<strong>GUIDELINES</strong> <strong>FOR</strong> <strong>SHORT</strong> <strong>ORAL</strong><br />

<strong>PRESENTATIONS</strong> (<strong>OP</strong>)<br />

Your Short Oral Presentation (<strong>OP</strong>) will be presented in PowerPoint format only. Hard copies will not be accepted. Please download<br />

the template from the ISUOG website to prepare your <strong>OP</strong>. Please contact the Congress Secretariat immediately (email:<br />

congress@<strong>isuog</strong>.org) if you have any problems with this presentation format. You will be required to upload your presentation<br />

remotely to a secure server before the Congress to guarantee its inclusion in the session.<br />

Planning for short oral presentations<br />

Please refer to your acceptance email for the exact time of the session you are presenting in. Due to tight program schedules,<br />

session chairpersons have been instructed to interrupt presenters who overrun their allocated time. Please therefore ensure that you<br />

plan your communication carefully. If you are interrupted, please be understanding of the requirement to keep to time. Unless you<br />

have specifically been notified otherwise, you have a TOTAL OF 2 MINUTES for your presentation. Time has been allocated in each<br />

session for questions and discussion; you will be expected to be available to participate in this discussion.<br />

All talks must be in English.<br />

SUBMITTING YOUR POWERPOINT PRESENTATION<br />

Deadline date: Thursday, 23 August 2012<br />

All technical aspects of your presentation will be managed by M-Events (an external company) and you will receive an email from<br />

them well in advance of the Congress with instructions to upload your presentation, as well as detailed information about their<br />

services. If you are an Apple Mac user, you must notify them in advance. Presentations uploaded after the deadline date will<br />

only be available OnDemand from the time of the congress.<br />

Presentations must consist of one single PowerPoint slide only.<br />

Presentations must be in PowerPoint (.ppt/.pptx) format only, and video will be accepted but it will not be embedded into the PPT file<br />

so you need to upload video files separately.<br />

PRESENTATION TECHNOLOGY<br />

A network-based presentation system will be used at the Congress, along with a software interface to ensure the quality of all<br />

presentations. All rooms are equipped with the necessary technical requirements (presentation notebook, projection and audio<br />

facilities), and additional back-up systems. Please note that under no circumstance will personal laptops be allowed.<br />

After the Congress all submitted files will be deleted from all storage media.<br />

Presentation format<br />

ONLY MS-PowerPoint (*.ppt and *.pptx) presentations are accepted. Make sure that you upload ALL files required to run your<br />

presentation, particularly if you are using video clips. Video is acceptable, and can be incorporated in the presentation software,<br />

however video files must be attached as they cannot be embedded into the presentation. Please also remember to embed fonts.<br />

AT THE CONGRESS<br />

All presenters must report to the registration desk on arrival. You will collect your badge and relevant registration materials. Please<br />

check the final program in your delegate bag for any changes in the program. If you have any questions, please visit the speakers’<br />

preparation room for assistance.<br />

Speakers’ preparation room<br />

Preview facilities and specialised technical support will be available in the venue’s speakers’ preparation room located in the<br />

Meeting room BV1 (1 st floor) at the Bella Center. The opening times are:<br />

Saturday 08 September 15:00 – 17:30 Tuesday 11 September 07:30 – 17:30<br />

Sunday 09 September 07:30 – 17:30 Wednesday 12 September 07:30 – 17:30<br />

Monday 10 September 07:30 – 17:30


Presentations will be delivered to each session hall via a centralised and networked system, so it is ESSENTIAL that ALL<br />

presenters check in at the speakers’ preparation room at least 4 hours prior to the scheduled session time and preferably the day<br />

before. In the event that you are arriving at the Congress on the day of your presentation, you should visit the speakers’ preparation<br />

room as soon as you have registered. If you have uploaded your presentation in advanced and this has been confirmed to you in an<br />

email, you do not need to visit the speaker preparation room.<br />

IMPORTANT – RECORDING<br />

ISUOG will be recording all lectures for the benefit of Congress attendees. Before the submission of your abstract on the<br />

ScholarOne portal you have been asked to agree that your presentation is made available to all delegates at the Congress through<br />

computer workstations and online immediately before, during and after the Congress. The material remains the property of the<br />

author and is presented via our password protected web portal OnDemand. Delegates also have the option to use the ‘email to<br />

author function’ on OnDemand, which enables interested delegates to get in contact with the author prior, during and after the<br />

congress. The initial contact is established over the portal. It is then up to you to respond and engage with interested delegates.<br />

If you did not consent to the recording, your presentation will not show OnDemand. If you would like to change this, please visit the<br />

remain fully acknowledged to, and copyright of, you as the author.<br />

Please note that it is increasingly difficult to prevent audience members from recording sessions. Delegates are asked not to record<br />

sessions using personal video cameras, however this is difficult to enforce. ISUOG can take no responsibility for third party<br />

recordings of lectures and request that presenters who specifically object to audio/video recording of their presentations state this<br />

before they begin speaking.<br />

<strong>SHORT</strong> <strong>ORAL</strong> PRESENTATION FINAL NUMBER<br />

You must include your allocated final short oral presentation number (e.g. <strong>OP</strong>03.08) in the top left corner of your slide. Please<br />

ensure that the title and your name are also printed clearly at the top of your slide.<br />

Please note: The final <strong>OP</strong> number can be found in your abstract acceptance email.<br />

CONTENT<br />

• Please prepare presentations according to the example provided<br />

• Present NEW DATA ONLY<br />

• Oral communications should not include any background to the research or reviews of previous studies, as this will be<br />

covered by the session chairperson as necessary<br />

• Do not present overly complicated figures as there is not time to explain them fully<br />

• You may use video but remember to attach at upload all the files required to run the video presentation<br />

LAYOUT<br />

• Keep slides simple and concise – do not present too much information on any one slide<br />

• As far as possible use just one or two colours on a plain coloured background for maximum impact<br />

• Put any conclusions/summaries in a prominent panel<br />

FONT<br />

• Use as large a font as possible and no less than 16 point<br />

• Avoid capital letters except at the beginning of sentences and proper nouns<br />

• Avoid underlining<br />

• Use a bolder, larger typeface for the main titles and headings. It can be effective to use a different typeface for headings<br />

and subheadings<br />

• To emphasise text, use a bold or italic font<br />
