REGENTS’ POLICY MANUALSECTION 2—ACADEMICSProcedures for Promotion(a) The process regarding advancement in rank shall originate in the academic units, according toprocedures determined by the Senior Vice President and Provost.(b) The college dean or the Senior Vice President and Provost may require the chair <strong>of</strong> an academic unitto initiate consideration <strong>of</strong> promotion for an individual faculty member. In such a case, the academicunit must forward a recommendation, to the dean or Senior Vice President and Provost whether ornot it is favorable.(c) Primary responsibility for gathering complete information on pr<strong>of</strong>essional activity rests with theindividual faculty member. In general, documentation <strong>of</strong> the individual's academic accomplishmentsshould include, but not be limited to the following:1) Complete and up-to-date vita, including a summary <strong>of</strong> college and university degrees earned, allpr<strong>of</strong>essional employment, all pr<strong>of</strong>essional honors and awards, and an up-to-date list <strong>of</strong> books andjournal publications by author in sequence. Manuscripts in press or submitted for publication andabstracts should be listed separately.2) Letters <strong>of</strong> evaluation <strong>of</strong> academic performance in teaching, research/scholarly achievement, andservice will be solicited by the chair after consulting with the candidate. Normally, there shouldbe three (3) letters <strong>of</strong> evaluation from individuals outside The University <strong>of</strong> Oklahoma consideredestablished authorities in the discipline who are in a position to evaluate the candidate's academicperformance and suitability for promotion. These letters may be solicited from individuals whowere not suggested by the candidate. There should be three (3) internal (or local) letters <strong>of</strong>evaluation particularly relevant to teaching and service.Examples <strong>of</strong> documentation <strong>of</strong> teaching, research/scholarly achievement, and pr<strong>of</strong>essional and universityservice and public outreach accomplishments are noted in Section 3.9.5 (c) (3)(4)(5). The candidate isentitled to review the information in his/her promotion file.(d) All faculty in the department who are <strong>of</strong> equal or higher rank to which the candidate is beingconsidered shall meet for a discussion <strong>of</strong> the candidate’s qualifications for promotion.Formal consideration for promotion shall originate with the polling by secret ballot <strong>of</strong> all faculty <strong>of</strong>equal or higher rank to which the candidate is being considered in the candidate’s academic unit,including when practical, those who are on leave <strong>of</strong> absence. The chair <strong>of</strong> the academic unit or otheradministrative personnel required to submit a separate promotion recommendation shall notparticipate in this vote.(e) All recommendations from the academic unit, chair, dean, Senior Vice President and Provost, andPresident must be in writing. Reasons must be given for all recommendations except for arecommendation based on any polling <strong>of</strong> the unit's faculty members. In all recommendations that areto be forwarded, the chair shall provide a separate recommendation with supporting reasons.Recommendations <strong>of</strong> the dean and Senior Vice President and Provost must be provided to the unit aswell as to the candidate.(f) Whenever possible, a promotion should be accompanied by an appropriate increase in salary.Promotions should not be delayed because <strong>of</strong> budgetary constraints.
