer (Ore Handling), <strong>Chennai</strong> <strong>Port</strong> Trust, Royapuram, <strong>Chennai</strong> – 600013 in a sealed cover duly superscribed “<strong>Quotation</strong> <strong>for</strong> fabricating thePlat<strong>for</strong>m, removal and replacing the damaged Plat<strong>for</strong>m by new fabricatedPlat<strong>for</strong>m at Boom Conveyor Gear Box Floating Bed at MOHP due at 3.00P.M. on 14 .08.2008” not later than the period specified in the Officeletter <strong>of</strong> even No. dated 05.08.2008.2. <strong>Quotation</strong> shall be written legibly in ink or typewritten.3. The <strong>Quotation</strong> documents can also be downloaded from the Trust’s WebsiteWWW.chennaiport.gov.in <strong>for</strong> which the cost <strong>of</strong> the document has to be enclosed by way<strong>of</strong> Demand Draft drawn in Favour <strong>of</strong> the Chairman, <strong>Chennai</strong> <strong>Port</strong> Trust along with the<strong>of</strong>fer as per the conditions. The <strong>Quotation</strong>s downloaded from the Website which are notaccompanied with the Demand Draft will be summarily rejected.4. <strong>Quotation</strong> will be opened in the <strong>of</strong>fice <strong>of</strong> the Superintending Engineer (OreHandling), <strong>Chennai</strong> – 600 013 as soon as possible after the closing time mentioned.5. Telegraphic <strong>of</strong>fers will be treated as defective, invalid andrejected. Only detailed completed <strong>of</strong>fers legibly written/typewrittenreceived be<strong>for</strong>e the closing time and date stipulated will be taken asvalid. <strong>Quotation</strong> received after the due date and time will be left <strong>out</strong> <strong>of</strong>consideration.6. The prices quoted shall be firm and should hold good at least<strong>for</strong> 16 weeks from the date <strong>of</strong> opening <strong>of</strong> the quotation.7.(a) The prices quoted shall show separately the cost <strong>of</strong> theequipments, accessories, tools, labour cost, etc. to be supplied/repairedas well as Excise Duty/Sales Tax applicable to the above supply/ workand the percentage <strong>of</strong> duties, levies and taxes shall also be indicated.(b) The Trust will not provide “C” or “D” <strong>for</strong>m. The Trust doesnot bind itself to accept claims <strong>for</strong> extra payment <strong>for</strong> items not includedin the quotation. Rates and total cost are to be furnished separately bothin figures and words. All corrections shall be properly attested byTenderer’s signature.8. Latest Income Tax Clearance Certificate obtained from theIncome Tax Authorities concerned shall be produced along with thequotation and also the Permanent Income Tax Account Number shall beindicated in the quotation.


9. The delivery/completion period shall be clearly specified.10. The rates shall be firm and not subject to fluctuation at anystage till the completion <strong>of</strong> the contract.11. The plant/vehicle/equipment shall be guaranteed <strong>for</strong> itstrouble-free working and against defective materials and badworkmanship <strong>for</strong> a period <strong>of</strong> not less than twelve months from the date <strong>of</strong>its acceptance, excluding the periods, during which the plant, etc. is <strong>out</strong><strong>of</strong> commission due to the above mentioned defects and the guaranteeperiod shall be extended correspondingly.12. If any such defects as above are noticed during theguarantee period, the same shall be rectified free <strong>of</strong> cost by theContractor within the reasonable time as required, failing which it shallbe open to the Chief Mechanical Engineer to arrange <strong>for</strong> such repairs tobe done either departmentally or by other agencies and deduct the costthere<strong>of</strong> from the amount that may have been spent in excess <strong>of</strong> theretained amount or from any amount due to him.13. PAYMENT TERMS: 100% payment will be made within 30days from the date <strong>of</strong> acceptance <strong>of</strong> the work by the Trust Engineer. TheContractor shall submit all their First and Final bills addressed to theChief Mechanical Engineer, <strong>Chennai</strong> <strong>Port</strong> Trust, <strong>Chennai</strong>. Advancestamped receipt made <strong>out</strong> in the name <strong>of</strong> the Chairman, <strong>Chennai</strong> <strong>Port</strong>Trust may also be sent with the bills <strong>for</strong> refund <strong>of</strong> 50% Security Deposit14. LIQUIDATED DAMAGES/LATE DELIVERY CHARGES: For delay insupply/work Liquidated Damages/late Delivery Charges, equivalent to1% % <strong>of</strong> the total contract value/per week or part there<strong>of</strong> subject tomaximum 10% are laible to be deducted from any moneys due or becomedue to the Contractor. Grant <strong>of</strong> extension will be at the discretion <strong>of</strong> theChief Mechanical Engineer.15. SECURITY DEPOSIT: Immediately or within 10 days <strong>of</strong>placing the order, the contractor shall furnish Security amountequivalent to 5% <strong>of</strong> the contract price either in cash or by bankguarantee encashable at <strong>Chennai</strong> only. Failing which, necessary interest@ 18% p.a. on S.D. amount will be levied <strong>for</strong> the delayed remittance fromthe due date <strong>of</strong> remittance to the date <strong>of</strong> remittance <strong>of</strong> money. 50% <strong>of</strong>the security deposit will be refunded/released after satisfactorycompletion <strong>of</strong> the work or delivery <strong>of</strong> equipment and acceptance <strong>of</strong> thesame and the balance 50% will be retained till the satisfactorycompletion <strong>of</strong> the guarantee period and released thereafter. OutstationB.G. will not be accepted.


