SCMAF FINANCIAL REPORT AS OF June 30, 2011 Balance on hand in Checking Accounts $48,809.81 Balance of Investment Accounts 556,044.43 Other Assets 73,752,46 Total Combined Assets $678,606.70 The June 30, 2011 financial report was approved by the Board on a motion by Daniel Schneider and seconded by Dave Dill. The Charles Schwab June report and Bank account ending balances report was presented for review. . PRESIDENT’S REPORT Carlos Espinosa highlighted recent events and reviewed the SCMAF calendar for the coming months. He discussed in brief board objectives that are being executed, notably, the Association Incentive Program and the Field Renovation Grant Program. He thanked the efforts of the Track and Field Committee, SCMAF staff and volunteers for their hard work at the Track and Field Championships in June. Lastly, he encouraged board members to attend the SCMAF/SCTC Joint Membership Meeting on Thursday, July 28 at Dodger Stadium.

PRESIDENT’S REPORT<br />

Incentive Program and the Field Renovation Grant Program. He thanked the efforts of the Track<br />

and Field Committee, <strong>SCMAF</strong> staff and volunteers for their hard work at the Track and Field<br />

Championships in June. Lastly, he encouraged <strong>board</strong> members to attend the <strong>SCMAF</strong>/SCTC Joint<br />

Membership Meeting on Thursday, July 28 at Dodger Stadium.


ASSOCIATION REPORTS<br />

1. <strong>SCMAF</strong> BAY AREA – Sean Horton, Torrance<br />

Dave Dill presented the Bay Area report on behalf of Sean Horton. The Bay Area Treasury balance<br />

was $2,200.18.<br />

2. <strong>SCMAF</strong> CHANNEL CITIES – Katie Gallo, Malibu<br />

Held the 2 nd Annual Kevin Lukes Memorial Golf Tournament. 85 golfers competed. Raffles were<br />

drawn and Silent Auction items were bid on to help raise money for Kevin Lukes children who<br />

are finishing up college. The total Revenue and Expenses are not available at this time. Last<br />

year we raised almost $4000. This year it looks like it may be the same. We will meet again in<br />

September. Membership attendance at meetings is down.<br />

3. <strong>SCMAF</strong> INLAND VALLEYS – Hector Vasquez, Fontana<br />

Hector reported the association met June 22 at the Fontana Aquatics Center. Inland Valleys<br />

agencies interested in qualifying to the <strong>SCMAF</strong> Swimming finals can attend another association<br />

qualifier since Inland Valleys isn’t hosting a meet. Seventy five children participated in the Inland<br />

Valleys Pitch, Hit & Run sectional at the 66ers stadium. Other discussions included a presentation<br />

from the Los Angeles Clippers and how are agencies cutting cost on brochure mailing. The next<br />

meeting is August 24 th in Riverside.<br />

4. <strong>SCMAF</strong> ORANGE COUNTY – Mike Zozaya, Anaheim<br />

<strong>SCMAF</strong> – OC next Board meeting is scheduled for August 11 in Irvine. Preparations are underway<br />

for the Orange County Swim Meet taking place on Sunday, August 7 in Santa Ana.<br />

5. <strong>SCMAF</strong> SAN DIEGO COUNTY – Steve Scott, Chula Vista<br />

6. <strong>SCMAF</strong> SAN GABRIEL VALLEY – Roman Rodriguez, Temple City<br />

7. <strong>SCMAF</strong> SOUTHEAST Mark Flores, Lynwood<br />

Carlos Espinosa presented the Southeast report on behalf of Mark Flores. The Southeast Treasury<br />

balance is $5,067.35. The annual Dale Covington Memorial Golf Tournament was discussed in<br />

brief. Preparations are underway for the Southeast Swim Meet taking place on Saturday, July 30 at<br />

the Cerritos Olympic Swim and Fitness Center.<br />

8. <strong>SCMAF</strong> SOUTHERN SAN JOAQUIN – Brian Yackovich, North Bakersfield<br />

COMMITTEE REPORTS<br />

1. FINANCE – Daniel Schneider, Rancho Cucamonga<br />

Tim Ittner reported that the Finance committee met July 20 in Diamond Bar for the mid-year budget<br />

review. The actual closing numbers for 2010 were presented and the result was a profit of $17,924.<br />

The original estimate was $14,954.<br />

The 2011 budget year to date is proving to be a minor concern. The committee recommended mid<br />

year adjustments which would reduce revenue by $15,662 and expenditures by $8,413. The<br />

estimated profit at the end of 2011 is projected to be $1,250. Most notable is part time staff savings,<br />

a reduction in training revenue, unexpected expenditures for the voice mail system hard drive and IT<br />

support, a decrease in rule book sales and reduction of participants in accident protection. Tim<br />

presented a <strong>SCMAF</strong> activities insurance report showing the expense for insurance and the<br />

recommended fee for 2012. On a motion by Mike Zozaya and a second by Manuel Cantu the <strong>board</strong><br />

approved the total budget adjustments and insurance fee recommendations. Daniel Schneider<br />

thanked the <strong>SCMAF</strong> staff and the Finance Committee for their time and efforts on this year’s budget.<br />

3. TEAM REGISTRATION – Daniel Schneider, Rancho Cucamonga<br />

Dave Dill reviewed the 2nd Quarter reports as provided by <strong>SCMAF</strong> staff. Association Directors were<br />

asked to share the information at membership meetings. Each Association receives a rebate of<br />

12.5% of adult team registration to conduct programs within their association.<br />

4. .INSURANCE & MEDICAL BENEFITS –<br />

Tim Ittner reviewed the 2nd Quarter Accident Protection, PMBF, Recreation Insurance reports<br />

provided by the <strong>SCMAF</strong> office.<br />

5. NOMINATIONS – Executive Board<br />

Nominations are being sought for the 2012 Executive Board. Nominees will be presented to the<br />

Board at the September Board Meeting. Please submit your nomination to the <strong>SCMAF</strong> Office.

