E-Governance at Howrah LETTER AND FILE MONITORING SYSTEM (LFMS) Project Details Introduction Inorder to make Government Offices ready for prompt action in the present day, it is necessary that information system and data processing become perfect. Also routine and tedious manual jobs are to be avoided. This can be achieved through computerization and computerization of monitoring of receipt / despatch of letters and movement of files is the first and foremost step in this direction. Objective Letter and File Monitoring System has been developed for the Government Offices located across West Bengal to help in (i) monitoring the letters received / despatched and (ii) monitoring file transfer, with an aim to improve tracking of letters and files at the Offices of the Government of West Bengal thus improving the working process. Outcome The system is very user-friendly and can be used by anyone who is familiar with the procedures followed at the Receipt and Despatch Section. Very less data entry is required to be done by the implementing Department. The system helps the Department to find out quickly the Receipt / Despatch letters being received / send within the Department. Letter information with user security can be found out by supplying the key information of the letter. It also helps the Department to find out the latest position related to different letters being received by the Department and despatched from the Department at any time and action taken by the Department regarding the same. The system also helps the Department to find out quickly the latest position of file(s) being transferred within the Department (in different Sections) or other Department, provided the entries related to transfer of files (during the time of receipt and despatch) are properly entered at each point. Functionality The functionalities provided by the System are : Master Code Data Entry (Add, Modify & Delete) Department Code, Designation Code, Letter Type Code, Main Identity, Sub-Identity and File Type - 88 -
