Overview <br />
Joining the <strong>Oregon</strong> <strong>Zoo</strong> Foundation (OZF) team means the chance to advocate for one of the <br />

zoo’s 20-‐year master plan. <br />

Position Mission/Purpose <br />
Reporting to the Membership and <strong>Development</strong> <strong>Systems</strong> Manager, the <strong>Development</strong> <strong>Systems</strong> <br />
<strong>Administrator</strong> is a key, full time staff position responsible for managing the daily operations of <br />
the Raiser's Edge database and coordinating the workflow of the Donor Relations team. This <br />
position works closely with foundation staff, zoo staff, and volunteers, and serves as an <br />
enthusiastic advocate for zoo membership in the community. <br />
Duties include: maintaining the integrity of the Raiser's Edge database; coordinating timely and <br />
accurate entry of gift information; preparing strategic data selects for lists and reports; <br />
managing database coding structure; managing prospect research; conducting data analysis <br />
and implementing process improvement strategies. <br />
Responsibilities: <br />
• Administer database operations to assure accuracy and completeness of <br />
information, implement forward-‐thinking data coding strategies, conduct system <br />
maintenance and upgrades (in coordination with Metro), facilitate reliable <br />
backups and business continuity, and maintain a healthy database environment <br />
• Develop campaign, fund and appeal codes for tracking <br />
• Recommend and implement data entry standards, policies and procedures to assure <br />
accurate and timely recording of membership and donation information <br />
• Document database applications and perform regular database validation, routine <br />
systems maintenance and security functions <br />

• Manage processing forms to assure proper and timely recording of gifts <br />
• Develop, manage and implement ongoing database training program for OZF staff <br />
• Manage the database Procedures Manual to ensure that its content is systematically <br />
reviewed for accuracy and relevance and that staff has access to it and is aware of any <br />
updates <br />
• Respond to user issues and challenges, and recommend solutions as appropriate <br />
• Establish data entry standards and work closely with Donor Relations and Finance <br />
Teams to assure/validate accuracy of data entry <br />
• Develop and implement database security procedures <br />
• Manage the donor prospect research function for OZF including: <br />
o manage plan for donor prospect research and tracking <br />
o identify prospects, analyze interests, affiliations and relationships, assess giving <br />
capability and propensity, evaluate and make recommendations to OZF managers to <br />
identify individual, foundation and corporate prospects <br />
o prepare comprehensive confidential profiles, brief biographical summaries, gift <br />
histories and special research reports for fundraising staff and volunteers. <br />
o track prospects and donors through monitoring daily news, online information and <br />
internal information <br />
• Under the direction of the Membership and <strong>Development</strong> <strong>Systems</strong> Manager, <br />
work collaboratively as a member of the team to assure successful <br />
implementation of process improvement and technology integration efforts <br />
• Provide prospect research upon request, manage flow of requests for research in <br />
support of moves management strategies, and identify tools for conducting <br />
research <br />
Required Knowledge, Skills and Abilities <br />
Success in this position depends on a thorough understanding of The Raiser’s Edge database, <br />
proficiency in analyzing and utilizing database information and the ability to advocate for the <br />
best practices in information management while supporting the organization’s future vision. <br />
The successful candidate will have the following qualifications: <br />
• Advanced knowledge of the Raiser’s Edge fundraising software system, Microsoft Office <br />
(including Access and Excel) and Crystal Reports. Experience with Importomatic highly <br />
desirable <br />
• Minimum of 3 years of experience working with Raiser’s Edge or a similar database <br />
• Understanding of prospect research and moves management <br />
• Ability to supervise, train and motivate staff and volunteers <br />
• Demonstrated strengths in data analysis and data-‐driven strategic planning <br />
• Ability to manage multiple demands in a rapidly changing environment <br />
• Strong team player with a high degree of organization and initiative <br />
• Strong commitment to the mission, vision and values of the <strong>Oregon</strong> <strong>Zoo</strong> and the <strong>Oregon</strong> <br />
