<strong>Fire</strong> Safety <strong>Log</strong>bookIn order to comply with the Regulatory Reform (<strong>Fire</strong> Safety) Order 2005 certain checks mustbe carried out and records kept by the University.The College / Department is responsible for arranging• The recording of fire related defects reported and action taken,• Certain weekly checks on escape routes, emergency lighting, fire fighting equipment,• Certain monthly checks on escape routes and fire fighting equipment,• An annual fire drill;• <strong>Fire</strong> training for new staff on starting work and at least every two years thereafter.Most checks are required to be done weekly with a few additional monthly checks. The logbook also allows defects and subsequent actions to be recorded.A record of these checks, drills and training will be held in this <strong>Building</strong> <strong>Fire</strong> Safety <strong>Log</strong> <strong>Book</strong>which should completed by a nominated person or deputy and kept in an accessible location.In buildings that have shared occupancy between different Colleges and/or different parts ofCorporate Services local arrangements should be made to maintain the log book.This logbook may, from time to time, be inspected by personnel from the University’s Healthand Safety Unit or the Enforcing Authority, i.e. West Midlands <strong>Fire</strong> Service.Additional copies of all the forms can down loaded from the Health and Safety Unit website athttps://www.intranet.bham.ac.uk/university/hsu/safety/fire.shtmlThe Estates Maintenance Section is responsible for carrying out and keeping records ofWeekly checks on the fire warning system,Monthly checks on the emergency lighting,Six monthly checks on the fire warning system and emergency lighting,Annual checks on emergency lighting and fire fighting equipment,Three-yearly test on the emergency lighting,Miscellaneous checks on mechanical equipment if applicable.The records of these checks will be held in the Estates Maintenance Section.


Defect Recording <strong>Log</strong>All staff that use the building should have an awareness of the procedures and equipment that should be place to ensure their safety in the event of a fire. (This isexplained to new staff during their induction and is emphasised to all staff when they attend fire training.) As staff carry out their daily duties they should be payattention to these procedures and equipment provided. If they become aware of any defect they should either rectify them immediately or, if they cannot, report them tothe ‘<strong>Building</strong> Manager’ or such person. The <strong>Building</strong> Manager should then record in this log the defect and the subsequent action taken.A list of items to pay attention to include:Escape RoutesShould be clear of obstruction and should not contain flammable materials.Emergency lighting should be undamaged and exit signs should be in good condition.<strong>Fire</strong> exitsShould be able to be opened immediately, easily and be clear of obstructions.<strong>Fire</strong> Warning SystemsShould indicate ‘normal’ and not ‘fault’.<strong>Fire</strong> Extinguishers and BlanketsShould be in place, visible and appear undamaged with the tamper tag intact.<strong>Fire</strong> HydrantsShould not be blocked by vehicles, skips or other items.DefectDate reportedand by whomRequired action Action taken and by whom Defect cleared(signature anddate)

Maintenance SchedulePreventative maintenance and regular testing will ensure that Dorgard functionscorrectly at all times. Ensure you update the Maintenance Record.WeeklyCheck that the Dorgard Plunger is depressed and is holding the door open. Theweekly fire alarm check (10-15 secs) should automatically close the door.MonthlyCarry out the weekly test and in addition dust the unit checking that the 3 holes for themicrophone are open and clear of any dust, dirt etc. Dorgard should be cleaned with aslightly damp cloth.
