1.2 Terms (Delivery Time)
The average delivery time for PRIORITY mail items
within Europe is 2-4 days; to other destinations 3-7
days. Further information on the delivery times can
be obtained at the postal branches.
1.3 Postage Paid
You can prepay your international letter mail items by:
• stamps
• franking – sender
• franking – Austrian Post
• postage paid in cash:
The prerequisite for using postage paid in cash franking
(“Bar freigemachte Sendungen”) is that at least
20 letter mail items of the same basic product and
with the same weight are posted at the same time.
The mailings must be sorted by basic product and
taken to one postal branch along with a corresponding
posting list.
The weight of the mail items is determined at the
point of acceptance. In cases where the weight indicated
by the sender in the posting list deviates from
the one determined by Austrian Post, the latter shall
be deemed as correct.
Incorrect information given by the sender in terms of
number of items, grammage or rates shall not affect
the valid conclusion of the contract in accordance
with the General Terms and Conditions of Austrian
Post as amended from time to time relevant for the
specific posting.
1.5 Posting, Point of Posting and Time of Posting
1.5.1 General Provisions
1.5.1.1 The letter mail items’ weight is to be determined by
Austrian Post. If the sender has been left to determine
the weight, the weight determined or indicated by
the sender shall be deemed as correct unless there
is proof to the contrary.
1.5.1.2 The sender has the duty to pack mail items in such a
way that they are protected against loss and damage.
1.5.1.3 In cases where forms are provided for the use of
Austrian Post’s services, these have to be in their
latest and thus valid versions. Austrian Post gets
to decide whether or not any forms not issued by
Austrian Post are operationally compliant. Forms
are to be completely filled out by the sender. Forms
submitted to Austrian Post shall remain with Austrian
Post.
1.5.2 Affixing the Address and Other Information
1.5.2.1 On every letter mail item, the correct and complete
recipient’s address, using Latin characters and
Arabic numerals has to be stated.
1.5.2.2 Sender’s instructions indicating how to handle the
mailing shall be binding only in those cases in which
they accord to the form specified in the Index of
Products and Prices of Letter Mail International.
1.5.2.3 By adding details on the address side of the mail
item the sender can
• exclude redirection of the letter mail item;
• request that the mailing be kept ready for collection
at a postal branch (poste restante) – this
sender’s instruction may be subject to a charge,
depending on the country of destination.
These details must be written in a language spoken
in the country of destination.

1.6 Basic Products
The low-priced tariffs for Standard and Standard
Plus letters require machinable mail items and
machine-readable mailing addresses. For the criteria
of machinable mail items, please refer to Appendix 1
and/or the Brochure “Richtig Adressieren” (“Addressing
Items Correctly”).
product class is charged. Excepted from this rule
are “Maxi letters”, “Maxi Plus letters”, “Large letters”
has to be completely filled in and added to the mail
item; on the address side the mail item is designated
by the abbreviation “A.R.”
11.4 Delivery to addressee in person
Delivery can only be made to the person mentioned
in the address or to a specifically authorised person.
In the case of certain destinations, it is only permitted
in combination with the advice of receipt. The
shipment must be designated with the words “Eigenhändig
– personal delivery” on the address side.
11.5 Insured Letter *
Registered Priority letter mail items can be sent as
insured letters to destinations offering this service (for
further details, please contact the customer service
of Austrian Post by calling 0810 010 100, max. 10
cent/minute from all over Austria); mailings containing
items worth more than EUR 50.- must be posted as
an insured letter. It is not permitted to indicate values
that exceed the value of the contents. In the case
of damage or loss, the maximum compensation
payment corresponds to the declared value. The
extra service is only possible in combination with Brief
International Priority and the extra service Registe-
red Mail. Insured letters are marked by the label for
International Registered Mail. No further designation is
permitted that would suggest the mail item’s valuable
contents; using seals is not permitted. Posting insured
letters by using a letter box is not permitted.
11.6 Cash on Delivery
Delivery of the mail is only made upon the collection
of the stated COD amount.
Please refer to the postal branches for information
about the permitted destinations and maximum
amounts.
A special fee is charged for COD shipments. In the
letter mail item’s respective destination, additional
fees may be charged for the international transfer of
the COD amount.
A completed form entitled “Auslands-Nachnahmepostanweisung”
(for a template, please see Section 13) is to
be added to the mail item. The mail items are labelled
using labels issued by Austrian Post (for a template,
see Section 13).
The address must be written in such a way that
the addressee is identified without any doubt. The
addressee indicated must be a single natural or legal
person. The use of initials, codes, mere first names,
aliases or agreed upon characters is not permitted.
