CALL TO ORDER<br />

President Kevin Ellis called the January 24, 2013 <strong>meeting</strong> to order at 10:21 am. He<br />

welcomed the Board members and staff attending the first <strong>board</strong> <strong>meeting</strong> for 2013.<br />

MINUTES OF THE LAST MEETING<br />

The December, 2012 <strong>minutes</strong> were approved by the Board of Directors on a motion by<br />

Frank Gonzales seconded by Luis Salcedo.<br />

<strong>SCMAF</strong> FINANCIAL PRELIMINARY REPORT as of December 31, 2012<br />

The Board reviewed the preliminary December 2012 Financial Reports.<br />

PRESIDENT’S REPORT – Kevin Ellis, Downey<br />

Kevin reported that all went well for the A & I banquet on November 9 th . The goals and<br />

objective as well as the central theme for 2013 (Reaching Higher, Achieving Greater<br />

Heights) was discussed. Kevin elaborated on the four corner-stone areas of diversifying<br />

the <strong>SCMAF</strong> audience and traditional market-place, <strong>board</strong>ing of the program offerings to<br />

non-traditional age groups, and establishing a foot-hold in the industry as a clearinghouse<br />

for school age youth sports.


DIRECTOR’S REPORT – Tim Ittner, <strong>SCMAF</strong> Executive Director<br />

Tim reported the <strong>SCMAF</strong> social at the CPRS Conference is scheduled for Wednesday,<br />

March 6 th at the LOFT Bar & Bristo from 8:00 – 10:00 PM. He gave a report on the new<br />

computers purchased for the staff and the installation process. Tim passed around the<br />

<strong>SCMAF</strong> Board Conflict of Interest policy and Code of Ethics for the <strong>board</strong> members to<br />

sign.<br />

ASSOCIATION REPORTS<br />

<strong>SCMAF</strong> BAY AREA/SOUTHEAST– Tim Grierson, Carson & Mark Flores, Lynwood<br />

<strong>SCMAF</strong> CHANNEL CITIES – Lanny Binney, Pleasant Valley<br />

At the January CCMAA Board <strong>meeting</strong> (January 10 th , Santa Barbara) we discussed the<br />

new North/South President and Vice-President positions. A new description of duties for<br />

the Board was passed by the CCMAA Board in November and passed by the <strong>SCMAF</strong><br />

<strong>board</strong> in December. A member from the south still needs to be elected/appointed.<br />

The Kevin Lukes Memorial Scholarships were awarded to Harley Sue-Arce, an<br />

employee at the City of Malibu student at University of California, Santa Barbara. She<br />

was on hand to receive the Student Award and presented with a $500 check from Dana<br />

Miller and Lauren Lukes, Kevin’s wife.<br />

At the March <strong>meeting</strong> we will recognize Erik Prentice for the Professional Award. Erik<br />

works at the City of Malibu and will receive a $500 scholarship towards any trainings or<br />

conferences.<br />

Eduardo Marquez, brought up the annual <strong>meeting</strong> calendar for us to review (see<br />

attached). Most <strong>meeting</strong>s will be held in Santa Barbara or in the vicinity as a neutral<br />

location for North and South members to meet.<br />

President Eduardo Marquez introduced the renewing of the 2013 Channel Cities Sports<br />

calendar was brought up that we should include the costs of scorekeepers as well as<br />

the dates of our leagues.<br />

<strong>SCMAF</strong> INLAND VALLEYS – Kevin Callister, Moreno Valley<br />

General Membership Meeting<br />

Wednesday January 23 rd 2013<br />

City of Chino<br />

1. Concern over large amount owed by San Bernardino from T&F. *Official vote to<br />

remove Inland Valleys Flag Football tournament passed unanimously. Approval<br />

of a positive budget both for 2012 and projected for 2013.<br />

2. End of 12/31/12 balance is $9,388.78 – Concern was expressed over not<br />

receiving the <strong>SCMAF</strong> Rebate.<br />

3. IVMA Basketball Tournament will be held March 16-17 th<br />

4. Next <strong>meeting</strong>: March 6 th - Fontana Park Aquatic Center – 15610 Summit Ave.<br />

*With the removal of Inland Valleys Flag Football Tournament, we had a concern of<br />

the cost to participate in the <strong>SCMAF</strong> tournament. There is a substantial price<br />

difference in the two tournaments. As stated previously, we have a concern with<br />

regards to not receiving the <strong>SCMAF</strong> rebate that could possibly help offset the cost


for some of our Inland Valley Teams to attend the <strong>SCMAF</strong> tournament.<br />

