<strong>TAFE</strong> <strong>Queensl<strong>and</strong></strong>Version:Timing of entry of Result CodesFinal results are to be entered into ISAS within five (5) days of the Close of Study (COS) date.The Close of Study (COS) is the final point in time where ALL learning <strong>and</strong> assessment activity <strong>for</strong> a given unit is to becompleted – including ALL retesting.<strong>Recording</strong> of ResultAn ISAS Detail Missing <strong>Results</strong> Report, an approved CRM system which automatically assigns the result, or alternateassessment tracking documents may be substituted <strong>for</strong> a Grade <strong>and</strong> COS Report.Where approved by the institute, teachers can enter their own results into ISAS without completion of a Grade <strong>and</strong> COSReport (or equivalent). In this case, the individual ISAS login of the teacher is considered to be a digital signature <strong>and</strong> hasthe required integrity <strong>for</strong> audit purposes.Where results are entered into ISAS from the Grade & COS Report (or equivalent <strong>for</strong>m) this is the verifiable document <strong>and</strong>must be held on file or archived in line with current approved retention periods. ISAS Grade & COS Report Checklist (ifapplicable):- Enrolment <strong>and</strong> eligibility <strong>for</strong> each student has been verified. <strong>Results</strong> have been recorded legibly. The result to be entered is a final result, with the exception of the K, R or S result. The result code to be entered into ISAS is a valid code <strong>for</strong> the Grade Basis showing <strong>for</strong> the student Every student number has something against it – whether a result or an exception entry. No printed student number, code or column heading has been altered. Totals have been accurately recorded. Errors have been neatly crossed out <strong>and</strong> signed by the person responsible <strong>for</strong> the alteration. Assessor has recorded their name, signed <strong>and</strong> dated each page of the Grade & COS Report. The person authorised to enter data into ISAS has recorded their name, signed <strong>and</strong> dated each page of the Grade & COSReport. The person authorising the result/s <strong>and</strong> the person entering the data is not the same person If an institute officer’s name appears as a student on the Grade <strong>and</strong> COS Report, that institute officer has not signed or initialledat the foot of the document or entered data into ISAS.Issue of ResultStudents with access to ISAS Student Self-Service are able to view their result electronically. Students who cannot accessthis service retain the option to request a printed Result of Assessment (ROA) at no cost where it is the initial print. (Note:-Institutes are not m<strong>and</strong>ated to provide the student with a printed ROA.)Re-Issue of ResultWhere an institute has elected not to print the initial ROA, no fees are applicable should the student request a printedversion. A student may request re-issue of a previously printed ROA however fees are applicable.When producing an Academic History, the institute needs to be aware that a student’s academic record in ISAS only goesback to 1999. Students’ academic records prior to 1999 are accessible through DRSWEB (ISAS & CAP Reporting). Whensupplying a student with an Academic History, the operator must ensure that an Academic History is also produced fromDRSWEB – CAP WEB Reports - DRS028, if the student has academic records in the <strong>TAFE</strong> legacy system CAP that arenot in ISAS.When a student requests academic records that are not accessible in DRSWEB – CAP WEB Reports (prior to 1993),please refer the student to BNIT Academic Records on 07 3258 5957.Fees are applicable <strong>for</strong> an Academic History if printed on official stationary.Change of ResultAll Result Codes are final result codes. A change of result should only occur due to human error, or where a student hashad a result re-evaluated through a successful academic appeal. A final result should not be applied as a “holding” result<strong>TAFE</strong> <strong>Queensl<strong>and</strong></strong> <strong>Recording</strong> <strong>and</strong> <strong>Issuing</strong> Student <strong>Results</strong> Guideline 3


<strong>TAFE</strong> <strong>Queensl<strong>and</strong></strong>Version:with the expectation it will be changed. Amendment of a final result code, or movement of either SOS or COS date once afinal result has been added may have financial <strong>and</strong> reporting implications.Students who request an extension of their COS date need to apply in writing to the Institute Director (or delegate) as perindividual institute policy. Teachers/assessors who require extra delivery or assessment time, need to negotiate with theirEducational Manager (or delegate) as per individual institute policy.Managing student withdrawals (Drops without participation <strong>and</strong> Drops with participation)Teachers <strong>and</strong> Trainers are responsible <strong>for</strong> the primary learning relationship with the student – this responsibility includesmonitoring student attendance <strong>and</strong> progression <strong>and</strong> identifying