Registration Policies and Procedures 

Instructions: 

1. Complete all portions of the registration form and forward to: IACLEA Annual Conference, 

342 North Main Street, West Hartford, CT 06117-2507. A check payable to IACLEA Annual 

Conference, or a copy of an approved purchase order or credit card authorization for registration 

fees (or any combination) MUST accompany the form. Correct fees must be received at IA- 

CLEA for an attendee to be registered. All registration fees must be paid in U.S. dollars. 

2. Your name and institution will appear exactly as you indicate on this form. 

3. Print or type all information. 

4. Make copies of this form for any additional persons who wish to register. Send a separate form 

for each registration. 

5. Please copy your completed registration form for your records.

Registration Policies: 

1. Only individuals registered and badged may attend conference events. Note the spouse/guest 

name on the Delegate registration form if an additional badge is requested. Children need 

badges, so include their names as well. 

2. No registration may be processed without payment or receipt of a purchase order. For 

registration purposes, an institution’s purchase order will be treated as cash. 

3. Payment or purchase order must accompany the registration form in order to receive the early 

registration discount. 

4. All registration cancellations must be sent in writing to IACLEA Headquarters, 342 North Main 

Street, West Hartford, CT 06117-2507. 

Any registration cancellation postmarked (or emailed) prior to June 1, 2011 will incur a $50 

cancellation fee. 

Any registration cancellations postmarked (or emailed) on or after June 1, 2011 will forfeit all 

registration fees. Forfeited fees cannot be applied to future meetings. 

Substitutions from within the same institution are permitted at no additional cost. All 

substitutions must be made in writing and accompanied by a completed IACLEA Conference 

registration form. 

5. Checks or purchase orders received by IACLEA without registration forms will be automatically

About the Hotel 

Located in the city’s uptown financial district, the Westin Charlotte is a stunning architectural note on 

the Charlotte skyline. It is just steps from the NASCAR ® Hall of Fame, and a short distance from the 

Harvey B. Gantt African American Culture Center and the Bechtler Museum of Modern Art. You can

Airline Travel 

Airline transportation to Charlotte: The designated airport is Charlotte Douglas International Airport 

(CLT). Charlotte Douglas International Airport currently offers more than 650 flights per day and direct 

non-stop service to 125 cities. The airport is only seven miles from the Charlotte Convention Center 

(10-15 minutes door-to-door). Charlotte Douglas Airport is the national hub for US Airways. Major 

carriers that fly into Charlotte Douglas Airport include: Air Canada, AirTran, American, Continental,

Car Rental 

Avis has once again been chosen as the official IACLEA Conference car rental company. Avis is offering 

special conference rental rates. To be assured of the special rates and discounts, be sure to mention 

the Avis Worldwide Discount (AWD) number J098756 when calling for reservations. To make an online

Please allow 5-7 business days for your discount number to be reactivated. 

Transportation to and from the Airport 

Taxi: The airport is a 10-15-minute drive from the center city. There are several ground transportation 

options available. Taxi service is available from the airport to the hotel. The fare to downtown 

Charlotte is about $25 for one or two people and $2 for each additional person. Pick-up is located 

across from the Visitor Info Center in the baggage claim area, between Zones B and C at the taxi 

stand. 

Shuttle/Limousine/Van Service: A variety of shuttle services are available at the airport. Please go to

Parking 

Valet and self-parking are available in the hotel’s 1,650-space attached parking center. The current 

rates are $18 for self-parking overnight and $25 for valet parking overnight. The hotel does not

Opening Ceremonies 

The Opening Ceremonies and Award Presentations will take place on Friday, June 17, 2011 from 

8:30 a.m. to 10:15 a.m. in Convention Center Ballroom C. Spouses are encouraged to attend along

The Annual Golf Tornament will take place on Thursday, June 16, 2011, beginning at 8:00 a.m. at

Conference Host Event 

If you are looking for petal-to-the-metal fun, then join us at the the NASCAR Hall of Fame on Saturday, 

June 18 from 6:00 p.m.-9:00 p.m. The hall is fueled with over 50 interactive experiences that 

will get your adrenaline racing! Activities include a high-tech, state-of-the-art theater that showcases 

a short film that introduces guests to the history, heritage and legacy of NASCAR, a behind the scenes 

look at how a NASCAR team and the NASCAR industry prepare for race day each week, and Glory 

Road, which showcases 18 historic cars and highlights 40 current and historic tracks, including Talladega 

Superspeedway. Bring your family and enjoy an exciting evening. 

Delegate admission is covered through the registration fee. Spouses, guests and exhibitors can order 

tickets using the guest ticket order form. 

IACLEA Scholarship Fund Silent Auction 

Join in the bidding and networking at this annual event to raise funds for IACLEA scholarships. The 

Silent Auction will take place on Sunday, June 19 from 5:00 p.m.-7:30 p.m. Bring your 

auction items, along with the completed bid form, to the Registration Desk on Friday, June 17. Bid 

forms are available on the IACLEA website in the Annual Conference and Meetings section. Sports and 

More will have memorabilia from professional athletes and celebrities available at the auction this 

year.

Temperatures in June range from an average high of 85 degrees to a low of 65 degrees. Daytime conditions
