<strong>BSR</strong> <strong>Admin<strong>is</strong>tr<strong>at</strong>or</strong><strong>The</strong> <strong>Brit<strong>is</strong>h</strong> <strong>School</strong> <strong>at</strong> <strong>Rome</strong> (the ‘<strong>BSR</strong>’) <strong>is</strong> Britain’s leading humanities research instituteabroad and one of the most prestigious foreign academies in <strong>Rome</strong> supporting the full rangeof arts, humanities and social sciences. One of five research institutes sponsored by the<strong>Brit<strong>is</strong>h</strong> Academy, the <strong>BSR</strong> has an office in London. <strong>The</strong> <strong>BSR</strong> seeks <strong>to</strong> appoint an experiencedperson <strong>to</strong> the post of <strong>BSR</strong> <strong>Admin<strong>is</strong>tr<strong>at</strong>or</strong>, based in <strong>Rome</strong>, but working closely with Londonstaff as well. <strong>The</strong> position carries oper<strong>at</strong>ional responsibility for day <strong>to</strong> day admin<strong>is</strong>tr<strong>at</strong>ion in<strong>Rome</strong>, mid-range financial responsibilities including London and <strong>Rome</strong>, as well as theopportunity <strong>to</strong> work as a key member of the senior management team, reporting <strong>to</strong> theDirec<strong>to</strong>r.To accompl<strong>is</strong>h th<strong>is</strong> it <strong>is</strong> expected th<strong>at</strong> the <strong>BSR</strong> <strong>Admin<strong>is</strong>tr<strong>at</strong>or</strong> will be responsible for:Financial Management (40%)<strong>The</strong> main role <strong>is</strong> <strong>to</strong> support the ex<strong>is</strong>ting financial staff in <strong>Rome</strong> and London throughoversight, process development, communic<strong>at</strong>ion and forward planning, lia<strong>is</strong>on with thefinancial service shared with the <strong>Brit<strong>is</strong>h</strong> Academy, and running value for money tenderprocesses as appropri<strong>at</strong>e. Specific responsibilities may include:• Act as the central contact point with the shared financial service based in London,and lead communic<strong>at</strong>ions between it, the Direc<strong>to</strong>r and the Honorary Treasurer• Review the financial inform<strong>at</strong>ion produced by the shared financial service <strong>to</strong> ensureits accuracy and completeness• Provide and interpret financial inform<strong>at</strong>ion for other budget holders and senior staff• Lia<strong>is</strong>e between budget holders and the shared financial service• Review weekly bank reconcili<strong>at</strong>ions produced by the Accounts Clerk and ensureanomalies are accounted for, and review other control account reconcili<strong>at</strong>ions on a regularbas<strong>is</strong>2


• Moni<strong>to</strong>r cash requirements in <strong>Rome</strong> and arrange for transfers <strong>to</strong> be made from UKbank accounts on a timely bas<strong>is</strong>• Provide holiday and sickness cover for the Accounts Clerk• Manage the reporting requirements for the UK payroll and pension arrangements,and oversee Italian contract <strong>is</strong>sues and payroll (currently outsourced)• Oversee insurance cover for employees, equipment and prem<strong>is</strong>es• Manage the contracts for externally provided services and supplies, includingtendering arrangements and regular value-for-money reviews• Conduct reviews and evalu<strong>at</strong>ions for cost-reduction opportunitiesGeneral Admin<strong>is</strong>tr<strong>at</strong>ion (30%)Develop and maintain efficient admin<strong>is</strong>tr<strong>at</strong>ive systems and provide active admin<strong>is</strong>tr<strong>at</strong>ivesupport <strong>to</strong> colleagues throughout the <strong>BSR</strong>. Specific duties may include:• Manage str<strong>at</strong>egic planning processes (overseeing programming of key d<strong>at</strong>es andworking group activity)• Maintain and improve current admin<strong>is</strong>tr<strong>at</strong>ive systems (including financial systemsand internal controls)• Develop and implement new admin<strong>is</strong>tr<strong>at</strong>ive systems as required• Support the admin<strong>is</strong>tr<strong>at</strong>ive responsibilities of the Direc<strong>to</strong>r and Ass<strong>is</strong>tant Direc<strong>to</strong>r• Oversee the recruitment of new staff, including induction and training whereappropri<strong>at</strong>e• Ensure adequ<strong>at</strong>e support staff levels <strong>to</strong> cover for absences and peaks in workload inthe admin<strong>is</strong>tr<strong>at</strong>ive team (including providing or arranging holiday and sickness cover)• Oversee and review the prov<strong>is</strong>ion of office equipment• Oversee the admin<strong>is</strong>tr<strong>at</strong>ion of taught courses3


• Proven planning, organ<strong>is</strong><strong>at</strong>ional and priorit<strong>is</strong>ing capability• Well-developed communic<strong>at</strong>ion and interpersonal skills, preferably with experienceof servicing committees.• Excellent IT skills (including a good working knowledge of word-processing,spreadsheets, d<strong>at</strong>abases, internet and e-mail)• Ability <strong>to</strong> analyse user needs for IT, research standard solutions, and develop briefsfor special<strong>is</strong>t IT providers• Sound financial skills• Experience in an office environment, preferably in higher educ<strong>at</strong>ion.• A good-quality first degree<strong>The</strong> successful candid<strong>at</strong>e will be able <strong>to</strong> demonstr<strong>at</strong>e evidence of• Ability <strong>to</strong> provide a high-quality service responding <strong>to</strong> the needs of colleagues andexternal bodies within deadlines and <strong>to</strong> agreed standards• Ability <strong>to</strong> work independently and as part of a team• Willingness <strong>to</strong> learn and show initi<strong>at</strong>ive and enthusiasmCandid<strong>at</strong>es from outside Italy will be offered reasonable reloc<strong>at</strong>ion expenses.5
