The mission of the Association, which remains the same today, was to promote and encourage the development of the agricultural, pastoral, horticultural, industrial, manufacturing and cultural resources of the State of Queensland. Today the RNA represents around 5, 000 members and the RNA Showgrounds hosts not only the Ekka but hundreds of other events and activities each year. The Ekka still remains the RNA’s landmark event, running over ten days at the same site as the very first show back in 1875. RNA’s exciting Regeneration project will rejuvenate and provide the Ekka with state of the art facilities and see the RNA Showgrounds become the centrepiece of a new mixed-use precinct in Brisbane (Bowen Hills). The RNA Showgrounds is set to be transformed into a lifestyle and cultural hub for the community to access all year round. One of the key reasons for redeveloping the RNA Showgrounds is to generate year round, seven days a week vitality throughout the precinct for use by the community. The regeneration will preserve the historic character of existing facilities, while creating a new and unique sense of place for all Queenslanders. Primary Function (Why this job exists) This position reports to the Food & Beverage Manager and is responsible for the preparation of staff rosters, the coordination of operations on the floor, staff training, development and performance to the RNA’s 5 star standards, the monitoring of labour and material costs, uniform, linen and service standards, cash takings and coordinating the requirements of the client and other RNA departments. Key Responsibilities/Accountabilities<br />

MAIN DUTIES AND RESPONSIBILITIES:-<br />

Administration<br />

To ensure maximum security of all areas under control, paying particular attention to valuable assets<br />

Responsible for cash takings and reporting any discrepancies to the Senior Supervisor F&B . Ensure<br />

all event reports and labour cost reports are completed through EBMS.<br />

To assist the assistant Food and Beverage Manager F&B in managing RNA sectional staff, including<br />

training and appraisals.<br />

To place requisitions for all beverage, amenities and event operation stocks, within designated area,<br />

through EBMS material and resource control system.<br />

To establish par level for all perishable beverages, amenities and operational stocks, within<br />

designated area, and to ensure stocks are maintained at desired level.<br />

To implement weekly and monthly duty rosters for casual F and B staff in accordance with forecasted<br />

events and prepared and implemented by Assistant F&B.<br />

To work with casual labour for all banquet events in accordance with event requirements and the<br />

approved ratio through EBMS or manual requisition.<br />

Responsible for checking and certifying staff time cards before forwarding to the Assistant F&B for<br />

final approval.<br />

Responsible for compiling weekly/monthly attendance reports (including overtime) for assistant F&B<br />

’s approval and submission thereafter to payroll for processing purposes.<br />

Responsible for maintaining the desired casual labour cost within designated area as prescribed by<br />

the management in accordance with the proposed budget.<br />

Responsible for requesting linen for function usage and sending to Housekeeping thereafter for<br />

laundry.<br />

Operations<br />

To ensure a prompt, courteous response and follow up to all enquiries.<br />

Liaise with clients regarding their event/function, ascertaining and noting their exact needs.<br />

To show the client the various facilities available, advising and discussing the merits of the various<br />

options.<br />

To advise and discuss all Food and Beverage requirements.<br />

To monitor and control provisional and confirmed function bookings through EBMS.<br />

To update status board and advise all relevant departments once confirmation of the event/function<br />

is received.<br />

To conduct daily shift briefings to ensure all information is channelled to staff.<br />

Liaise with the relevant departments to ensure all levels of service are maintained in accordance with<br />

RNA’s 5 star service.<br />

Responsible for the coordination of operations on the floor and to further develop a strongly based<br />

approach.<br />

To ensure that requested beverages are served timeously and ensure the quality is maintained to the<br />

highest standards.<br />

Liaise with Event Planning or the RNA’s management regarding special requirements, V.I.P functions,<br />

etc through EBMS.<br />

Liaise with clients having regard to their specific requirements with the aim of ensuring the success of<br />

their events.<br />

To ensure that tables are correctly set and that table appointments, including flower arrangements or<br />

any required decorations are impeccable.<br />

To check the function room/hall for cleanliness and readiness before guests arrive, table layout and<br />

stipulated specific requirements.<br />

To check equipment against the function checklist/Event Order to ensure that no items have been<br />

misappropriate or mislaid.<br />

To ensure that all staff are correctly and smartly dressed at all times and to ensure that the service of<br />

food and drink is courteous and professional.<br />

Responsible for serving food and beverage when assigned to a main table, VIP or VVIP for state<br />

banquets, gala dinners and other special events.<br />

To ensure the presentation of table linen, staff uniforms and front and back of function halls, meeting<br />

rooms, holding rooms area are maintained at the highest standard at all times and that all flower<br />

requirements are ordered as necessary.<br />

To ensure F and B staff productivity level is at the highest level at all time.<br />

Undertake any other similar duties as required from time to time as prescribed and instructed by the<br />

Senior Supervisor F&B<br />

Human Resources & Training<br />

To assist in providing related in-house training, training on the usage of EBMS, organisation and<br />

monitoring of Event Casual staff.<br />

Responsible for attending all planned training sessions conducted or scheduled internally or<br />

externally.<br />

Comply with policies and procedures relating to health, safety, welfare, security, confidentiality and<br />

data protection, reporting any concerns to the appropriate personnel.<br />

Apply current legal and in-house HR procedures to ensure the retention of good staff and the<br />

provision of high quality services.<br />

Sales & Marketing<br />

Collect desired information about delegates or guests through EBMS, interaction or any other<br />

appropriate mode to feed into Client Database for future reference.<br />

Present and collect Guest Comment Card/Form to and from delegates for Guest Satisfaction<br />

indexing study by management.<br />

Facilities<br />

To work closely with the Facilities and Technical departments and external contractors to schedule<br />

preventive maintenance to ensure all equipment is well maintained and ensure periodic inventory is<br />

exercised.<br />

Conduct daily inspection of all beverage stores, back of the house and other beverage related areas<br />

to ensure all fixtures, fittings and other operating equipment are in working order.<br />

Responsible for reporting defects to appropriate department(s).<br />
