5. Reimbursement will be claimed only for the actual and necessary expenses notedabove. Regardless <strong>of</strong> the above exceptions, the approving <strong>of</strong>ficer may requireadditional certification and/or explanation in order to determine that an expense wasactually and reasonably incurred. In the absence <strong>of</strong> a satisfactory explanation, theexpense shall not be allowed.<strong>12</strong>.2 Overtime Meal AllowanceA. The <strong>State</strong> shall provide <strong>Unit</strong> <strong>12</strong> employees <strong>with</strong> a meal allowance or furnish a meal whenthe employee is required to work at least two consecutive hours prior to or two consecutivehours after their regular work shift. When a meal is not provided by the <strong>State</strong>, the <strong>State</strong> willreimburse the employee up to $8.00 for the cost <strong>of</strong> purchasing a meal.1. In the event that an employee works an additional six overtime hours afterqualifying for the first overtime meal, the <strong>State</strong> will reimburse the employee up to$8.00 for the cost <strong>of</strong> purchasing a second meal if the <strong>State</strong> does not provide a meal.2. Departments may require receipts from employees as substantiation forreimbursement <strong>of</strong> overtime meal expenses. If a department requires a receipt, suchreceipt must clearly show the cost <strong>of</strong> the meal or food items purchased, the date <strong>of</strong>purchase, and the establishment where the purchase was made. In departmentsthat require receipts, reimbursement may not be made <strong>with</strong>out valid supportingreceipts.3. Employees who are on travel status and are being reimbursed for meals underthe business and travel expense provisions <strong>of</strong> this MOU will not receive a meal at<strong>State</strong> expense nor be reimbursed for an overtime meal under the provisions <strong>of</strong> thissection.B. Overtime Meals - CalTrans1. Section 11.2.A above does not apply to <strong>Unit</strong> <strong>12</strong> employees in CalTrans. Thissection shall be known as the in lieu meal allowance.2. CalTrans employees whose regular work day has been extended by two (2) ormore hours shall receive a $6.00 overtime meal allowance <strong>with</strong>out receipts unlessthe <strong>State</strong> provides a meal. Employees are eligible for a second overtime meal in aday provided they work an additional six overtime hours after qualifying for the firstovertime meal. No overtime meal allowance will be paid to employees who areworking overtime on a regular day <strong>of</strong>f unless they work two (2) or more hours inexcess <strong>of</strong> the number <strong>of</strong> hours worked on their regularly scheduled work days.3. No in lieu meal allowance shall be paid to employees for call back work unless theemployees actually work two (2) or more hours contiguous to their normal work day.4. CalTrans employees who are on travel status and are being reimbursed for mealsunder the business and travel expense provisions <strong>of</strong> this Agreement will not receivea meal at <strong>State</strong> expense nor be reimbursed for overtime meals.81BU <strong>12</strong>(99-01)
