Avoid sustained static postures. Remember that even appropriate 

postures become inappropriate when maintained for too long. 

Move the chair close to the desk and sit back on the seat. Adjust 

the chair back so that the upper body is relaxed and supported. Raise 

the chair seat so that, with the upper arms vertical, the elbows are 

level with or just above the desk. 

Sitting with the chair too low and too far from the desk encourages 

a slouched posture with no support from the chair back. The head 

is tilted forward. Feet are hooked around the chair base restricting 

blood circulation in the legs. Shoulders may be hunched. 

Set the chair position and height as described in G1 above. Use a 

foot rest if the feet do not touch the ground. Height-adjustable chair 

arms provide additional support for the upper body when not keying. 

If the armrests restrict desk access, consider removing them altogether. 

Shorter people often set the chair height so that their feet are 

firmly on the floor. If this is too low for the desk, it is likely to 

result in arms stretched forwards (or sideways) and/or 

shoulder lifting. This causes undue muscle tension. 

TOUCH TYPISTS can raise the monitor so that the visible screen top is just 

below eye level. Any document holder should be at screen height and in the 

same focal plane to minimise head twisting and tilting. COPY TYPISTS may 

prefer the screen to one side and the document holder directly in front. 

If the monitor is set too low, this encourages the operator to tilt the head 

downwards. As a result, the whole body tends to lean forward, moving 

away from the support of the chair back and encouraging slouching. 

“HUNT AND PECK” TYPISTS who need to look at the keyboard may 

want to position the monitor lower to minimise “nodding” between 

the two. The document holder should be placed between the 

monitor and keyboard to avoid twisting. 

You will not be able to benefit from these instructions 

unless you know how to adjust your chair.

your Health & Safety Advisor or chair supplier.

They are for guidance only and will suit the majority of situations. The products illustrated are representative rather than 

definitive (foot rests, for example, will not aIways be necessary). Corner or shaped desks may require slightly different 

configurations. Best practice will depend upon the needs of the individual and the nature of the activities involved.

Arrange your desk layout to make best use of 

available space. Use your mouse (or trackball) 

close to the keyboard. Document management is 

very important. If you need to look at the keyboard 

when typing, the best place for the document 

holder is between the monitor and the keyboard. 

Other tools, such as the telephone, should also be 

readily accessible without stretching and twisting. 

If you write whilst using the telephone, hold the 

handset with your "non-writing" hand. A headset 

will dramatically improve comfort and convenience. 

G5a Make sure there is a comfortable viewing 

distance between your eyes and the screen and have 

some space between the keyboard and the front of 

the desk. With traditional monitors, you may need 

to move the desk away from the wall (or the desk 

behind) to create sufficient screen distance. Place 

the screen in front of you so that you face it 

without twisting your body. Ensure your legs are not 

obstructed by any drawers under the desk. If your PC 

is occupying too much desk space, move it off the 

desk. If you are not a touch-typist, you may also like 

a wrist rest for support when you are not typing. 

Clear the space under the desk so that you can place 

your legs underneath it without twisting or leaning 

forward. If the drawers or pedestal are free-standing 

or detachable and you have sufficient space, create 

further legroom by moving them clear of the desk. 

LAPTOP USERS - special notes 

A separate keyboard and mouse will make a significant 

improvement to layout flexibility. By using one of the proprietary 

laptop stands to tilt the computer, it is also possible to raise 

the screen to an acceptable height and viewing distance.

Laptop use is a major source of musculo-skeletal problems. Using a 

laptop on its own for any length of time will inevitably cause poor 

posture which in turn is likely to lead to head, neck and/or back pain.

extensively, consider a mini keyboard. This brings 

the mouse/trackball much closer to you on the 

right and can reduce muscle tension significantly.

POSTURE GUIDANCE

STRETCHING EXERCISES 

1 1. BACK AND NECK 2 

Clasp hands behind head. Bend head 

forward, gradually stretching out the upper 

part of the neck, whilst breathing deeply. 

Keep the back and shoulder regions as 

upright as possible to stretch the muscles 

at the back of the neck. Hold for five 

slow breaths. 

EIGHT STRETCHES FOR SEDENTARY WORKERS 

These exercises are designed to help and protect a healthy body. The benefits of stretching are improved flexibility and decreased risk of injury. 

They address muscular imbalance, decrease physical stress and make you feel better.

5. WRIST AND FOREARM STRETCH 

Extend right arm in front, flex hand. 

Stretch forearm muscles by placing palm 

of left hand firmly across back of hand. 

Hold for five slow breaths. Repeat for 

other hand. 

2. SIDE NECK 

Place palm of left hand above right ear. 

Pull head to left, stretching side of neck, 

whilst taking three deep breaths. This 

stretches the muscles at the side of the 

neck. Repeat to other side. 

6. WRIST STRETCH 

Place palms together as if praying. 

Raise elbows (thus extending wrists). 