STRATEGIC INIATIVES<br />

BAY AREA & SOUTHEAST MERGER – The Associations Bay Area and Southeast<br />

have voted to merge together into one Association. The new association’s name is now<br />

BASE. The <strong>SCMAF</strong> bylaws will have to be changed in order for this to be official but the<br />

merge is going forward in the mean time. The new BASE <strong>board</strong> consists of members<br />

from both the former Bay Area and Southeast Boards. The two associations held a<br />

social at KDB in Long Beach in December to announce the new <strong>board</strong> and Association<br />

name. The combining of the associations will give them more agencies to pool together<br />

recourses and put them on par with the bigger associations such as San Gabriel Valley<br />

and Inland Valleys.<br />

2013 GOALS AND OBJECTIVES - Kevin recently met with the <strong>SCMAF</strong> Office going<br />

over the goals and objectives for 2013. They will be presented at a future <strong>board</strong><br />

<strong>meeting</strong>. Some of the goals and objectives will be discussed at the Leadership Summit<br />

following the Board Meeting today.<br />

The following Association budgets were approved: Inland Valleys motion Mickey<br />

McKitrick, second Luis Salcedo; San Gabriel Valley Motion Lanny Binney, second Tim<br />

Grierson; Southern San Joaquin motion Frank Gonzales, second by Lanny Binney.<br />

INVESTMENTS – Kevin Ellis, Downey<br />

The Investment committee met via webinar December 13 th . Twenty thousand dollars<br />

were transferred from the Charles Schwab money market account to the BofA checking<br />

account due to low cash flow. The next Investment <strong>meeting</strong> to review the Charles<br />

Schwab 4 th Quarter is Thursday, February 7 th .<br />

YOUTH SPORTS COMMISSIONER- Nick Johnson, Fontana<br />

Reviewed the Flag Football Championships: A Division held in Pasadena, 14 teams<br />

won by Pasadena over San Marion with Downey taking 3 rd . The B Division held in<br />

Newport Beach won by Azusa over Blythe with Downey taking 3 rd . The C Division was<br />

held in Carson won by Pasadena over Burbank with Azusa taking 3 rd .<br />

Also was discussed the upcoming plans for a Skate Boarding Competition with several<br />

cities showing interest as well as Los Angeles County wanting to be a part of the event.<br />

ADULT SPORTS COMMISSIONER- Manuel Cantu, Santa Fe Springs<br />

Reviewed was the idea of putting together a Futsal Program under the umbrella of CAL<br />

SOUTH and <strong>SCMAF</strong> to present to Agencies. The Program may have two versions:<br />

1. Agency ran Futsal League with a <strong>SCMAF</strong> type packet for Agencies to use<br />

2. Contact a Futsal Group with tie/membership with CAL SOUTH and <strong>SCMAF</strong> to<br />

run the league for the Agencies.<br />

Further discussion would take place at the Soccer Nation Expo put on by CAL SOUTH<br />

on February 16 at the LA Convention Center.<br />

PROGRAMMING PARTNERS -<br />

LA County Parks and Recreation – The county <strong>full</strong>y supports <strong>SCMAF</strong>’s initiatives and<br />

will give support when needed.


Cal South Soccer – Soccer Nation at the Los Angeles Convention Center, February 16-<br />

17 th .<br />

<strong>SCMAF</strong> UNIVERSITY/MARKETING – Bill Bant, <strong>SCMAF</strong><br />

<strong>SCMAF</strong> University will be holding its first training of the year on Monday, February 25 in<br />

the City of Irvine. The workshop is “How to Run a Successful City Tennis Program”. Bill<br />

is waiting for the confirmation of the date for the Youth and Adult Sports Summit which<br />

will be held in Fontana. Bill strongly encourages the membership to contact him on<br />

suggestions for new trainings and workshops to be held this year. Also the new<br />

Facebook page is up and running and the <strong>SCMAF</strong> staff is looking for events to be<br />

posted on the new page. Events can be submitted via email to socialmedia@scmaf.org.<br />

Also the <strong>SCMAF</strong> staff is looking for any new ideas for the <strong>SCMAF</strong> Institute in Yorba<br />

Linda. The venue will be more flexible and cost friendly to try out new ideas,<br />

suggestions are welcome.<br />

NEW BUSINESS<br />

My Own Sports Agreement – Tim Ittner, <strong>SCMAF</strong><br />

The MOS agreement was presented to the <strong>board</strong>. <strong>SCMAF</strong> will help promote MOS<br />

League & Tournament software and receive a portion of individual and team<br />

registrations revenue. The Board approved the new agreement on a motion by Kim<br />

Freed and seconded by Tim Grierson.<br />
