Dear Colleagues,<br />

Wave 2 practices went live as scheduled on June 22 and July 13, bringing the total number <strong>of</strong> clinics to<br />

51. (See http://myapex.ucsf.edu/ambulatory/overview/.) There are now over 1,600 providers and staff using<br />

APEX. More than 70,000 patient visits have been charted in the system, and more than 75,000 electronic<br />

prescriptions have been written. Here is an update on the deployment timeline, system optimization, training<br />

and black-out dates:<br />

Deployment Timeline<br />

The Ambulatory go-live timeline remains unchanged, as follows:<br />

� Ambulatory Wave 3 – Nov.16<br />

� Ambulatory Wave 4 ─ Spring 2012 (to be announced in fall)<br />

The inpatient deployment schedule was changed due to the magnitude <strong>of</strong> technical effort necessary to integrate<br />

all existing systems into APEX. The inpatient deployment schedule is:<br />

� Pharmacy / electronic Medication Administration Record (eMAR) / Bar Code Medication<br />

Administration ─ Feb. 25, 2012<br />

� All inpatient clinical with CPOE, scheduling, registration, ADT, billing ─ June 1, 2012<br />

Ambulatory Wave 1, Wave 2 Optimization<br />

Optimization <strong>of</strong> APEX for providers in Wave 1 and Wave 2 are underway. Dr. Peter Churgin joined the APEX<br />

team to assist with optimization efforts. He has over 15 years <strong>of</strong> Epic ambulatory implementation and<br />

optimization experience, working with large health organizations including Kaiser Permanente, Cedars-Sinai<br />

and Sisters <strong>of</strong> Mercy. He practices family medicine in Arizona. He and Dr. David Buchholz will work to ensure<br />

that APEX supports the most efficient delivery <strong>of</strong> the highest quality <strong>of</strong> care.<br />

They will focus on developing easier, more efficient ways to use the s<strong>of</strong>tware through short cuts, better<br />

navigation, simplified workflows and enhanced system configurations. Other areas to be addressed include<br />

establishing an ongoing support model and reducing turnaround time for support issues. They have already<br />

made progress improving the experience <strong>of</strong> Wave 1 providers.<br />

Patient Visit Volume<br />

Providers decreased patient visit volume for go-live to give them an opportunity to gain experience using<br />

APEX. Some providers had issues returning back to full productivity. The August statistics are encouraging,<br />

however, as most providers are back to their prior visit volume. Support is available for providers who continue<br />

to struggle returning to full patient visit volume. Practice managers can contact the Go-live Support staff for<br />

additional help or training.<br />

Training<br />

In response to provider requests for post go-live training, there are eCourses and classroom sessions, Drop-in<br />

Support and Knowledge at Noon webinars:<br />

� Level 300 eCourses and Classroom Training<br />

o eCourses can be found on the UC Learning Center. (See https://learningcenter.ucsfmedicalcenter.org/).<br />

eCourses in the 300 range are for experienced users. Most are less than five minutes and can be found by<br />

entering AMB3* in the search field.<br />

o Level 300 Classroom sessions are two hours with additional Super User support. Highly recommended<br />

for providers after four to six weeks experience.<br />

� Drop in Support is <strong>of</strong>fered to answer your questions about how to use the systems at the following times and<br />

location each week:<br />

o Parnassus – Tuesdays, 2 – 4 p.m., Room M-281<br />

o Mount. Zion – Thursdays, noon – 2 p.m., 1701 Divisadero St., Suite 150<br />

� “Knowledge at Noon” Webinars<br />

o Wednesdays, noon – 1 p.m.<br />

Black-out Dates<br />

We are asking that providers and clinic staff not take vacations the week prior to, the week during and the<br />

week after go-live. Your participation during this period is important because <strong>of</strong> the extra resources that will<br />

be available to help you become familiar with your new workflows.<br />

implementation <strong>of</strong> APEX to meet the growing regulatory and reimbursement challenges <strong>UCSF</strong> Medical Center<br />
