Tutoring Program<br />

<strong>Tutee</strong> <strong>Memorandum</strong> <strong>of</strong> <strong>Agreement</strong><br />

The <strong>Tutee</strong> <strong>Memorandum</strong> <strong>of</strong> <strong>Agreement</strong> outlines the rules and guidelines governing the ODI Tutoring Program for all program<br />

participants. Please read the following information carefully. If you have questions or concerns regarding the terms <strong>of</strong> this<br />

agreement, contact the Tutoring Program Manager by phone at (614)292-8732 or via email at oma-tutor@osu.edu.<br />

Tutoring Program Registration<br />

The Tutoring Program in association with the Office <strong>of</strong> Diversity and inclusion, Academic Advancement Services, uses the<br />

web based scheduling system “GradesFirst”. Student participants are required to complete program affiliated registration<br />

and training in order to request tutor appointments on GradesFirst. Students must register and complete training ONCE<br />

each academic year.<br />

website at www.odi.osu.edu/tutoring.<br />

Requesting Tutor Appointments<br />

Only registered students with a GradesFirst account may submit requests for tutor appointments. A request for an<br />

appointment does not guarantee a tutoring session will be scheduled. The tutoring program’s ability to accommodate<br />

requests is based on course <strong>of</strong>ferings, tutor availability and student demand.<br />

All tutoring program participants should follow these general guidelines when submitting a tutor appointment request:<br />

1. Access the Course Offerings table on the Tutoring Program website or the Carmen registration and training page to<br />

view a list <strong>of</strong> courses approved for tutoring each quarter.<br />

2. Submit all tutor appointment requests at least 5 business days before the requested appointment date. This allows<br />

program staff time to schedule and confirm each tutoring session. It may take up to 2 business days for a staff<br />

member to confirm a scheduled session.<br />

3. Enter all availability for tutoring for the week <strong>of</strong> each request (i.e. available days and blocks <strong>of</strong> time). Saturday and<br />

Sunday sessions are available but may be limited.<br />

4. Enter the duration <strong>of</strong> time for each requested appointment. Students may request up to 2 hours <strong>of</strong> tutoring per a<br />

week for each course.<br />

5. Enter any requests for specific tutors or special accommodations<br />

6. Students may submit up to 2 appointment requests for the same course at one time.<br />

Scheduled Tutoring Sessions<br />

1. Tutoring sessions will be scheduled for courses on the approved Course Offerings Table and those courses which<br />

are not listed which the program can accommodate.<br />

2. All tutoring sessions will be scheduled for a minimum <strong>of</strong> 1 hour.<br />

3. The tutor and session location will be determined by Tutoring Program staff.<br />

4. If possible, program staff will work to accommodate requests for specific tutors.<br />

5. Tutors will not work during finals week, winter and spring break, or on university designated holidays.<br />

6. Students will receive automated confirmation and reminder emails for all scheduled tutoring sessions.<br />

Approved Tutoring Locations<br />

Tutoring sessions must take place at a site approved by the Tutoring Program. Sessions are not permitted to take place at<br />

the tutor or tutee’s place <strong>of</strong> residence under any circumstances. Approved tutoring locations include:<br />

1. Frank W. Hale Black Cultural Center, 153 West 12 th Avenue<br />

2. Science & Engineering Library, 175 West 18 th Avenue<br />

3. Thompson Library (Main), 1858 Neil Avenue Mall<br />

Program Expectations, No Shows, and Cancellations<br />

As a participant in the ODI Tutoring Program, you are expected to:<br />

1. Attend all scheduled tutoring sessions and attend on time.<br />

a. Failure to attend a scheduled tutoring session will result in a “No Show.”<br />

b. The Tutoring Program will inform students via email when a “No Show” has been issued.<br />

c. Three “No Shows” in an academic year will result in termination <strong>of</strong> tutoring program privileges for the<br />

remainder <strong>of</strong> the year.<br />

d. Students may contest a “No Show” within 10 days <strong>of</strong> the issue date via email correspondence.<br />

2. Inform the tutor(s) and tutoring program <strong>of</strong>fice via phone or email at least 24 hours in advance when cancelling a<br />

scheduled session.<br />

a. Failure to inform the tutor and the tutoring program <strong>of</strong> a session cancellation at least 24 hours in advance<br />

will result in a “No Show.” This includes but is not limited to late cancellations for:<br />

i. Illness<br />

ii. Medical Appointments<br />

iii. Personal Conflicts<br />

b. Multiple cancellations during the quarter may result in termination <strong>of</strong> tutoring program privileges.<br />

3. Bring all necessary materials for a successful tutoring session including writing utensils, your textbook, course<br />

notes, and course syllabi.<br />

4. Prepare for every session with questions and/or problems to work on with the tutor<br />

5. Refrain from using electronic devices during tutoring sessions. This placing calls or texting on cell phones, sending<br />

email or IM during sessions.<br />

6. Sign in and sign out on the Tutor Timesheet accurately and for the exact times tutoring session took place.<br />

Fraudulent activity will be forwarded to the OSU Police Department and/or Judicial Affairs. Please refer to<br />

the OSU Code <strong>of</strong> Student Conduct, 3335-23-07, Prohibited Conduct, for additional information.<br />

Tutor Responsibilities<br />

1. The tutor is not a Pr<strong>of</strong>essor or TA. Students must continue to attend lectures, recitations, and labs for the best<br />

academic results.<br />

2. The tutor’s role is to guide and assist the tutee. He or she may not know all the answers all the time.<br />

3. Your tutor will not watch tutees complete homework or complete homework for the student. Students should<br />

attempt to complete all assignments before scheduled tutoring sessions.<br />

4. The tutor should create an environment conducive for learning. Students should inform the Tutoring Program <strong>of</strong><br />

any issues that arise during the course <strong>of</strong> the quarter related to tutor behavior or knowledge <strong>of</strong> the course subject<br />

via phone at (614) 292-8732 or email at oma-tutor@osu.edu.<br />

Tutor / Program Evaluation<br />

1. Tutoring Program staff will occasionally observe tutoring sessions for evaluation and assessment.<br />

2. Each program participant is strongly encouraged to complete an electronic Tutor/Program Evaluation at the end <strong>of</strong><br />

the quarter.<br />
