Zeta Mu Risk Management and Crisis Plan And Contact ListThe Risk Management and Crisis Management Plan we use is a combination of steps taken from theRMF manual of Sigma Chi and the Crisis Management PlanUse: The crisis management plan is an outline to handle situations in which1. Serious physical injury has occurred to a brother or guest of the fraternity on chapter grounds.2. A death has occurred to a brother or guest on chapter grounds.3. Any other situation where the seriousness may require the closing of the house.Implementation Procedures:1. In the event of a serious situation, the first step is to immediately call 911 or the appropriateauthorities. Get help immediately. Have an emergency First Aid kit and First Aid procedures handbookon hand in case immediate first aid needs to be provided until professional help arrives.2. Immediately close the chapter house. If the house is full of strangers, then different stories willemerge. It is also important maintain control. Remember that as Consul, you are in control of everysituation. Members will be turning to you for answers. Remain calm let members know that you are incontrol of the situation. Closing the house helps you to gain and maintain control of what is happening. Italso helps to get all the members on the same page as you as far as what needs to be done next.3. Gather all members and inform them of the situation. Tell them what you have done and what youplan to do. Appoint one person to speak to outsiders (media, etc.) This should be either the PR chair orthe Consul. No statements need to be made without first consulting the Chapters legal counsel.Remember that the situation is serious enough to be called a crisis, therefore it is probable that aninvestigation will occur. The integrity of the chapter and the investigation should not be compromised byarrogant or misplaced remarks. When dealing with media, don't let it look like you have anything to hide,but do inform them that you are not able to speak with them without consulting legal counsel first.4. Call THE LIST. These numbers should be kept on file in case you are not there to handle thesituation. THE LIST should include1. The chapters legal counsel2. Chapter Advisor3. Grand Praetor or other headquarters link4. University officialsBE TRUTHFUL: By making these calls, you are informing the people who will be working behind thescenes in case of public relations and possible legal actions. Their trust has to be established in the factthat you have presented them with the facts. These people will know where the liability will lie. If it lieswith the Chapter, chances are that you should already have foreseen this possibility to begin with. If youare following Sigma Chi and university Standard Operating Procedures, then liability should not be aconcern.5. Immediately document everything. The who, what, when and where's of the situation. Take thenames, addresses and phone numbers of all witnesses and people involved. Also remember to take thenames of the police officers that responded to the call. Write down the events as you know or saw them.Again don't lie. The sooner you can document things the better because the event is still fresh in yourmind. Remember that the times are important as well. Document what time everything happened.6. Check on the person injured. If you can't go yourself, then send someone in your place. Notify familymembers if the injury is serious enough that they cannot do it themselves.7. Go to the police department. Offer support and cooperation in any way that they may need. Like Isaid before, if you were doing what you should have to begin with then there is nothing to fear in doingthis. Make sure to obtain a copy of the police report for your records. Give them your list of witnesses.Let them use you as a resource for any contact information they may need. This will only help you.8. Re-cap what you have done. Document every step you have taken, everyone you talked to, and whattime you talked to them, including your calls to THE LIST.