6. CITATION & AWARDS – Sherre’ Titus, Cerritos<br />

Sherre Titus presented the new guidelines and criteria to nominate a person or agency based on<br />

suggestions from the Citation and Awards Committee. The information was approved by the <strong>board</strong><br />

on a motion from Daniel Schneider and seconded by Hector Vasquez. The new nomination will be<br />

sent to the <strong>SCMAF</strong> office to be posted on the web site. This year’s Awards and Installation Banquet<br />

will be held at the Toyota Automobile Museum in Torrance on Thursday, November 10 th .<br />

7. TRAINING – David Deleon, La Habra<br />

A Field Allocation Roundtable held in June in La Habra was highly attended. Participants were able<br />

to discuss issues affecting their agency relating to user groups, policies, and sanctioning bodies.<br />

Another roundtable is being planned for the winter to take place in the Inland Empire, possibly in the<br />

City of Murrieta. School of Sports Management training is slated for September in the City of Santa<br />

Fe Springs.<br />

8. INSTITUTE – David Deleon, La Habra<br />

The 42nd Annual <strong>SCMAF</strong> Institute will be held on Wednesday, October 8 in Lakewood. The<br />

committee will be meeting via telephone conference call during the last week of July. Discussion<br />

items will include: keynote speaker and confirming the 15 educational sessions.<br />

The registration brochure for the Institute should be finished by next week and go out to the<br />

membership and other agencies.<br />

9. MARKETING – Bill Bant, <strong>SCMAF</strong><br />

President Carlos Espinosa thanked <strong>SCMAF</strong> staff’s efforts at maintaining the website. The website’s<br />

homepage currently features up-to-date programming updates, public education and advocacy<br />

elements, and prominent display of sponsor logos. Staff is gearing up for <strong>SCMAF</strong> Institute<br />

Marketing efforts.<br />

10. YOUTH SPORTS DEVELOPMENT – Kevin Ellis, Downey<br />

Davie Gillus reported that plenty of online coach’s training key codes are still available and they are<br />

still trying to get agencies to use them.<br />

11. SOFTBALL – Manuel Cantu, Santa Fe Springs<br />

Davie Gillus reported that the tournament series was developing slowly due to the early weather<br />

problems which caused four (4) tournaments to be cancelled. However, tournament participation is<br />

picking up, with the possibility of adding of a few new tournament sites.

12. TRACK & FIELD<br />

Davie Gillus and Dave Dill presented the evaluation report.<br />

The T&F Committee met to evaluate this year’s meet via Webinar. Highlighted were the<br />

improvements over last year which included preparation and more accurate times plus very few<br />

complaints during the meet.<br />

There were still some minor issues with a few races due to staging set up, but the problem was<br />

resolved in the meeting.<br />

Participation was down, which could stem from the following factors:<br />

•Last year’s problems<br />

•Change in personnel at the Agency levels, new staff not knowing about the meet<br />

•Budget constraints<br />

•Rain outs at the local city meets reduced the association qualifying numbers<br />

The <strong>SCMAF</strong> office held a phone conference with the Meet Management Director and received a lot<br />

of feed back to improve next year’s meet. Their main recommendation was to establish another<br />

method of getting Association Results to the Meet Manager with an outside service provider. Carlos<br />

thanked all the volunteers who assisted at the meet.<br />

13. SWIMMING<br />

The <strong>SCMAF</strong> Championships is scheduled for Saturday, August 13 at the La Mirada SPLASH! The<br />

first meeting is scheduled for July 21 st via webinar.<br />

14. OFFICIALS CERTIFICATION- Bill Smith, Colton<br />

The 2011 rule recommended change form has been sent out for agencies to submit changes for<br />

softball and adult basketball. The annual meeting is scheduled for August 25 in Rancho<br />

Cucamonga.<br />

15. SOCCER – Collum Mclaughlin, Irvine<br />

The city of Irvine hosted the annual Irvine 7 on 7 adult coed soccer classic with 16 teams divided<br />

into two divisions. Score Sports donated bags for the awards. Cal South will be conducting adult<br />

soccer tournaments in 2012 and a committee will meet next month.<br />

OLD BUSINESS<br />

Association Incentive Award: <strong>SCMAF</strong> will be awarding up to $1000.00 to any Association that<br />

puts together a “Super” Meeting to help promote the benefits of <strong>SCMAF</strong> and encourage agencies to<br />

attend Association Meetings. The Incentive packet has been sent to all the Association Boards. This<br />

award is sponsored by Major League Softball.<br />

Field Renovation Grant: <strong>SCMAF</strong> will be awarding two (2) baseball/softball grants to agencies that<br />

apply by September at the A&I Banquet. This is sponsored by Major League Softball. Applications<br />

can be sent online or mailed in. Bill has been going out to the agencies promoting the grant. The<br />

grant application can be found online on the main page of the <strong>SCMAF</strong> web site.<br />

Angels vs. Dodgers Social: All the people who attended the social in partnership with SCTC &<br />

CPRS District Ten had a good time. <strong>SCMAF</strong> purchased 50 tickets and didn’t sell all of them which<br />

caused <strong>SCMAF</strong> to lose money at the event. The <strong>board</strong> will reevaluate the event for next year.

Kevin McArdle, Director of City of Rancho Cucamonga will be giving a presentation on sponsorship<br />

and fundraising.<br />
