Applies to all University of St Augustine for Health Sciences StudentsOnline Courses: All grades for the online course assignments will appear in the online grade booklocated in the course platform. At the time of course completion, the final grade will be transferred to theuniversity record system and become a permanent part of the student’s transcript. Grades cannot be givenout via email or telephone. This posting of grades follows the Family Educational Rights and Privacy Act(FERPA). Students are responsible for monitoring their final grades through the myUSA portal.Accessing Grades:Through the myUSA portal Students tab, you can access grades print your unofficial transcript and grades,access/change your personal student information and keep track of all of your current course information.It is very important that you keep this information safe and secure.Grade ChangesA student has the right to appeal a grade received for a course within the first week of the subsequentterm. The request must be made in writing to the course instructor. If the course instructor approves agrade correction, a Grade Change Form must be completed by the instructor and submitted to therespective Program Director. Upon the Program Director’s approval, the Registrar will record thecorrected grade in the student’s academic record and a revised copy can be viewed by the student on themyUSA portal.If a grade change is initiated due to an administrative error in posting of the grade, a Grade Change Formmust be completed with documentation as to the nature of the error and submitted to the respectiveProgram Director. Upon the Program Director’s approval, the Registrar will record the corrected grade inthe student’s academic record and a revised copy can be viewed by the student on the myUSA.portal.If the instructor denies an appeal for a grade change, the student may make an appeal to the ProgramDirector (see Academic Evaluation and Right of Appeal).Coursework Due Dates:All work is due by the scheduled due date at the end of the term for which you are registered. If the workis not submitted for grading by the due date, an “I” (incomplete) will be recorded on your transcript.Repetition of a CourseOn occasion, a student may be required to repeat a course. Under such circumstances, the highest gradethat is achieved is counted towards the cumulative GPA.A student who receives a “D” in any course (or an “F” and has been readmitted), must repeat that coursein its entirety. The student may be permitted to take two (2) additional courses as long as there are noschedule conflicts and all pre-requisite and co-requisite conditions are met, up to a maximum of 12 credithours (Campus-based) and 10 credit hours (Flex Program). A student may take three (3) additionalcourses only if additional credit hours are needed for the student to retain financial aid up to 12 credithours (Campus-based) and 10 credit hours (Flex Program). Under no circumstances will a studentrepeating a course be permitted to take more than 12 credit hours (Campus-based) 10 credit hours (FlexProgram) or take courses where there is a schedule conflict. Students who must repeat a course should notexpect to graduate with their entering cohort. Please check with the Financial Aid office regarding tuition.Audit of a CourseAuditing of a class is permitted, with approval of the Program Director. Auditing of a class requirespayment of full tuition for that course. The student who is auditing may not take practical exams and maynot sit for written exams or quizzes.Trimesters/Terms:University coursework is posted in student records according to the term (usually a trimester) in which allrequirements for the course are completed. Academic credit coursework (cohort based) is generallyscheduled on a trimester basis. Trimester periods consist of approximately 8-15 weeks (based on thecourse) and begin the first part of January, May, and September.University of St. Augustine for Health Sciences 22

The length of a course is approximately 8-15 weeks (based on the course).DEGREE COMPLETION*Acceptance into the University and payment of tuition (on a trimester by trimester basis) is not a contractassuring that the student will graduate with the applied for degree. Graduation will depend on asatisfactory grade point average, professional conduct, and the satisfactory completion of your learner’scontract. This handbook and the course syllabi detail what is considered “satisfactory”. See the Universityappeal process for dismissals and professional behavior issues.* For additional information see individual programs.CONFIDENTIALITY AND RELEASE OF STUDENT RECORDSStudent educational records at the University of St. Augustine for Health Sciences are governed by theFamily Educational Rights and Privacy Act (FERPA) and its implementing regulations. FERPA affordsstudents certain rights with respect to their education records including:• The right to inspect and review the student’s educational records within 45 days of the day theUniversity receives a request for access. Students should submit to the Registrar or otherappropriate official written requests that identify the record(s) they wish to inspect. The Universityofficial will make arrangements for access and notify the student of the time and place where therecords may be inspected. If the records are not maintained by the University official to whom therequest was submitted, that official shall advise the student of the correct official to whom therequest should be addressed.• The right to request an amendment of the student’s educational records that the student believes isinaccurate or misleading. Students may ask the University to amend a record that they believe isinaccurate or misleading. They should write the University official responsible for the record,clearly identify the part of the record they want changed, and specify why it is inaccurate ormisleading. If the University decides not to amend the record as requested by the student, theUniversity will notify the student of the decision and advise the student of his or her right to ahearing regarding the request for amendment. Additional information regarding the hearingprocedures will be provided to the student when notified of the right to a hearing.• The right to consent to disclosures of personally identifiable information contained in the studentseducational records, except to the extent that FERPA authorizes disclosure without consent. Oneexception which permits disclosure without consent is disclosure to school officials with legitimateeducational interests. A school official is a person employed by the University in anadministrative, supervisory, academic or research, or support staff position; a person or companywith whom the University has contracted (such as an attorney, auditor, or collection agency); aperson serving on the Board of Trustees; or a student serving on an official committee, such as adisciplinary or grievance committee, or assisting another school official in performing his or hertasks. A school official has a legitimate educational interest if the official needs to review aneducation record in order to fulfill his or her professional responsibility. Upon request, theUniversity discloses educational records without consent to officials of another school in which astudent seeks or intends to enroll. (Note: FERPA requires that the University make a reasonableattempt to notify the student of the records request).• FERPA permits educational agencies and institutions to disclose, without consent, informationfrom a student’s education records in order to comply with a ‘lawfully issued subpoena or courtorder’.• The right to file a complaint with the United States Department of Education concerning allegedfailures by the University of St. Augustine for Health Sciences to comply with requirements ofFERPA.PRIVACY POLICYThe University of St. Augustine for Health Sciences (USA) is committed to respecting your privacy.
