<strong>ISIE</strong>/IMAGING CONFERENCE REGISTRATION:<br />
All presenters must register and pay the fees to attend the <strong>Conference</strong>. (<strong>ARVO</strong> Annual Meeting<br />
registration is separate.) Go to http://www.arvo.org/isie/ to register online. Reduced early-registration rates<br />
ends Friday, March 29.<br />
PAPER/INVITED SPEAKER SESSION SCHEDULE<br />
Saturday, May 4, <strong>2013</strong><br />
8:00 AM – 5:30 PM<br />
<strong>Presentation</strong>s are scheduled in 15-minute blocks – 12 minutes for the presentation, and 3 minutes for<br />
discussion.<br />
CONTINUING MEDICAL EDUCATION (CME):<br />
<strong>ARVO</strong> is an accredited CME provider and requires all presenters to comply with the Updated ACCME<br />
Standards for Commercial Support of CME. As a presenter, you are required to do the following:<br />
* Fully disclose any personal financial interest or relationship that you, your co-authors, and authors’<br />
spouse/life partners may have with any commercial interests<br />
* Design a presentation that is independent, objective, scientifically rigorous, balanced and free of bias<br />
* Assure that scientific studies utilized or referenced in your presentation are from sources acceptable<br />
to the scientific and medical community<br />
In addition, the U.S. Food and Drug Administration (FDA) requires disclosures be made to conference<br />
participants of unlabeled or unapproved uses of drugs or devices contained in presentations. Please be sure to<br />
disclose any such uses when you are discussing unlabeled or unapproved uses of drugs or devices.<br />
DISCLOSURES:<br />
First Authors must disclose any Commercial Relationships, including the name(s) of the firm(s) with which a<br />
commercial relationship exists, conflicts of interest, and/or patents or patent applications, associated with the<br />
abstract at the time of their presentation. Indicate None if applicable. All Commercial Relationships must<br />
be stated orally and indicated on a slide at the beginning of the presentation. See Sample Slide for an<br />
example. Additional Commercial Relationships that were not indicated at abstract submission must be<br />
disclosed at presentation. See the <strong>ARVO</strong> Commercial Relationships Policy for details.<br />
WITHDRAWAL POLICY:<br />
As First Author, you are scheduled to present your abstract. Changes in the presentation type, time, and<br />
location cannot be made. If you cannot present, you must withdraw by contacting the <strong>ARVO</strong> Office at<br />
isie@arvo.org to provide notification of your withdrawal. Notifications must be received no later than<br />
Monday, April 29.<br />
<strong>ARVO</strong> RECORDING POLICY:<br />
Recording (photographing, audiotaping, or videotaping) any presentation/session is PROHIBITED, except by<br />
an <strong>ARVO</strong>-authorized agent or by First Authors who want to photograph their poster presentations. Violators<br />
risk confiscation of their equipment and/or dismissal from the Annual Meeting as deemed appropriate by<br />
<strong>ARVO</strong>.<br />
PAPER/INVITED SPEAKER SESSION AUDIOVISUAL INFORMATION:<br />
All Power Point slides and other files for presentation in the oral session must be uploaded in advance via<br />
Internet to a central server. The presentations will be sent directly to the session room’s computer (PC and
Mac compatible). You will receive an email from PSAV, <strong>ARVO</strong>’s official audio-visual vendor (see “How To<br />
Submit Your <strong>Presentation</strong> Online” below) with instructions on how to login and upload your presentation.<br />
Computer Equipment: The computer in the session room will be Windows 7 based PC with<br />
Microsoft PowerPoint 2010.<br />
Other Equipment: Your session room is equipped with a computer, data projector and laser pointer.<br />
No Internet Access: Please note that Internet access will NOT be available in the session room during your<br />
presentation.<br />
Apple Macintosh Users: Mac computers will be available in the Speaker Ready Room for practice<br />
and editing your presentation. NOTE: Apple Keynote-based presentations cannot be supported.<br />
Please contact PSAV directly for alternative options.<br />
PREPARING YOUR PRESENTATION:<br />
Acceptable formats for presentations:<br />
PowerPoint (.ppt and .pptx)<br />
Adobe Acrobat (.pdf)<br />
The following media formats will be accepted:<br />
USB Flash Memory Drive<br />
DVD+-R<br />
CD-R and CD-RW<br />
IF YOU HAVE A SPECIALIZED PRESENTATION FILE FORMAT, NOT LISTED ABOVE,<br />
THAT IS REQUIRED TO RUN YOUR PRESENTATION YOU MUST CONTACT TECHNICAL<br />
SUPPORT (PSAV) NO LATER THAN APRIL 26 TO REQUEST TECHNICAL SUPPORT.<br />
Send an e-mail to Content1@psavcms.com with details about your presentation requirements no later than<br />
April 26.<br />
*Note: PSAV personnel are not responsible for your devices. Please label each device with your name, date of<br />
presentation, session number, and program presentation number.<br />
Video Formats: The recommended video format for Windows-based presentations is Windows Media<br />
(.wmv).<br />
Laptops: Personal laptops cannot be used in the session rooms. You must load your files via online upload<br />
or onsite via a PSAV technician who will provide support for file transfers from your laptop. You should still<br />
bring a backup of the presentation on alternate media (see list of acceptable formats above). Please make sure<br />
you have all power, video, and networking adapters with you.<br />
Microsoft PowerPoint Tips:<br />
Video Clips:<br />
PowerPoint embeds image files directly into the file when you save them, while video files are not embedded.<br />
Only a link is made to the video file. Copy the video clips you want to insert into the same folder as the<br />
PowerPoint file. This will eliminate the problem of PowerPoint losing the link to the file. Be certain to bring<br />
the video files and the PowerPoint files to the meeting.<br />
Fonts:<br />

Arial and Helvetica are recommended for clarity and compatibility.<br />
Confirm a font size of AT LEAST 24 points for body text and 36 – 40 points for headings.<br />
Light colored text on a dark background is advised.
