C. When an employee is attending a seminar or conference, it is his/her responsibility to<br />

attend all classes from the beginning of the seminar/conference to its completion. It is<br />

not permissible to leave early or to “skip” the seminar or conference. Employees who do<br />

so may have their opportunities for attending future seminars/conferences severely<br />

restricted and may be required to reimburse the Police Department for the cost of the<br />

seminar.<br />

D. If a seminar or conference is scheduled for an entire day, an employee is considered to<br />

have worked his/her eight (8) hour workday by attending the course. Overtime will not be<br />

paid for travel time to/from a local seminar or conference and/or if a seminar or<br />

conference training day lasts in excess of eight hours. The rationale for this is that the<br />

employee is not considered to be on paid status during lunch, dinner, and/or scheduled<br />

breaks.<br />

E. Overtime may be approved for courses that involve mandatory day and night class work.<br />

Such overtime must be approved by the Chief of Police on a case-by-case basis prior to<br />

attending the course.<br />

F. When an employee attends a course during his/her regularly scheduled days off, the<br />

supervisor will make every effort to schedule the employee for days off on his/her regular<br />

work days. For example, an employee with Tuesday/Wednesday off attends a week long<br />

(Mon-Fri) seminar. The supervisor should attempt to schedule the employee off on the<br />

previous or subsequent Saturday/Sunday. This will minimize overtime pay and provide<br />

for appropriate day(s) off for the employee.<br />

1.2.7 Travel Arrangements<br />

A. Travel to and from training is the responsibility of the employee. Employees are<br />

encouraged to use a municipal vehicle whenever possible. Employees shall coordinate<br />

their travel to and from training sessions with their respective supervisor.<br />

Reimbursement for mileage will be paid to an employee who uses his/her personal<br />

vehicle when a municipal vehicle is unavailable for transportation in accordance with C.O.<br />

155.21 (c).<br />

B. If an employee has out-of-town training where lodging is provided (either through the City<br />

or training provider), he/she will only be reimbursed for the actual one way mileage to and<br />

from the training. For example, a multiple day training class at the <strong>Ohio</strong> Peace Officer<br />

Training Academy in London, <strong>Ohio</strong> will result in reimbursement being paid for the trip to<br />

London, <strong>Ohio</strong> and one return trip when an employee chooses to use his/her personal<br />

vehicle. However, an employee electing to take a municipal vehicle may decide to<br />

commute to London, <strong>Ohio</strong> each day of the training.<br />

C. Employees who attend multiple-week, out-of-town training will be reimbursed for travel<br />

to/from the training location each week. This will allow employees to spend their<br />

weekends at home during long training courses.<br />

D. The general requirements and policies on travel and reimbursement are outlined in<br />

Section 208 of the <strong>New</strong> <strong>Albany</strong> Policy and Procedure Manual.<br />
