Call for Sponsors, Exhibitors and Advertisers<br />

Dear Collaborator,<br />

The 32 nd Congress of the Scandinavian Society of Anaesthesiology and Intensive Care<br />

Medicine (SSAI 2013) will be held at Logomo Congress Center, Turku, Finland, 26–29 August<br />

2013. The topics of the scientific programme will cover all fields of our specialty with a theme<br />

“Focusing on the brain”.<br />

This letter is a call for Sponsors, Exhibitors and Advertisers. We provide a possibility to be a<br />

Main Sponsor or Sponsor of the congress with maximum visibility and contacts. Your company<br />

can hold industrial symposia. You can also reach the attendees by participating in the exhibition<br />

and/or having an advertisement in the Programme Booklet or in the Abstract Book. Furthermore,<br />

you may have an insert in the congress bag. You can find more information regarding<br />

collaboration with the 32 nd Congress of SSAI in the attached fact sheet.<br />

During the meeting, you will be able to approach one-to-one more than 800 practising physicians<br />

and nurses mainly from the Nordic countries together with colleagues from the Continental<br />

Europe and overseas. The total number of participants is estimated to exceed 900 as in previous<br />

SSAI biannual meetings. An important fact to our Finnish collaborators: there will not be a joint<br />

annual meeting (Operatiiviset päivät) with the surgeons in November 2013.<br />

Sponsorships, exhibition spaces, advertisements and other activities will be allotted on a ”first come,<br />

first served” –basis.<br />

Exhibition build-up<br />

SSAI2013 sells only space with electricity. Any structures, walls, chairs, tables and other items can be<br />

rented separately from the contract exhibition builder (Turku Fair and Congress Center, see below for<br />

contacts). These items will be billed directly by the contract exhibition builder.<br />

Exhibitors must contact the contract exhibition builder (Turku Fair and Congress Center, Kimmo Salminen)<br />

for allotted space and stand design by 30 July 2013.<br />

Structures over 2.5 m in height will be placed a minimum of 2 m from the next exhibitor’s place unless the<br />

two exhibitors agree upon another placement. Moving or reflecting logos must remain within the space<br />

allotted to the exhibitor.<br />

Terms of payment and billing<br />

10% of the exhibition fee will be billed by 30 May 2013 and the remaining 90% by 30 July 2013. All of the<br />

fee must be paid prior to 25 August 2013. Those making the reservation after 30 April 2013 will be billed<br />

immediately upon reservation.<br />

Cancellations<br />

An exhibitor has the right to cancel the reservation without any costs if it is done within seven (7) days after<br />

SSAI2013 has confirmed the reservation. If the exhibitor makes a cancellation later, a handling fee of 20%<br />

of the space price will be billed. Cancellations on reserved spaces after 1 August 2013 will be billed 100%.<br />

Cancellation or a change in reserved space must be performed in writing (e.g. via e-mail) to the SSAI2013 /<br />

University of Turku, Congress Office.<br />

A reserved space may be re-allotted if<br />

• the exhibitor cancels his participation<br />

• the exhibitor does not complete the payments as stated above<br />

• the exhibitor has not used the allotted space by 6 pm on 25 August 2013
