5.5 Use <strong>of</strong> <strong>State</strong> Phones/FaxesA. IUOE stewards shall be permitted reasonable use <strong>of</strong> <strong>State</strong> phones to make calls forIUOE representation purposes provided that such use does not result in unreasonablecosts to the <strong>State</strong> or interfere <strong>with</strong> <strong>State</strong> operations.B. IUOE stewards shall also be permitted reasonable and occasional use <strong>of</strong> fax machinesprovided that such use does not result in unreasonable costs to the <strong>State</strong> nor interfere <strong>with</strong><strong>State</strong> operations.5.6 Use <strong>of</strong> <strong>State</strong> FacilitiesThe <strong>State</strong> shall permit IUOE to use certain facilities subject to the operating needs <strong>of</strong> the<strong>State</strong>. Requests for use <strong>of</strong> such <strong>State</strong> facilities shall be made in advance to the appropriate<strong>State</strong> <strong>of</strong>ficial. When required in advance, IUOE shall reimburse the <strong>State</strong> for additionalexpenses.5.7 IUOE Information PacketsA. Upon initial appointment to a position in the bargaining unit, an employee shall beprovided by the <strong>State</strong> <strong>with</strong> a copy <strong>of</strong> the current Agreement as well as a packet <strong>of</strong>information approved by the <strong>State</strong> employer, both <strong>of</strong> which have been supplied by IUOE.B. The DPA will provide IUOE <strong>with</strong> a listing <strong>of</strong> work sites and an approximate number <strong>of</strong>agreement copies and packets to supply to each work site for the initial distribution <strong>of</strong> theinformation packets. With the initial distribution, IUOE will provide information as to how toacquire additional copies <strong>of</strong> these materials as a work site uses up the copies initiallydistributed. The information packet will have attached a post card, postage prepaid, whichthe person supplying the packet to the new employee will fill out and mail to IUOE.5.8 General InformationA. Consistent <strong>with</strong> the Public Employment Relations Board regulations, the <strong>State</strong> shallprovide to IUOE on magnetic tape and printout home addresses, full names, salaries, socialsecurity numbers, employee organization-sponsored deduction codes, agencies, reportingunits, position numbers and class and schematic codes on a monthly basis, <strong>of</strong> allemployees in Bargaining <strong>Unit</strong> <strong>12</strong> in alphabetical order by last name.B. Within 30 days <strong>of</strong> Ratification and annually thereafter, the <strong>State</strong> will work <strong>with</strong> IUOE todevelop lists <strong>of</strong> “work site” addresses and names <strong>of</strong> employees in Bargaining <strong>Unit</strong> <strong>12</strong>.While the <strong>State</strong> will endeavor to develop as accurate and complete a listing as possible,IUOE recognizes that the <strong>State</strong> will develop such lists <strong>with</strong>in existing resources and <strong>with</strong>outincurring unreasonable costs; in addition, due to the varying technological capabilities <strong>of</strong> thedepartments, the lists may vary in formats and/or level <strong>of</strong> detail. Such lists shall be madeavailable to IUOE on an annual basis.C. IUOE agrees to pay the necessary and reasonable costs incurred by the <strong>State</strong>Controller's Office to produce the necessary name/home address tape file on a monthlybasis.5.9 Release <strong>of</strong> Home AddressesA.
