The Petroleum Institute | Annual Report - Academic Year 2011 - 2012 Strategic Objectives: In order to serve the vision and mission of the IT department, all projects and tasks that IT works on must adhere to at least one of the following strategic objectives: • Align the IT Strategy with the PI Strategy and business requirements • Support the teaching, learning, and research mission of the PI through innovative IT services • Enhance business operations through process automation, analytics, and business intelligence solutions • Offer secure and reliable IT infrastructure and services • Identify and adopt information technology that enhances security and environmental sustainability at the PI • Manage and control IT investment, and contribute to savings opportunities at the PI through effective technology adoption III. Highlights for the Academic Year 2011 – 12 IT is very pleased to announce the addition of several new employees, including new hires and employees transferring to IT from other departments. These include: New Employees o Sajna Samad (ERP Specialist) o Ruqaiya Mohammed Al Shehhi (Administrative Assistant) o Salwa Alkaabi (Support Analyst) o Nasma Al Jaberi (Support Analyst o Shereef Cherikkallan (transferred as Web Developer) o Jason DeTagle (transferred as Audio Visual Technician) o Shaik Dawood (transferred as Telecom Technician) Structural Changes IT underwent significant reorganization this year. We now have two new departments and we transferred services from other departments to create a better experience for our PI stakeholders. The new departments include Planning and Policies, which will handle IT budgeting issues, identify and document needed policies, and help other IT departments with project management and methodologies. Additionally, the new Enterprises Systems department will oversee the growth and maintenance of the new ERP system, as well as Business Intelligence (advanced reporting) for all levels at the PI. The functions that have been transferred to IT include telecommunications to be handled by our Infrastructure and Communications department, audio visual services now handled by Client Support Services, and web and graphic design handled by our Applications Services department. 132

Future plans/Initiatives a) Continued Enhancements to ERP b) Business intelligence and reporting services c) Executive dashboards d) Expand High Performance Computing Cluster e) Rollout of desktop virtualization f) Student Mobile applications g) Promotion of Active learning spaces h) Launch of a Distance learning pilot i) Enhance AV function (recording, creating, manipulation and display of digital media) j) Investigate and pilot Unified Communication to integrate email, voicemail, chat, video conferencing, SMS together k) Continued implementation of ITIL framework for the adoption of best practices in delivering IT services l) Continued rollout of intranet portal for all departments at the PI m) Increase IT training services and offerings for PI end users V. Summary The last two years have marked a focus in the IT department on building the capabilities of our staff and our infrastructure and on the deployment of major new operational systems such as the Library and the ERP system to facilitate the administrative functions of the PI. The next two years will be defined by projects that focus on enhancing managerial decision making, enterprise communications, enhanced audio visual services, innovative teaching and research technologies, and continued efficiencies in administrative systems. We look forward to participating in the further success of the PI. 133
