<strong>15.66</strong> <strong>Issue</strong> <strong>of</strong> <strong>Stationery</strong>- <strong>On</strong> <strong>receipt</strong> <strong>of</strong> <strong>various</strong> <strong>items</strong> <strong>of</strong> stationery indented,entries showing the quantity <strong>of</strong> each item is entered in the Stock Register and thequantity issued is also entered in the relevant column. The entries are signed by theconcerned Stores Assistant and endorsed by Executive Officer. The entries in theregister are made as per the following format; on the two facing pages <strong>of</strong> theregister (one side for <strong>receipt</strong> and the other for issue).STOCK REGISTERName <strong>of</strong> Article _______________________Date Particulars Quantity Signature<strong>of</strong><strong>of</strong> vendor Received <strong>of</strong> StoreReceiptinchargeBALANCEIn <strong>Issue</strong>dStore duringmonthOverallbalanceDate andInitials<strong>of</strong> theHead <strong>of</strong>BranchReceivingOfficerThe stationery <strong>items</strong> are issued by the Assistant incharge <strong>of</strong> the Stores onlyagainst proper form/<strong>of</strong>fice note signed by the incharge <strong>of</strong> the respective Sections orby the concerned Officer/P.S. in case <strong>of</strong> Under Secretary and above.The following points are to be borne in mind by the respective Sectionheads/P.Ss./P.As. while preparing the indent <strong>of</strong> stationery:(i)(ii)(iii)(iv)(v)the pr<strong>of</strong>orma/note sent in duplicate is duly signed;the demand <strong>of</strong> stationery <strong>items</strong> is reasonable and essential;adequate reasons are furnished for any special/additional requirement;there is no overwriting, cutting etc. on the indent and any alteration, ifany, is attested by the concerned Officer/Head <strong>of</strong> the branch; andblank space in the note is crossed by indenting Section/Officer.The quantity <strong>of</strong> each item <strong>of</strong> stationery issued is entered in copies <strong>of</strong> the noteand also in main supply control register after obtaining signature <strong>of</strong> a person sent bythe indenting Officer/Branch.The stationery is issued to the indenting Section/Officer on monthly basisbetween 3.00 p.m. to 5.00 p.m. from 5 th to 26 th <strong>of</strong> every month on all working days.Normally, no supplementary indents are entertained from any Section/Officerexcept in emergent cases and for that the concerned Section has to providejustification therefor.There is a distribution register for stationery <strong>items</strong>. The distribution registershows the requisition number, date, name <strong>of</strong> the Section/Officer and the quantitysupplied. The relevant entry is made in the central stock register at the end eachmonth.RAJYA SABHA SECRETARIAT (STORES SECTION)