QUOTAION FOR CARRYING OUT THE WORK OF FABRICATING THEPLATFORM, REMOVAL AND REPLACING THE DAMAGED PLATFORM BYNEW FABRICATED PLATFORM AT BOOM CONVEYOR GEAR BOXFLOATING BED PLATFORM IN SHIPLOADER-I AT MECHANISED OREHANDLING PLANTSCHEDULE – ‘’A”TECHANICAL SPECIFICATIONThe damaged plat<strong>for</strong>m <strong>of</strong> Boom Conveyor Gear Box floating bed is to befabricated and old one is to be removed and new one is to be replaced in Shiploader-I asper scope <strong>of</strong> work and terms and conditions furnished below:SCOPE OF WORK:1. In shiploader –I, the damaged plat<strong>for</strong>m <strong>of</strong> boom Conveyor Gear Box floating bedis to be fabricated.2. The old plat<strong>for</strong>m is to be removed and the new one is to be replaced.3. The plat<strong>for</strong>m consist <strong>of</strong> channel 200, Angles 100X100X10, 75X75X10,65X65X8, plates 14 mm. and 20 mm., pipes 1” dia and ¾” dia, grills weighingabove 100 Kg.TERMS AND CONDITIONS:1. The Contractor shall arrange to collect necessary materials like channels, angles,plates, grills, etc., from the Shipping, maintenance Section and transport the sameto the fabrication site.2. The Contractor shall arrange to fabricate the plat<strong>for</strong>m as per the site requirements.3. During fabrication the holes required shal be drilled by drilling machine and nogas cutting <strong>of</strong> the hole are permitted.SCOPE OF SUPPLY BY TRUST:1. Trust will arrange to supply all the materials such as channel, angles, plate etc.,and also necessary bolts, nuts and washers required <strong>for</strong> the work.2. Trust will arrange to provide necessary power supply connection and power at thesite at free <strong>of</strong> cost.


SCOPE OF SUPPLY BY THE CONTRACTOR.1. The contractor shall arrange all welding plants, cables, welding accessories, gascutting set, Gas cylinder, regulators, drilling m/c drill bit, etc., <strong>for</strong> <strong>carrying</strong> <strong>out</strong>entire fabrication and erection work.2. All lifting tools, jacks, pulley blocks and consumables required <strong>for</strong> the abovework.3. The skilled and unskilled personnel shall be arranged by the contractor.4. Any transport required <strong>for</strong> transporting the material shall be arranged by thecontractor.5. The Contractor is required to complete the Pre fabrication and erection workwithin 4 NON-SHIPMENT DAYS when the erection site is handed over by theTrust.6. The entire work shall be guarantee period <strong>for</strong> trouble free per<strong>for</strong>mance <strong>of</strong> not lessthan 12 months.7. Payment will be made <strong>for</strong> the actual quantities carried <strong>out</strong> as per schedule <strong>of</strong>quantities.8. The contractor shall take all necessary safety precaution <strong>for</strong> his personnel while<strong>carrying</strong> <strong>out</strong> the work.9. The Contractor shall furnish their <strong>of</strong>fer as enclosed Schedule ‘A’ – Schedule <strong>of</strong>Quantities and prices .10. The Contractor shall confirm their acceptance to the enclosed Trust GeneralConditions.CHIEF MECHANICAL ENGINEER.
