Weekend Activities<br />

Congratulations on the upcoming graduation ceremonies at <strong>Miami</strong> <strong>University</strong>! <strong>Miami</strong>’s<br />

administration, faculty, staff, and alumni look forward to honoring the academic and personal<br />

accomplishments of our students. We hope that you are making plans to attend this very special occasion to<br />

help us honor the candidates.<br />

There are several commencement-related activities that will take place on Saturday, May 7, and Sunday, May<br />

8, <strong>2011</strong> — the university-wide ceremony, divisional recognition programs, and congratulatory programs. In<br />

order to emphasize the significance of these events, academic attire is required at each of these ceremonies.<br />

In addition, the President’s Reception for graduates and their families will be held at Lewis Place on Sunday,<br />

May 8, from 11 a.m. to 1 p.m.<br />

<strong>University</strong> <strong>Commencement</strong> Ceremony<br />

Saturday, May 7<br />

Academic Attire Required<br />

President David C. Hodge will preside at the ceremony. During the ceremony, doctoral candidates will be individually<br />

recognized and hooded; master’s degree candidates will be individually recognized; bachelor’s and<br />

associate’s degree candidates will be recognized by division; and ROTC candidates will be commissioned.<br />

Seating<br />

Ushers will direct guests to their seats. The diagram in this brochure indicates where graduation candidates<br />

will be seated. It is included for your convenience in determining where in the stadium you may wish to sit.<br />

General Information<br />

• The spring <strong>2011</strong> university commencement will be Saturday, May 7, at 1:30 p.m. in Yager Stadium, rain or<br />

shine. Gates to Yager Stadium will open at 10:30 a.m. and families may enter through the south and west<br />

gates. The ceremony will run approximately two hours. The event is open to the public.<br />

• The <strong>Miami</strong> <strong>University</strong> Police will be on duty at Yager Stadium to assist with any emergencies. There will also<br />

be a first-aid station on the west concourse.<br />

• Traffic in the Oxford area will be extremely congested on commencement weekend. Please heed the directional<br />

signs that will be posted to aid traffic flow to Yager Stadium and Saturday’s venues.<br />

• Before leaving Yager Stadium, please be sure that you have all personal belongings. Any items left behind<br />

will be taken to the <strong>University</strong> Police. You may also call 513-529-8135 regarding lost property.<br />

• A professionally recorded DVD of this ceremony will be available for purchase from GradTrack by Graduation<br />

Images. You will receive a separate mailing from Graduation Images with purchase details.<br />

Please note: <strong>Miami</strong> campuses are smoke-free environments. Smoking is prohibited in all <strong>Miami</strong> <strong>University</strong>owned<br />

facilities and property. A designated smoking area is provided for guests at the <strong>Miami</strong> Inn, Marcum<br />

Conference Center, Simpson-Shade Guest House, and Climer Guest Lodge.<br />

Parking<br />

All university parking lots and parking garages will be open to the public during commencement weekend.<br />

Yager Stadium parking is available in the Millett Assembly Hall, Ditmer, Cook Field, and Leonard Howell<br />

lots (see map). On both Saturday and Sunday, we strongly recommend that you use our <strong>Miami</strong> Metro shuttle<br />

service from the Ditmer and Cook Field lots to avoid traffic congestion.<br />

Disability Services<br />

Accessible parking is available at Yager Stadium with your state-issued disability placard only. Yager Stadium<br />

is wheelchair accessible; attendants will direct you to your seating. No reservations are needed for seating,<br />

all guests with disabilities will be accommodated. One companion will be permitted to sit with the wheelchair<br />

user. Accommodations for those who are hearing impaired are provided, in the form of American Sign<br />

Language interpreters, located in front of seating Section 6, and real-time captioning. If you have questions<br />

regarding disability services, contact the Office of Disability Resources at 513-529-1541 (V/TTY).<br />

Inclement Weather<br />

In the event of rain, the Yager Stadium commencement ceremony will still occur. Candidates and their guests<br />

are advised to dress appropriately. Rain ponchos will be provided to all candidates. In the event of severe<br />

weather, such as tornadoes, severe thunderstorms, or a torrential downpour, the university ceremony may<br />

be shortened and/or canceled. Any decision to cancel the ceremony will be announced on Cincinnati Public<br />

Radio (88.5 and 91.7 FM) and at www.muohio.edu/commencement, by noon. (If the ceremony is canceled, a<br />

Graduate School ceremony for master’s and doctoral degree candidates will be held in Millett Assembly Hall.)<br />

<strong>Commencement</strong> Protocol<br />

<strong>Commencement</strong> ceremonies are a special event for all involved. We ask that you show respect for everyone<br />

who shares in the experience by creating an occasion that will appropriately highlight each person’s<br />

achievements. The univer sity ceremony is a dignified program governed by academic tradition, overall<br />

good manners, and state and local laws. Therefore, the possession of alcoholic beverages or materials that<br />

may disrupt the ceremony is prohibited.<br />

Academic Attire<br />

Academic attire for candidates is required at BOTH the university and divisional ceremonies. Associate’s<br />

degree candidates wear the same robe as bachelor’s candidates. Master’s candidates must wear a robe and<br />

hood. Doctoral candidates only need to purchase cap, gown, and tassel, as the hood will be awarded as part of<br />

the ceremony. Doctoral candidates who want to rent faculty-quality attire should contact Karen Bontrager at<br />

the <strong>Miami</strong> <strong>University</strong> Bookstore by April 9.<br />

