Meeting Minutes- <strong>Paxtonia</strong> <strong>PTA</strong><strong>October</strong> 1, <strong>2012</strong>Call to Order :Meeting was called to order by Gayle Staub at 7:01 pm.Reading and Approval of Minutes: Karen GreeneMay 7, <strong>2012</strong> meeting minutes will be approved at the next meeting when May minute copies are available.Treasurer’s Report: Karen YeselavageForms:If you are on a committee handling money or when you request reimbursement for expenses there areforms that need to be completed.When money is turned in to treasurer, it should be accompanied by an itemized receipt form. Thereshould be an executive board member there to count with you. If not available, two people should countmoney and sign form. The bottom portion of the green cash receipt form will be returned to thecommittee chair. Executive board members are the only people allowed to transport money out of theschool. You cannot take money home to count it and then bring it back. If executive board member is notavailable, ask Mr. Toone or someone to put money in the safe or a locked closet until executive boardmember can get to the money.If you are requesting reimbursement for expenses or forwarding an invoice to be paid another form mustbe completed. The form also asks for where the check should be sent if you are requestingreimbursement.Audit:Every year we have an examination done by an accountant. Martin, Sachs and Associates did this for us inAugust. Everything was pretty much in order. Two things that they noted were that seven items wereuncategorized like misc. expenses. We have discussed this and will put these expenses in their ownbudget category. Also, we need to approve transfers between our investment accounts through a vote atour meetings.Budget:If you are a committee chair and need a copy of current budget you can get it from Karen Yeselavage.Budget vs. Actual report…middle column is current budget for entire year. The far left are theexpenses/income for the first two months of the year. Income was $2767.69…mostly from Targetrewards for <strong>2012</strong> which was $1200. A little money came in from RFE. $2788.50 expenses from ice creamsocial and deposits from assemblies, etc.Monthly Expense Detail report- $10,457.85 in bank account.Motion to approve the treasurer’s report- Jean King and seconded by Amy Lingle.Correspondence : Paula JuddThank you cards from various people were circulated.Committee Reports:Art Goes to School: Is later in the year, May 22-24 thBlock Parent: no report


Book Fair: Scholastic Book fair scheduled Nov. 9-16 from 8:30 a.m. to 4:00 p.m. Setup Nov. 8th in theafternoon. Volunteers are needed.Dads and Doughnuts: Kelli BelmontEverything going well. Invites were sent out. Volunteers needed.Fundraiser: Allison YarrishRace for Education- Around 5500 mailers have been sent out. Thank you to everyone that helped withmailers. We will meet once a week for next 3-4 weeks on a Thursday or Friday afternoon in the facultyroom to open mailers and tally. Race will have DJ and some other surprise things. We need parents tohelp with water coolers at the race. Last year we sent out under 5000 mailers. This is the majorfundraiser. Covers <strong>PTA</strong> budget of $25,600 and with remaining money we will purchase a weather bug.Ice Cream Social: Nicole ErbThank you for all of the volunteers. Had 371 responses. If anyone has any suggestions for next year,please let Nicole know.In-School Assemblies:Nov. 20 -Internet Safety is geared for K-5Dec. 20- Steven CourtneyApril 5- YOJO for Grades 3-5May 5- Flumba and Friends LiveMay 24- American Pride Laser ShowKid’s Stuff Books: Kelli BelmontThey are ordered and will be on their way. Volunteers are needed.Membership:487 registered as <strong>PTA</strong> Members. Goal is 500. Classroom winners will be announced Friday. Top 4 classesget ice cream party.Reflections: Bill MaguffeeDue date for entries is Oct. 19 th . Contest has professional judges and awards ceremony. Information waspassed out as well as applications. If you need any info, contact Bill.Roller Skating Party (November): Natalie FoxwellScheduled for Nov. 11 from 4:30 to 6:30. Volunteers are needed to help.School Directory:There will be a printed directory this year. All forms are entered on line. Parents should proof the info.Sunny Delight:We had enough rewards for books for 7 classes. They will arrive shortly.Coke Rewards and Campbell Soup Labels also earned rewards for footballs, bouncy balls, bases andsidewalk chalk for recess.Spirit Wear:Catalogs were sent out. There are some new designs.Giant/Karns: Karen YeselavagePlease designate your Giant bonus cards. Program starts Oct. 7 th .


Karns- no voucher program this year. Selling coupon sheets for $5.00.PAC/Legislative- Margo WrightMostly talked about High School issues. They did talk about the new food in cafeteria.Unfinished Business :Historian Committee- Paula JuddNeed parents to take pictures. Looking for someone to train for End of Year Slide Show.Introductions: Executive Board was introduced. Members also did introductions.New Business: Distribution Lists- When paperwork is sent home, it will go to the youngest child. Also checkebackpack. There was a proposal made that “The Contact” be sent out through email or throughebackpack instead of paper copy. Volunteer Sign Up Reminder- Sheets are available to sign up for a committee after the meeting. National Education Week- Randa RossNeed volunteers to sit at table from 9:15 to 11:45 and 11:45 to 3:15 the week of November 12th.Mr. Toone: Please empty out the boxes out front each Monday after <strong>PTA</strong> meeting for Sunny D, printercartridges, etc. 5 Trends:1. A lot more rigor towards grading at the High School level- new grading- 50% tests, 25% quizzesand 25% homework. No more extra credit or test retakes. If you are late, 50% off. We will seehow this trickles down to elementary.2. Technology- BYOD- Bring Your Own Device- This may be in the future for High School level.3. Increase Expectations for Communication- we are to get back to you in 24 hours with someacknowledgement.4. Budget Constraints- At High School level they are not printing out report cards and progressreports.5. Discipline- Begins with establishing relationships. Will be starting a discipline committeesometime this year.Babysitting- We will have 2 American Red Cross Certified Babysitters available for childcare during each<strong>PTA</strong> meeting.Printing: <strong>PTA</strong> pays for own copies. This cost was not built into budget. At the end of the month, checkwith staff to see if someone may have copies left for <strong>PTA</strong> copies.Beth Miller -Baked Goods are needed for Math Night.Bingo Prizes- Allison Long- if you have any unopened gifts you would like to donate.Meeting Rewards:Jerri Bowden won the Mary Kay reward.Meeting was adjourned by Gayle Staub at 7:59 pm.
