The Venue
Caesars Windsor’s ballrooms are flexible and thoughtfully designed. The elegant, column free and fully
divisible Augustus Ballroom is an ideal location for wedding receptions, and can luxuriously accommodate
100 to 1500 guests of all ages. For more intimate gatherings, our Latin Ballroom is the perfect venue
for bridal showers, groomsman gatherings, rehearsal dinners, ceremonies, smaller receptions, or a
champagne brunch for the wedding party. We have several different outlets to accommodate small
group gatherings such as Neros Steakhouse, Market Buffet, and Artist Café.
Gourmet signature cuisine is created by Executive Chef Patrick McClary and his professional culinary
team – and is served by our friendly, certified banquet staff. In addition to traditional fine dining favourites,
Caesars Windsor can expertly prepare authentic cuisine from a variety of different cultures and world
regions. To help with the meal planning, our service includes expert consultation and design – plus sample
tastings to help you make your final decision.

Caesars Windsor wedding reception package includes
accommodations in a Luxury Guestroom for the bride
and groom with our compliments. 24-hour room service on
weekends is available for a late night nibble after a long day.

enjoy a late check-out of 2 pm!
We are also pleased to offer a special wedding room rate for
your out of town guests, based on a guaranteed minimum of
10 rooms. Hotel guests enjoy complimentary valet parking,
and, for the convenience of your dinner guests, we offer
complimentary self parking in our secure parking garage.

Answers to Frequently Asked Questions
How much is the rental fee?
This fee is determined on the number of guests at your reception. Once you have selected your function
room, the rental fee will be confirmed.
What is included in the rental fee?
We supply 72 inch oval tables, chairs, sand linen, black or sand napkins, food service items (plates,
glassware, cutlery etc.), a podium & microphone, basic electrical for DJ set up, dance floor and staging,
set up and tear down of room.
What about audio visual?
You are welcome to hire a DJ service, or other music service of your choice. If you wish to have dancing
at your event, a dance floor is available at no additional fee. If you wish to have extra lighting for your
dance floor, please contact AV Canada. AV Canada is Caesars Windsor’s in-house partner for all your
audio visual needs. They will quote on your specific requirements separately and work with you to ensure
a seamless event.

What is a SOCAN Fee?
Caesars Windsor is required by law to collect a Society of Composers, Authors & Music Publishers of
Canada (SOCAN) fee for all functions using music, live or otherwise, in the hotel. Fees will be added to
your final bill as appropriate:

Can I bring my own food or beverage?
All food and beverages served in the function space must be provided by Caesars Windsor. Exceptions
may apply to wedding cakes/cup cakes, and ice sculptures. Health regulations prohibit the removal of
food remaining after a function by guests.
How late can the bar stay open?
We are governed by Ontario Liquor Laws, so no bar service is permitted before 11:00 am or after 1:00 am.
Guests will be allowed 45 minutes to vacate the room. All food, beverage and equipment are subject to
13% government tax and 15% service charge.
Is there a fee for the bar?
Bartender labour charges of $15.00 per hour, for a minimum 4 hours, will apply to functions with
less than $350.00 in net bar sales.
How many guests can I seat at each table?
We use 72 inch oval tables which seat a maximum of 10 guests. We would be happy to assist you with
your seating plan.

When do we finalize the menu?
One menu is required for all guests. Dietary substitutions can be made upon prior request. Menu and wine
selection must be submitted to the catering office at least thirty (30) days before your function. Billing
for food and beverages will be based on the original number of guests booked, or actual attendance,
whichever is greater.
Do you supply decorations?
We will supply a dressed table with floor-length cotton sand linens. Please request a list of local preferred
vendors. Please note, decorations with open flame, or the use of pins/tacks/nails in any surface is not
permitted. The room is designed with classic and elegant décor colour.
When can I access the room to decorate?
The space assigned for your event is available to you for the times specified on your contract. Access
for prior set up will be agreed upon at time of booking. Any additional requirements for access may be
subject to additional fees.
booking procedures
Once you have made your decision to hold your event at Caesars Windsor, here are the next two steps:
1. Make your deposit: To confirm your event space, we require a non-refundable deposit of $1,000.00.
2. Finalize your menu selection. The menu is finalized 30 days prior to your event. At that time,
we’ll prepare a cost estimate and forward this to you. Payment is required based on this estimate
no later than 21 days before your event. Payment may be made by credit card or cheque. If you wish to
pre-pay your event in increments, you are welcome to do so and all funds received will be applied to
the cost estimate and final payment.
In the event of a cancellation, Caesars Windsor is entitled to your forfeited deposit amount, plus a
percentage of the total estimated revenues according to the following schedule:
3 - 6 months before event 50% of Food & Beverage revenue
0 - 3 months before event 100% of Food & Beverage revenue
Caesars Windsor reserves the right to inspect and control private functions. Liability for damages to
the premises will be charged according to replacement value of property. The convener of the function
will be held responsible for any damage to the premises by their guests or independent contractors
on their behalf.