All attire will be available for purchase at Grad Fest <strong>2011</strong> (March 15-17 in the Multipurpose Rooms in Shriver<br />

Cen ter, 10:00 a.m. – 6:00 p.m.) and at the <strong>Miami</strong> <strong>University</strong> Bookstore March 18-May 8.<br />

Study abroad and international student sashes, which are optional, can be purchased at Grad Fest or ordered<br />

at the bookstore. Orders must be placed by April 16.<br />

The <strong>Miami</strong> <strong>University</strong> Bookstore carries the full array of bachelor’s, master’s, and doctoral garments.<br />

Doctoral candidates who want to purchase professional-level, custom attire should contact Karen Bontrager<br />

at the bookstore.<br />

On Saturday, May 7, personnel will be available at the bookstore kiosk (at the Yager Stadium west entrance) to<br />

provide garment assistance prior to the ceremony.<br />

Divisional Ceremonies / Congratulatory Programs<br />

Divisional Recognition Ceremonies for Undergraduate Degree Candidates<br />

Saturday, May 7, and Sunday, May 8<br />

Academic Attire Required<br />

Divisional recognition ceremonies are smaller undergraduate events designed by each division to complement<br />

the university ceremony. Each academic dean will preside at her/his recognition ceremony. Undergraduate<br />

candidates will have their names read, receive their diploma covers, and have their photographs taken.<br />

Guests do not need tickets.<br />

Accessible parking is available near all of the divisional ceremony sites. Your state-issued disability placard is<br />

required. All sites are wheelchair accessible and will have American Sign Language interpreters for the hearing<br />

impaired. If you have questions regarding disability services, contact the Office of Disability Resources at<br />

513-529-1541 (V/TYY).

must be completed no later than April 20.<br />

President’s Reception<br />

The President’s Reception for graduates and their families will be held at Lewis Place on Sunday, May 8,<br />

from 11 a.m. to 1 p.m. In April, invitations will be sent to your family at the permanent address on file at the<br />

Registrar’s Office.<br />

Talapia, Roasted Vegetable Lasagna, salad, vegetables, and LaBrea Rolls and homemade Cheese<br />

Bread, and homemade Cheesecake, Assorted Tortes and Crumb-topped Peach Pie.<br />

<strong>University</strong> Housing Accommodations<br />

The Department of Housing, Dining, Recreation and Business Services is pleased to offer overnight guest<br />

accommodations in university residence halls on Saturday, May 7, only. We have a limited number of rooms<br />

and will accept reservations as we receive requests.<br />

Check-in time begins at 1:00 p.m. on Saturday, May 7. Bell Desks are staffed 24 hours to accommodate late<br />

check-ins. Check-out time is 4 p.m. Sunday, May 8. You will be assigned to a specific residence hall upon<br />

your arrival at the registration desk located in the lower level of Morris Hall. Due to the moderate weather<br />

during May, air conditioning is not in operation. Restroom facilities are available for men and women on each<br />

floor. The room rate is $22.75 per person. There will be no charge for children using sleeping bags in parents’<br />

rooms. Guest rooms are supplied with bed linens, blankets, soap, and towels for each paid guest.<br />

If any member of your party requires special accommodations, such as a first-floor room or a room near<br />

restroom facilities, please indicate this on the reservation form. Due to the limited number of such rooms,<br />

we may be unable to house your entire party in the same area of the building. We will, however, make every<br />

attempt to accommodate your entire party in the same residence hall.<br />

If you choose to register online, an invoice will be emailed to you. Prepayment is required. Once payment is<br />

received, your reservation request will be processed and a confirmation will be emailed to you. Reservation<br />

requests without advance payment will not be processed. Due to limited space, we will accept advance<br />

reservations only until April 30. Cancellations must be received by May 1 to qualify for a refund. After that<br />

date, advance payments will not be refunded.<br />

CANDIDATE REQUIREMENTS:<br />

Participant Eligibility and Degree Requirements<br />

<strong>Commencement</strong> is a ceremony that celebrates your academic achievements. You must satisfy all of your<br />

degree requirements before you officially graduate and receive your diploma. Diploma covers will be<br />

distributed at the divisional ceremonies and your actual diploma will be mailed four to six weeks after the<br />

ceremony, when grades have been computed and your eligibility for graduation is confirmed. Also, any<br />

financial obligation with the university must be settled with the Office of the Bursar before your diploma and<br />

transcripts will be released.<br />

Undergraduate Degree Candidates<br />

Undergraduates who are eligible to graduate in May or August <strong>2011</strong> are welcome to participate in the<br />

