SALES AND CATERING POLICIES<br />

MEETING POLICIES<br />

• All public rooms are assigned a room rental value and prices are available from the sales office.<br />

• Special Engineering requirements, e.g. electrical, must be specified at least three weeks in advance. Audio/Visual equipment rentals are available<br />

upon request.<br />

• The Hotel reserves the right to inspect and control all private parties, meetings, receptions, etc. held on the premises. Liability for all damage to the<br />

premises will be assessed accordingly. The customer shall not change or in any way alter the appearance, location, or condition of any decorative<br />

article, furnishing or fixture in the Hotel. Nothing may be attached or adhered to walls, doors and floor coverings.<br />

• If the function room originally reserved cannot be made available to the guest, or if the guest count changes substantially, the Hotel reserves the right to<br />

substitute a <strong>com</strong>parable room.<br />

• The customer is responsible for all arrangements and expenses of shipping materials to and from the Hotel. The Hotel must be notified three weeks In<br />

advance of shipping arrangements in order to insure proper acceptance of these items upon arrival at the Hotel.<br />

• The Ballroom and Armory rooms at the Hotel are unable to be secured. The Hotel is not responsible for any loss of material, equipment or personal<br />

belongings in any of its meeting or guestrooms. The Hotel is not responsible for any items left in a meeting room at the conclusion of the event.<br />

• The Hotel will hang up to two banners one time at no charge for any group holding a meeting or conference in the Hotel. For each additional banner<br />

there will be a $15.00 fee per banner. A maximum of 10 banners will be hung by the hotel per event. For events exceeding 10 banners, a professional<br />

decorating <strong>com</strong>pany should be hired at the client’s expense. There will be a $15.00 fee to move a banner from one location to another.<br />

• If a change from the original room set up is requested on the day of the function, a labor charge will be added to the banquet check.<br />

• The Hotel cannot be held liable for <strong>com</strong>pensation of any kind for loss or damage due to circumstances beyond its control, to include, but not limited to,<br />

mechanical failure of the Hotel systems and equipment, fire, war, states of emergency, labor strikes, failure of utilities or acts of God.<br />

• Based upon the nature of an exhibitors or planner’s event, the exhibitor or planner may be asked to provide a Certificate of Insurance. The Certificate of<br />

Insurance must be provided to the Hotel four weeks prior to the exposition or meeting date.<br />

• A police detail may be required at Hotel’s discretion.<br />

BANQUET POLICIES<br />

• All final arrangements, including menu selections and/or audio-visual requirements are required three weeks prior to the scheduled function date.<br />

• Final guaranteed attendance for all food and beverage functions must be specified no later than noon, 5 business days In advance and cannot be<br />

reduced thereafter. If notification of a final attendance figure is not received by this deadline, you will be charged for the highest number of people noted<br />

on the banquet event order. If attendance falls below the guaranteed number, the customer will be charged the guaranteed amount. If attendance falls<br />

below the minimum number of paid patrons to waive rental, a pro-rated charge may be added. Should the original guarantee increase by more than<br />

15% less than 24 hours prior to the function, a service fee of $5.00 per person will be applied.<br />

• All meal functions for less than I5 people are subject to a $50.00 service fee.<br />

• The hotel will be prepared to serve and seat 5% over the guaranteed number of parties under 250 guests and 3% for parties over 250 guests.<br />

• All food and beverage must be ordered by the Hotel. No food or beverage will be permitted to leave the premises.<br />

• All banquet beverage functions require a minimum purchase of $300.00 per bartender, per four hours or a $75.00 bartender fee will be incurred. A<br />

cocktail server can be made available for groups at a fee of $35.00 per cocktail server for a maximum four-hour period. Host bars do not include NH<br />

State tax(currently 9%) and customary 20% gratuity, 7% of which is taxed.<br />

• Should a concession set up be needed, a minimum of $350.00 in sales is required per two-hour shift. If the $350 is not achieved, the balance will be<br />

charged to the customer.<br />

• Prices are subject to change without notice. Food and beverage prices will be guaranteed no sooner than 30 days prior to function.<br />

• The New Hampshire Liquor Commission requires that all alcoholic beverages be supplied by the Hotel and dispensed by Hotel personnel. The Hotel<br />

wIll request proper identification of any person of questionable age and may refuse alcoholic beverage service if the person is either underage or proper<br />

identification cannot be produced. The Hotel also reserves the right to refuse alcoholic beverage service to any person who, in the Hotel’s judgement,<br />

appears intoxicated.<br />

• All food and beverage is subject to 20% gratuity (7% of which is taxed). This total is subject to NH State tax (currently 9%). Room rental is subject to the<br />

same tax.<br />

• Groups of more than 50 and less than 250 may offer guests a choice of two entrees. For all meals in which a choice of two entrees is offered, the Hotel<br />

will add $1.50 per person to the price of the meal, which is subject to customary gratuity of 20% (7% of which is taxed) This total is subject to NH State<br />

tax (currently 9%). The group contact will be responsible to provide to the Hotel the correct number of each entree at the time the guarantee is provided.<br />

Color coded tickets must be used to indicate the entree selection of each guest; these tickets can be provided by the Hotel. The Hotel does not offer<br />

more than two entrees for each function.<br />

• Round tables of 10 is the standard seating arrangement of the Hotel for all food and beverage functions. Please advise if a head table is required.<br />

• For decorating purposes, the Hotel does not permit the affixing of anything to the walls, floor or ceiling with nails, staples, carpet tape or other<br />

substance. The Hotel does not permit the use of confetti or glitter. Should it, or anything requiring excessive clean up be used, the cost of clean up will<br />

be added to the function charges. As a safety precaution, the Hotel cannot permit the use of helium balloons in the Ballroom (Salons A/B/C/D) or the<br />

Armory Room.<br />

• If, in the sole judgment of the Hotel, security is required to maintain order due to the size and nature of your event, the Hotel may require you to provide,<br />

at your expense, uniformed or non-uniformed security personnel. Any and all provisions for security personnel must be approved by the Hotel Sales<br />

Office.<br />

• Client should be aware that responsibility for the actions of all guests attending functions is shared among all parties to this contract.<br />

• A coat room attendee may be available upon request.<br />

BILLING POLICIES<br />

• A deposit is required to guarantee space for all catering functions unless prior credit arrangements have been established with the Hotel.<br />

• All charges will be paid five business days prior to the function, unless credit has been pre-approved. A <strong>com</strong>pleted credit application must be received<br />

by our Controller a minimum of four weeks prior to be considered for credit status.<br />

• All banquet checks must be signed by the person in charge or a designated representative at the <strong>com</strong>pletion of each function.<br />

All prices are per person. Please add NH State Tax (currently 9%), 13% gratuity and 7% taxable administrative fee. All prices are subject to change without notice.<br />