students at risk of disengaging or not completing a courseof study - <strong>and</strong> to put in place mitigation strategies to encourage the student to complete.It is recommended that within four (4) weeks of a student commencing an individual unit/module, teachers establish thatthe student is engaging in the learning activity. Where there has been no engagement in the learning activity <strong>and</strong> thestudent is no longer undertaking the unit/module, teachers should in<strong>for</strong>m administrative staff to process a ‘Drop’ in ISAS‘without participation’.Where a student commences a unit however subsequently chooses not to complete, teachers should in<strong>for</strong>m administrativestaff to process a ‘Drop’ in ISAS within 10 days from the student’s last date of attendance. This will result in the studentreceiving a ‘AW’ Result Code on their academic history.Recall of Incorrect ResultWhen a result has been issued in error, or because a document or representation was found to be false, misleading or wasobtained or made in another improper way, the result should be corrected by the Institute that issued the result.Administrative staff, in conjunction with the relevant teacher, must check the student’s records to confirm that the result hasbeen issued incorrectly.The Educational Manager (or equivalent) is to:-• in<strong>for</strong>m the student of the incorrect result• request the student return the Result of Assessment (if applicable)• in<strong>for</strong>m the student of the correct result <strong>and</strong> direct student to student self-service to view updated result, or providestudent with a new Result of Assessment (ROA)If the student appeals the decision, process the appeal according to the institute’s Academic Appeals process.Deceased StudentA Fail or Not Competent result should never be applied to a deceased student’s enrolments. If the student did notcomplete sufficient assessment to be judged competent, the student should be dropped. <strong>TAFE</strong> <strong>Queensl<strong>and</strong></strong>Version:Recognition / Credit TransferRefer to <strong>TAFE</strong> <strong>Queensl<strong>and</strong></strong> Recognition Policy <strong>for</strong> application rules.• Credit transfer is training credit <strong>for</strong> a unit of competency or module previously completed by a client <strong>and</strong> includesgranted application <strong>for</strong> recognition. Credit transfer <strong>and</strong> recognition are essentially administrative processes. Theseare not <strong>for</strong>mal enrolments in the normal sense, because they involve neither delivery nor assessment of the student’sknowledge. However, credit transfers need to be recorded <strong>and</strong> reported, firstly to exempt the student from the need toenrol in the unit, <strong>and</strong> secondly <strong>for</strong> the purposes of provider <strong>and</strong> systems calculation of qualification eligibility.(AVETMISS outcome identifiers 6.1)• A qualification cannot be attained entirely through credit transfer, except where there is a statement of equivalence asappears in an agreement between two approving organisations (refer to <strong>TAFE</strong> <strong>Queensl<strong>and</strong></strong> Recognition Policy).• Apprentices <strong>and</strong> Trainees may have the whole program recognised by transfer credit if changing SupervisingRegistered Training Organisation (SRTO).• Credit transfers should not be processed in ISAS if an equivalent rule exists. The equivalent unit will be recognisedautomatically <strong>for</strong> Academic Advisement purposes.• Credit transfers should not be processed in ISAS <strong>for</strong> student results that are contained in CAP, as these are reportedin the AVETMISS files as a new credit transfer. This affects the validity of the reporting. Awards that require theseresults <strong>for</strong> Academic Advisement purposes should be <strong>for</strong>ced after manual checking, with an appropriate commentregarding CAP history.Code Description Summary of UseTTransfer CreditThis is the default code in ISAS <strong>for</strong> a Credit Transfer. In this situation, a student does not attemptall of the assessment <strong>and</strong> has not <strong>for</strong>mally withdrawn or arranged acontinuing status. <strong>TAFE</strong> <strong>Queensl<strong>and</strong></strong>Version:Non Assessable Enrolment (NAA <strong>and</strong> NOA Grade Bases)The NAA Grade Basis is used when a course is non-assessable <strong>and</strong> the course is required to be considered <strong>for</strong>award eligibility. Attendance grades of "B" <strong>and</strong> "E" are assigned. For example, Vocational Placement may be part of theaward rules but there is no assessment - the student needs to participate successfully to gain a "B" grade. If the NAAGrade Basis is applicable, Product Systems Support (PSS) will set this up at the Course Catalogue level.The NOA Grade Basis is used when a student is enrolled in a class <strong>for</strong> an assessable course but is not to beassessed (i.e. student has applied to the institute not to be assessed). In this case, the same attendance grades areassigned to the student BUT the grades do not count towards award eligibility.
