b) Exit meeting (Raising and Pursuance of <strong>Audit</strong> Observations)<br />

The team-in-charge is responsible for scheduling the exit meeting. Exit meeting shall be<br />

conducted with Head Process Owner or his authorized representative and Unit Head or his<br />

authorized representative. The goal is to have responsible auditee supervisory and<br />

management personnel at the meeting. Exit meetings should be held prior to the last day of<br />

fieldwork or in the early morning of the last day of field-work to provide time for any auditee‘s<br />

clarifications.<br />

Purpose of the exit meeting<br />

• To Inform auditee about the audit results and the reporting process,<br />

• To Reach agreement on observations,<br />

• To Obtain management response to observations and recommendations made, &<br />

• To discuss the corrective measures planned or taken to correct any deficiencies<br />

disclosed by the auditors.<br />

Activities to be undertaken prior to the Exit meeting<br />

• The senior official of the <strong>Audit</strong> team should review the audit objectives, scope, and<br />

reporting process before discussing the audit observations. concerned IA personnel<br />

should make an effort to be present in all exit meetings<br />

• The team-in-charge should discuss all audit observations, proposed exemptions and<br />

results with the team members and where possible Senior Manager <strong>Audit</strong> before the exit<br />

meeting is held<br />

• Wherever possible, audit observations and recommendations should be discussed by<br />

the individual who developed the audit findings or audited that area<br />

• The team should discuss all aspects of a potential audit finding with the person<br />

performing the function<br />

• Structure all audit findings using the "<strong>Audit</strong> Finding Data Sheet" in the standard<br />

format<br />

• Discuss audit findings and recommendations with the respective departmental head.<br />

Also discuss any items requiring follow-up and document the auditee's views<br />

• Prior to the exit meeting, a presentation approach should be developed. Related issues<br />

may be combined and a presentation sequence should be developed<br />

• Observations should be grouped into the following two categories:<br />