Saturday, May 7, and Sunday, May 8 ceremonies.<br />

Undergraduates should view their DARS prior to graduation and direct any questions or concerns to<br />

their academic adviser.<br />

If you are transferring credits to <strong>Miami</strong> in order to complete your degree, please notify the<br />

<strong>Commencement</strong> Office.<br />

Undergraduate candidates who are graduating with Latin honors (cum laude, magna cum laude, or summa<br />

cum laude) will be notified by the Registrar’s Office. Due to final grades not yet available, Latin honors for the<br />

commencement ceremony are determined as a result of last semester’s cumulative grade point average. After<br />

final grades for this semester are recorded, Latin honors will be recalculated for May graduates. After final<br />

grades for summer are recorded, Latin honors will be recalculated for August graduates.<br />

Undergraduate candidates who are graduating with Latin honors will be recognized at commencement with<br />

red and white honor cords. You can pick up your cords at the <strong>Commencement</strong> Office (118 Campus Avenue<br />

Building), regional campus bookstores, Grad Fest, and immediately prior to the university-wide ceremony at<br />

Yager Stadium.<br />

Master’s Degree Candidates<br />

Master’s candidates eligible to graduate in May or August <strong>2011</strong> are welcome to participate at the Saturday,<br />

May 7, ceremony.<br />

Those who complete their requirements during the summer have the option of participating at the May 7.<br />

May candidates must complete all necessary requirements, other than final exams, by April 22.<br />

Requirements include turning in certificate forms to the Graduate School Office indicating results of final<br />

oral/written exams and grade changes for thesis research.<br />

Doctoral Degree Candidates<br />

Doctoral candidates may participate in the May 7 ceremony only if they complete requirements by April<br />

15. May candidates must complete all necessary requirements, other than final exams, and have the proper<br />

approval forms turned in (and dissertations deposited) to the Graduate School Office by April 15.<br />

Requirements include turning in certificate forms to the Graduate School office indicating results of final<br />

oral/written exams and grade changes for dissertation research.<br />

Reservation and Diploma Mailing Form<br />

To assure receipt of your diploma and adequate seating at the Saturday and Sunday ceremonies, all degree<br />

candidates MUST complete the online registration form at www.muohio.edu/commencementform. The form<br />

must be completed no later than April 20 whether or not you plan to attend the ceremonies.<br />

Associate’s and Bachelor’s Degree Candidates: Make certain that you indicate your plans to partici pate at both<br />

the university and divisional ceremonies.<br />

Doctoral Candidates: Indicate if you will participate at the Saturday, May 7, ceremony, and remember, you<br />

must have the proper approval forms turned in (and dissertations deposited) to the Graduate School Office by<br />

April 15 to be eligible.<br />

Four to six weeks after the ceremonies, after grades have been computed and your eligibility for graduation<br />

has been confirmed, your diploma will be mailed to the address that you provide on the online form.


Day of the Ceremony<br />

12:30 p.m. On Saturday, May 7, <strong>2011</strong> all degree candidates are to report to Yager Stadium, in their academic<br />

attire, no later than 12:30 p.m. When you arrive, look for signs directing you to your divisional<br />

lineup area. Faculty marshals will line up candidates in the assigned areas.<br />

Note:<br />

• Doctoral candidates will be lined up and seated as a group<br />

• Master’s candidates will be lined up and seated as a group,<br />

• Undergraduate candidates will be lined up and seated by division.<br />

• Until degrees are conferred, the tassel is worn on the right side of the cap.<br />

1:30 p.m. The procession will start promptly at 1:30 p.m. Faculty marshals will lead the processional into<br />

the stadium and direct candidates to seating (see diagram). At the appropriate times during<br />

the ceremony, marshals will direct candidates up onto the stage for the conferring of degrees.<br />

Degrees will be conferred in the following order: doctoral, master’s and specialist, commissioning<br />

of ROTC candidates, baccalaureate and associate’s by division (Interdisciplinary Studies,<br />

Engineering and Applied Science, Fine Arts, Farmer School of Business, Education, Health and<br />

Society, Arts and Science and BIS).<br />

ROTC candidates will receive special instructions from their units.<br />

At the conclusion of the ceremony, only the platform party will recess out of the stadium; the candidates will<br />

remain on the field.<br />

Transcripts<br />

Please allow one to two weeks after the graduation ceremony to order your transcripts. (Prior to ordering, we<br />

strongly recommend that you check your unofficial transcript in BannerWeb to see if your degree has been<br />

awarded.) To order your transcript, visit www.getmytranscript.com. <strong>Miami</strong> <strong>University</strong> will charge $8 per<br />

copy for all official transcripts and $12 for all immediate, in-person transcripts.<br />

Career Services<br />

Before you graduate this semester you are welcome and encouraged to use Career Services (200 Hoyt Hall) in<br />

your employment search. After graduation, <strong>Miami</strong> <strong>University</strong> alumni are provided career services through<br />

a partnership between the <strong>Miami</strong> <strong>University</strong> Alumni Association membership program and the Office of<br />

Career Services.<br />