Position fingers at the lower end of the 

breastbone, pressing palms fully together. 

Hold for five slow breaths. This stretches the 

muscles of the front of the wrist and arm.

3. UPPER BACK AND SHOULDERS 

Stand sideways to wall. Place right hand 

on wall (straight elbow) and stretch left 

arm over head to right. Keep feet together. 

Take four deep breaths in the position, 

repeat on other side. This stretches the 

side of the spine and spinal muscles.

7. FINGERS AND PALMS 

Hold hands in front and stretch fingers 

wide (fan shape). The palms should be 

stretched. Hold for four breaths. This 

stretches muscles of the hands and fingers. 

4. BACKWARD SHOULDER STRETCH 

Clasp hands behind back. Reach out 

backwards over chair back, whilst 

expanding chest, arching back and 

lifting hands. This stretches the 

chest and muscles of the chest. 

Hold for five slow breaths. 

8. CHAIR TWIST 

Sit on chair (preferably non-swivel type). 

Cross right thigh over left and twist upper 

body to right whilst pushing right thigh 

with left arm. Hold for four breaths. 

Repeat on other side. This stretches 

the muscles of the lumbar region.

Even if you have never thought about ergonomics before, the next pages of 

this catalogue will take you systematically through the process of setting up a 

computer user to optimise posture and minimise the risk of developing (or 

worsening) musculo-skeletal problems such as back pain or RSI.

Start with the chair 

A supportive chair is critical to a comfortable 

working position. You need to know how to set 

it up and what posture you need to achieve. 

when you are not sitting on the chair. This will ensure you don’t suddenly tip 

back or forward when you are not ready. 

To decide whether your existing chair is up to the job, think about the questions 

below: 

Can I adjust the seat height to get my elbows level with the desk? 

Can I get the back angle to a comfortable position? 

Can the back height be adjusted so that the lumbar support 

area fits the small of my back? 

Is the lumbar support comfortable or can it be adjusted or 

pumped up? 

Is the seat depth right as it is or can it be adjusted so that it 

supports my thighs with a few centimetres gap behind the knee? 

Review your existing chair 

To get your posture right, first refer to our 

POSTURE GUIDANCE page before this section or 

visit www.ergoergo.info for an animated version. 

Does the chair have armrests? 

If the chair has them, are they height-adjustable in such a 

way that they don’t get in my way (e.g. banging against 

the desk) when I am working? 

Make sure you have instructions showing what adjustments are possible with 

the chair you are using. 

If you don’t have these already, see if you can find them 

online (there may well be a label on the underside of the 

seat showing the manufacturer and/or model details). 

If all else fails, play around with all the knobs and levers 

you can find to see what they do. First of all, try them

What sort of chair do I need? 

If you find yourself answering “no” to the following questions, consider these 

factors when looking at our range of new chairs: 

Start off by thinking about what features you must have. As a minimum, we 

recommend height-adjustable seat, height- and angle-adjustable back and seat 

slide. 

If you want armrests, they should be height-adjustable. Some armrests also 

include other features so think about whether you want them to be widthadjustable, 

depth-adjustable or to pivot left and right. Refer to the CHAIR 

FEATURES EXPLAINED page for more information about what is available and 

what these expressions mean. 

Next, think about the dimensions of the chair you need by considering your 

own body dimension (anthropometric) data. 

To do this properly, take all the measurements shown on our WORKSTATION 

REVIEW sheet and then compare the data to the dimensional information on 

our comparison charts for the seating range(s) you are interested in.

To be sure the chair fits the small of your back comfortably, you should also 

consider an adjustable lumbar support. This (usually inflatable) adjustment 

changes the profile of the chair back to fit the curve of your spine. 

Consider other, more specialist options, such as a neck 

rest to support your head (if, for example, you work long 

shifts or have a whiplash injury)? 

If you have specific injuries or 

disabilities, look at the specialist 

options: 

A split back supports the spine without making contact 

with sensitive post-operative scars; a split 

seat addresses knee bending problems, 

specialist armrests can provide extra support 

and a coccyx cutout supports the buttocks 

around the coccyx without making contact 

with the bone itself.

We offer two types of alternative keyboard: contoured and mini. All models have “standard pitch” keys with 19mm between centres. 

The contoured designs separate the alpha keys in the middle to reduce ulnar deviation. Some models allow the split and tilt to be adjusted to suit the user. 

Mini keyboards have no numeric keypad and, being narrower, reduce the right shoulder abduction/load when using a mouse. Many computer users have no great need of the numeric 

keypad and gain desk space without it. Mini keyboards are also lighter and more portable for use with laptop kits. 

Split keyboards have been measured in the closed setting. Numeric keypads are suitable for use with mini keyboards or for left-handed keyboard operators or to use with a mini keyboard.

Mini keyboards have no numeric keypad and, being narrower, reduce the right shoulder abduction/load when using a mouse. Many computer users have no great need of the numeric