Fictitious addresses are not permitted.
The COD amount as well as the currency given in
Arabic numerals and words has to be indicated both
on the mailing and the form “Auslands-Nachnahmepostanweisung”
in such a way that any subsequent
changes (e.g. erasures) would be noticed. It is not
permitted to cross out the amount or change the
amount subsequently.
Fractions of the currency unit must be stated by two
(or three) numerals including the zeros corresponding
to tenths, hundredths (and thousandths).
The abbreviation of the currency unit is to be
indicated in front of the amount – on principle in accordance
with the international ISO 4217 standard.
The amount is to be repeated in words in full, followed
by the designation of the currency unit either
unabbreviated or abbreviated in accordance with the
ISO 4217 standard. Any fractions of the currency
unit do not have to be repeated.
The international COD postal orders are basically
issued in the currency of the country making the
payment. The postal service providers of the COD
shipment’s country of destination shall themselves
determine the conversion ratio of their currency to
that of the country making the payment. In the case
of currencies belonging to the European Currency
9
INDEX OF PRODUCTS AND PRICES LETTER MAIL INTERNATIONAL
Union the conversion ratio corresponds to the official
exchange rate (determined by the European Central
Bank).
When transferring the COD amount into an account,
it is necessary to additionally state the credit
institution, the account number and designation, the
bank code or, depending on the country, the BIC
and IBAN code.
The COD amounts collected in the country of destination
are transferred to the sender or the beneficiary
indicated by the sender and are either paid out in
cash or credited to the mentioned account located
in Austria in accordance with the rules of Österreichische
Postsparkasse AG. Crediting the amount
into the indicated account is deemed as proper
payment.
A fee pursuant to Section 10.1 is collected for the
crediting and/or payment of the COD amount.
Should the attempt to deliver the COD amount to be
paid in cash not be successful, the sender and/or
the beneficiary is informed that the COD amount will
be kept at the delivery post office for collection until
the third Monday following the day of notification.
COD amounts kept ready for collection at postal
branches (poste restante) remain there until the third
Monday following the day they were received.
Undeliverable COD amounts
COD amounts are deemed as undeliverable if no
payment/transfer to the sender or beneficiary, person
authorised for acceptance or substitute recipient
is possible, or if the sender and/or beneficiary could
not be determined due to an incorrect or incomplete
address/bank connection and no payment can be
made to a delivery point mentioned in a redirection
order either. COD amounts shall be deemed as
undeliverable if the sender or the beneficiary refuses
to accept the amount and/or to confirm the proof of
delivery, the entitlement to receipt cannot be proved,
or if the COD amount is not collected within the
required term.
The sender and/or beneficiary shall be entitled
to demand of Austrian Post the payment of an
undeliverable COD amount within a term of 3 years
(starting with the work day following the day the
COD amount was paid in).
Shipments from abroad
Shipments from abroad are delivered in accordance
with the domestic provisions of Austrian Post as
amended from time to time. The COD amount is
paid to the sender or beneficiary in accordance with
the regulations of the country making the payment.
Austrian Post is entitled to pass on any fees to the
recipient of an international COD shipment charged
by sub-contractors in the context of performing the
COD service.
The recipient of an international COD shipment shall
pay a return charge in accordance with Section 10.1
for the returning of the COD amount.
14 Appendix 1 – Requirements for
Machinability
14.1 General
A mail item has to meet the following criteria:
INDEX OF PRODUCTS AND PRICES LETTER MAIL INTERNATIONAL
• No surfaces serving the processing of the mail
item must ever be printed with reflecting or fluorescent
colours. Envelopes made out of plastic or
other transparent materials as well as envelopes
with windows that cover their entire surfaces are
not permitted.
• Rectangular or square, without holes or press
cuts
• Surface must be flat and smooth
• Bulky objects are not to be placed in the shipment.
Nor may they be attached to its exterior.
• The covering has to be a paper envelope or bag
(except for card-shaped shipments and folded
letters /self-mailers)
• The shipment has to be sealed on at least three
sides.
Standard and Standard Plus letters have to be
sufficiently flexible.
14.2 Layout of Sender’s Address and of Franking,
Scanning and Coding Zones
14.2.1 Sender’s address area
The sender’s address is to be placed in the upper
left area, and no closer than 40mm from the topmost
edge. Should space not permit otherwise,
the sender’s address may, in exceptional cases, be
placed on the back.
In cases in which these details are presented in a
window or on an address label, these have to be arrayed
in a single line – one line above the recipient’s
address and clearly separated from the others.