Avoid using red or green - up to 5% of the population is red-green color blind: Sample Use of Color<br />
Slides.<br />
Confirm that the maximum number of lines in text slides is no more than 6 or 7.<br />
Images: The size of the screen will be 1024 x 768 pixels, meaning that any image with more pixels in the X<br />
or Y coordinate that is more than that will not be displayed. The image will be altered by PowerPoint to fit.<br />
Large images (i.e. 2000 x 1500 pixels) which are created with digital cameras and scanners will make the<br />
resulting PowerPoint file very large. This may cause the presentation to load slowly. This can be avoided by<br />
inserting images with the following properties:<br />
Format = (.jpg)<br />
Recommended Size = (800x600 pixels)<br />
Compression Setting = 8 (High quality)<br />
Use the “Insert” feature of PowerPoint to add images to your presentations. Do not copy/paste them into the<br />
slide or click and drag.<br />
Macintosh Users:<br />
Please make sure that all inserted pictures are either JPEG or PNG file types. QuickTime (.mov) files are also<br />
an accepted video format. NOTE: Apple Keynote-based presentations cannot be supported; please<br />
contact PSAV directly for alternative options.<br />
DURING YOUR PRESENTATION:<br />
The session room will be staffed with an AV technician who will assist in starting each presentation. Once the<br />
presentation is launched, the speaker will control the program from the podium using a computer mouse<br />
or the up/down/right/left keys on a keyboard.<br />
HOW TO SUBMIT YOUR PRESENTATION ONLINE:<br />
Advanced Online Submission:<br />
Online submission of your presentation files via Internet is recommended.<br />
Please make sure to upload all videos and fonts required for your presentation. Any movies, sounds, or fonts<br />
not included in your online upload folder will cause your presentation to fail in the meeting room. If the size<br />
of your video file is too large to upload, bring it to Grand A-B of the Sheraton Seattle Hotel, 2 nd floor<br />
main building, 5:00-7:00pm Friday, or 7:00am on the day of your presentation.<br />
You will receive an email from PSAV <strong>Presentation</strong> Services that includes details for uploading your<br />
presentation, with a link to the website and your login and password. Please check your spam filter.<br />
Files must be uploaded no later than 5pm CST, Thursday, May 2, <strong>2013</strong>.<br />
Bring a Backup: Be sure to bring a backup copy of your presentation with you to the Meeting. If you plan<br />
to upload files on-site, bring two copies.<br />
HOW TO SUBMIT YOUR PRESENTATION ON SITE:<br />
Onsite Submission:<br />
<strong>Presentation</strong> slides may also be uploaded onsite, at Grand A-B of the Sheraton Seattle Hotel, 2 nd<br />
floor main building (adjacent to the Washington State Convention Center), on Friday 5/3, between 5:00 –<br />
7:00p, or 7:00am the day of your presentation, via flash drive, CD-ROM, or personal laptop. PSAV<br />
technicians will be managing the onsite presentation upload.<br />
SECURITY:<br />
Speakers will need to provide identification in order to submit your presentation and also to access it.<br />
All media are returned to the speaker once it is loaded on the server. Be sure to label all media with<br />
your name and session information. PSAV personnel are not responsible for unlabeled devices.
Cameras and video equipment are not permitted.<br />
All files on the computers are deleted at the end of the day, unless permission has been granted to<br />
<strong>ARVO</strong> to retain the presentation files.<br />
All files are deleted off of all computers at the end of the Meeting, unless permission has been granted<br />
to <strong>ARVO</strong> to retain the presentation files.<br />
