To provide effective administrative support to the Director of Quality<br />

and the Quality function<br />

Main Duties and Responsibilities<br />

1. To act as the first point of contact for day to day enquiries in relation to Quality and<br />

Professional Development (QPD) and disseminate information accordingly, ensuring<br />

prompt responses to queries and/or actions arising.<br />

2. To manage the day to day smooth running of the office, including supplies, resources<br />

and equipment as well as team diaries/calendars/central leave rota.<br />

3. To work closely with business support and curriculum teams and ensure effective<br />

communication and information flow.<br />

4. To update quality assurance procedures, practices and systems to ensure an<br />

effective function in line with <strong>College</strong> and awarding body requirements.<br />

5. To monitor and administer individual and team development plans and ensure all<br />

activities are completed to deadline.<br />

6. To monitor post-observation action plans and respond to any training requirements<br />

arising.<br />

7. To forward plan and co-ordinate training activities, organising internal and external<br />

training events for curriculum staff including; booking courses, collecting and<br />

summarising evaluation, generating purchase orders, organising travel, venues,<br />

refreshments and setting up of equipment for teaching staff.<br />

8. Maintain up to date computerised and manual records for curriculum staff<br />

development and use these to monitor, track and summarise activity.<br />

9. Record and summarise the impact of training and disseminate findings to teams.<br />

10. Maintain and update the QPD area within the Staff Intranet system on a regular basis<br />

including any good practice identified.<br />

11. In conjunction with the Director of Quality, book and administer lesson observations<br />

on all teaching staff, including staff in probation and liaise with the observation team<br />

to arrange bookings and ensure timely report completion.<br />

12. Update the computerised database and manual systems for recording and reporting<br />

lesson observations and liaise with curriculum teams to ensure timely completion of<br />

post-observation action plans and return of all required paperwork and evidence.<br />

13. To provide regular compliance and progress reports to the Director of Quality.<br />

14. To ensure the smooth setup, implementation and completion of Learner Voice<br />

Surveys including working closely with the Learning Resource Centre, Funding and<br />

Data team and curriculum teams.<br />

15. To disseminate findings of Learner Voice Surveys to teams and ensure immediate<br />

response to satisfaction rates and emerging patterns.<br />

16. To file and maintain up to date records of awarding body reports and ensure <strong>College</strong><br />

action plans are completed and returned timely.<br />

17. Provide awarding body status reports as and when required to the Director of Quality.<br />

The postholder will be required to undertake other duties as directed by the Principal (or<br />

his/her delegated representative) appropriate to the administration of the <strong>College</strong> and within<br />

the abilities of the postholder.<br />