14.2.2 Franking Zone
The franking zone is where the postage paid impression
is affixed. No other inscriptions are to be placed
on it.
14.2.3 Address Field
This field contains the recipient’s address. If possible,
its background has to be bright or white; the
inscription (the print) a dark shade where possible.
14.2.4 Coding Zone
On items being sent as Standard or Standard Plus
mailings, the coding zone is at the bottom edge
(height: 15 mm) and must not have any inscriptions
or printing placed into it. The surface has to be white
or has to have a single bright hue.
14.3 Envelopes and Bags: Specifications
franking zone
14.3.1 Paper Quality
The packaging’s paper has to have a grammage of
at least 70 g/m 2 .
Closure flaps have to be glued up to the outermost
edge. Non-sealed items have to have their flaps
tucked in.
14.3.2 Window
The minimum size is 35 x 90 mm.
Windows have to be rectangular; Standard and
Standard Plus letters have to have their windows
parallel to the long side. Maxi and Maxi Plus letters
have to have their windows parallel to one of the
shipment’s edges.
Windows have to be located in the address field and
their foils have to be firmly attached to the envelope.
No materials with dull or tinted surfaces may be used.
The entire address has to be visible in the window.
The contents of the envelope must not be capable
of shifting in a way to obscure any parts of the
address.
The front side of the envelope must have no other
window than that of the address.
14.4 Card-shaped Letter Mail Items
Maximum dimensions: 235 x 162 mm
Paper quality:
• Up to A6 = postcard (148 mm x 105 mm)
Grammage: min.160 g/m²
max. 500 g/m²
• Bigger than A6
Grammage: min. 200 g/m²
max. 500 g/m²
The address field must always be separated from
the sender’s address or text by a line of at least
1mm thickness which starts and/or ends 15 mm
from the bottommost edge and 40 mm from the
topmost edge, regardless of the shipment’s height.
INDEX OF PRODUCTS AND PRICES LETTER MAIL INTERNATIONAL
Card-shaped items featuring a non-divided address
side are subject to the same layout guidelines in
force for mail items placed in envelopes.
14.5 Letter Mail Items without Envelopes
(Folded Letters, Self-Mailers)
Maximum dimensions 235 x 162 mm
Paper quality: Grammage: min.70 g/m²
The mailing items have to be sealed on at least
three sides with only one of the long sides remaining
unsealed. No clips are to be used for sealing the
shipments.
14.6 Address
The address is to be placed on the side of the
envelope that does not have a flap (for Standard and
Standard Plus letters, the address has to be parallel
to the long side; for Maxi and Maxi Plus letters parallel
to one of the mail’s edges).
The address has to be placed in the designated field
or window, flush with the left margin. The latter means
that the beginning of all lines of print are aligned
with each other, so as to form a block. Blank lines
and expanded fonts are not permitted.
Only the following special characters are permitted
in the address block: period, comma, apostrophe,
hyphen, ampersand (&) and slash.
Lines, underlines and frames are not permissible
within the address block.
Computerised addressing has to leave enough
space for the point of delivery. A failure to do so will
cut off long street names and could lead to building,
stairway or door numbers being left out.
14.7 Mechanically Legible / Machine-Readable Font
The writing has to be printed using a font of at least
10 points (corresponds to a height of capital letters
of approx. 2 mm).
The gap between the lines, measured between the
descenders of one line to the ascenders of the next
line (interline lead), must be at least 1 mm.
Clearly legible fonts with clearly separated letters are
to be used.
Not permissible are italics, decorative fonts and fonts
featuring interlocked letters.
Best suitable are therefore fonts which are simple
and clear (sans serif) such as Arial, Helvetica, Univers
or Futura with a size of 10 to 12 points.
14.8 Checking Machinability
Austrian Post will be happy to answer any questions
you may have regarding the layout of mail items. Any
layouts differing from those detailed in this Appendix,
specifically the mechanical legibility / machinereadability
of their addresses and the machinability
of shipments, can therefore only be checked if the
sender provides Austrian Post with sample mailings
which are then subjected to a test run. The mailings
actually brought to be posted must match the approved
test samples.
14.9 Further Recommendations for Sending
Addressed Mailings Efficiently
Austrian Post is increasingly using mechanical
processing for addressed mailings. To ensure that
the shipment is processed as rapidly and safely as
possible, Austrian Post recommends that you make
sure that all addressed mailings can be mechanically
read and processed.
Details regarding the machinability of addressed
shipments of all formats are available in the information
brochure “Richtig Adressieren” (Addressing
Items Correctly) issued by Austrian Post. This brochure
is accessible at www.post.at/business.
