The Venue<br />

<strong>Caesars</strong> <strong>Windsor</strong>’s ballrooms are flexible and thoughtfully designed. The elegant, column free and fully<br />

divisible Augustus Ballroom is an ideal location for wedding receptions, and can luxuriously accommodate<br />

100 to 1500 guests of all ages. For more intimate gatherings, our Latin Ballroom is the perfect venue<br />

for bridal showers, groomsman gatherings, rehearsal dinners, ceremonies, smaller receptions, or a<br />

champagne brunch for the wedding party. We have several different outlets to accommodate small<br />

group gatherings such as Neros Steakhouse, Market Buffet, and Artist Café.<br />

Gourmet signature cuisine is created by Executive Chef Patrick McClary and his professional culinary<br />

team – and is served by our friendly, certified banquet staff. In addition to traditional fine dining favourites,<br />

<strong>Caesars</strong> <strong>Windsor</strong> can expertly prepare authentic cuisine from a variety of different cultures and world<br />

regions. To help with the meal planning, our service includes expert consultation and design – plus sample<br />

tastings to help you make your final decision.<br />

Answers to Frequently Asked Questions<br />

How much is the rental fee?<br />

This fee is determined on the number of guests at your reception. Once you have selected your function<br />

room, the rental fee will be confirmed.<br />

What is included in the rental fee?<br />

We supply 72 inch oval tables, chairs, sand linen, black or sand napkins, food service items (plates,<br />

glassware, cutlery etc.), a podium & microphone, basic electrical for DJ set up, dance floor and staging,<br />

set up and tear down of room.<br />

What about audio visual?<br />

You are welcome to hire a DJ service, or other music service of your choice. If you wish to have dancing<br />

at your event, a dance floor is available at no additional fee. If you wish to have extra lighting for your<br />

dance floor, please contact AV Canada. AV Canada is <strong>Caesars</strong> <strong>Windsor</strong>’s in-house partner for all your<br />

audio visual needs. They will quote on your specific requirements separately and work with you to ensure<br />

a seamless event.<br />

What is a SOCAN Fee?<br />

<strong>Caesars</strong> <strong>Windsor</strong> is required by law to collect a Society of Composers, Authors & Music Publishers of<br />

Canada (SOCAN) fee for all functions using music, live or otherwise, in the hotel. Fees will be added to<br />

your final bill as appropriate:<br />

ROOM CAPACITY WITHOUT DANCING WITH DANCING<br />

1-100 $20.56 plus applicable tax $41.13 plus applicable tax<br />

101-300 $29.56 plus applicable tax $59.17 plus applicable tax<br />

301-500 $61.69 plus applicable tax $123.38 plus applicable tax<br />

Over 500 $87.40 plus applicable tax $174.79 plus applicable tax<br />

Can I bring my own food or beverage?<br />

All food and beverages served in the function space must be provided by <strong>Caesars</strong> <strong>Windsor</strong>. Exceptions<br />

may apply to wedding cakes/cup cakes, and ice sculptures. Health regulations prohibit the removal of<br />

food remaining after a function by guests.<br />

How late can the bar stay open?<br />

We are governed by Ontario Liquor Laws, so no bar service is permitted before 11:00 am or after 1:00 am.<br />

Guests will be allowed 45 minutes to vacate the room. All food, beverage and equipment are subject to<br />

13% government tax and 15% service charge.<br />

Is there a fee for the bar?<br />

Bartender labour charges of $15.00 per hour, for a minimum 4 hours, will apply to functions with<br />

less than $350.00 in net bar sales.<br />

How many guests can I seat at each table?<br />

We use 72 inch oval tables which seat a maximum of 10 guests. We would be happy to assist you with<br />

your seating plan.

When do we finalize the menu?<br />

One menu is required for all guests. Dietary substitutions can be made upon prior request. Menu and wine<br />

selection must be submitted to the catering office at least thirty (30) days before your function. Billing<br />

for food and beverages will be based on the original number of guests booked, or actual attendance,<br />

whichever is greater.<br />

Do you supply decorations?<br />

We will supply a dressed table with floor-length cotton sand linens. Please request a list of local preferred<br />

vendors. Please note, decorations with open flame, or the use of pins/tacks/nails in any surface is not<br />

permitted. The room is designed with classic and elegant décor colour.<br />

When can I access the room to decorate?<br />

The space assigned for your event is available to you for the times specified on your contract. Access<br />

for prior set up will be agreed upon at time of booking. Any additional requirements for access may be<br />

subject to additional fees.<br />

Once you have made your decision to hold your event at <strong>Caesars</strong> <strong>Windsor</strong>, here are the next two steps:<br />

1. Make your deposit: To confirm your event space, we require a non-refundable deposit of $1,000.00.<br />

2. Finalize your menu selection. The menu is finalized 30 days prior to your event. At that time,<br />

we’ll prepare a cost estimate and forward this to you. Payment is required based on this estimate<br />

no later than 21 days before your event. Payment may be made by credit card or cheque. If you wish to<br />

pre-pay your event in increments, you are welcome to do so and all funds received will be applied to<br />

the cost estimate and final payment.<br />

In the event of a cancellation, <strong>Caesars</strong> <strong>Windsor</strong> is entitled to your forfeited deposit amount, plus a<br />

percentage of the total estimated revenues according to the following schedule:<br />

3 - 6 months before event 50% of Food & Beverage revenue<br />

0 - 3 months before event 100% of Food & Beverage revenue<br />

<strong>Caesars</strong> <strong>Windsor</strong> reserves the right to inspect and control private functions. Liability for damages to<br />

the premises will be charged according to replacement value of property. The convener of the function<br />

will be held responsible for any damage to the premises by their guests or independent contractors<br />

on their behalf.<br />
