Interns will contribute to the following responsibilities/tasks and phases as the Hospitality/Operations intern. All of<br />
the below are different aspects of operations the intern may be involved in at Holiday Systems International.<br />
Please note that interns may or may not be involved in every piece of the below operations. Rather, during the<br />
application/hiring process an internship training plan will be determined between you and HSI that caters to the<br />
background, skills, interests, and experience of the applicant in addition to what is best for furthering the intern’s<br />
future career goals alongside the current needs and capacity of the operations team.<br />
ORIENTATION<br />
the Intern will be introduced to the company’s day-to-day operations in order to gain an understanding of all the<br />
companies systems and procedures. During this phase the Intern will become familiar with the businesses products and<br />
services while learning its vernacular.<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
- Orientation to introduce the Intern to the company, staff and general procedures.<br />
- Study company manuals, pricing, structure, and policies.<br />
- Assist with managing data and records.<br />
- Projects to familiarize the Intern with the company's computer systems and networks.<br />
- Review the company's website.<br />
- Projects in organization and management of the office<br />
CUSTOMER SERVICE TASKS<br />
Within these responsibilities the Intern will learn about the company’s customer service procedures, philosophies, and<br />
strategies. During this time the Intern will learn to evaluate the customer’s service satisfaction and understand the<br />
company’s customer correspondence methods. Throughout this phase the Intern will develop communication,<br />
negotiation, problem-solving and interpersonal skills.<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
- Assisting the department's staff with client inquiries, concerns and defusing negative situations.<br />
- Address all client correspondence and communication including emails, letters and phone calls.<br />

- Managing and updating the client database.<br />
- Conduct client satisfaction surveys.<br />
- Review, evaluate and make conclusions on the customer service satisfaction index.<br />
BUSINESS OPERATIONS DUTIES<br />
Within these responsibilities the intern will learn the inventory procedures of the company. Through this phase, the<br />
Intern will learn about cost control, overheard, and effective management of resources. The Intern will also learn about<br />
equipment maintenance, interoffice communication and basic accounting.<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
- Assist with inventory: assessing items, ordering, shipping, receiving and cataloguing.<br />
- Review and Evaluate the company's overhead, budgets, and cost control reports.<br />
- Assist with communication within the company: distributing memos, emails, and coordinating meetings.<br />
- Assist with maintaining proper and optimal use of equipment.<br />
- Activities in accounting: inputting information, processing checks, communicating with vendors, collections, reviewing<br />
and processing statements.<br />
MARKETING AND SALES<br />
Within these responsibilities the intern will learn the company’s marketing and sales strategies and procedures. The<br />
Intern will develop skills in sales and will become familiar with client demographics so that they can be incorporated<br />
into the marketing strategy. Throughout this phase the Intern will learn the sales process from start to finish.<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
- Attend all marketing and sales team meetings.<br />
- Assist with marketing events, materials, and planning.<br />
- Accompany staff on sales meetings: learn to make first-contact, speak to potential clients and close the deal.<br />
- Make presentations to clients (under close supervision).<br />
- Develop the client base: communication and correspondence.<br />
- Assist with advertising: contacting vendors, communicating with ad agencies and developing ideas for advertising the<br />
company's products and services.<br />
PRODUCT KNOWLEDGE AND MARKETING<br />
Introduction to HSI's products and marketing strategies<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
-The intern will give professional descriptions of our products to the members; they will assist with doing internal<br />
inquiries on each product<br />
-Review company brochures and product packages<br />
-Assist HSI technical department with research on HSI products and those of competing firms in order to provide an<br />
improved service for existing clients and to increase interest for new clients. The intern will assist the manager with<br />
researching competitor trends.<br />
-Assist with the development of company products/services in accordance with specific customer needs.<br />
-Participate in meeting and brainstorming with the marketing team to develop in-demand company products/services<br />
-The intern will assist with applying marketing campaigns and observe how the campaign promotes HSI products<br />
-Be familiarized with the client demographics and how to incorporate the information in developing a marketing<br />
strategy.<br />
COMMUNICATIONS TRAINING<br />
These responsibilities will train the intern in effective communication strategies and methods to be used in<br />
communicating with company employees and customers.<br />

-Perform and coordinate the office's administrative activities and storing, retrieving and integrating information for<br />
dissemination to staff and clients.<br />
MANAGEMENT TRAINING<br />

-Assist with managerial activities: leading meetings, communicating with staff and delegating assignments.<br />
-Personnel management: scheduling employees to maximize efficiency and reduce labor costs. Evaluating and<br />

-Review the company's budget and finances on a weekly basis<br />
-Develop strategies for expanding the company's services, optimizing efficiency and maximizing profits.<br />
BUSINESS TO BUSINESS TRAINING<br />
To train the intern in effective communication strategies and methods to be used in communicating with company<br />

.NET FRAMEWORK DEVELOPMENT<br />
These responsibilities will develop the Intern’s understanding of how the company’s website is structured and how it is<br />
integrated with the other systems within the company. The Intern will also develop web and IT maintenance<br />
understanding.<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
- The Intern will develop support and maintain software applications<br />
- The Intern will provide insightful and constructive input to overall technical architecture and direction<br />
- The Intern will help stakeholders to understand software requirements, and ensure applications are developed to<br />
meet the needs of the user<br />
- The Intern will plan, coordinate, and execute software unit testing<br />

SYSTEM ADMINISTRATION TASKS<br />
These responsibilities will develop the Intern’s understanding of how the company’s system administration is structured<br />
and how it is integrated with the company. The Intern will also develop system maintenance understanding.<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
- Intern will provide development/support for multi-language implementation of web services/sites.<br />
- Intern will assist in developing/managing project for product sourcing application<br />
- Intern will assist with development of PHP/API’s for e-commerce platform<br />
WEB PROGRAMMING<br />
These responsibilities will develop the Intern’s understanding of how to create new web tools and applications. The<br />
Intern will also develop an understanding of how to perform complete testing of Web applications’ unit and system.<br />
Specific Tasks and Activities to be Completed for this Program or for this Phase:<br />
- Maintain existing Web sites and collaborate with development team on best hosting practices.<br />
- Develop new Web tools and applications as identified by supervisor and management through packaged and<br />
customized applications.<br />
- Maintain company-wide Intranet, Continuing Education site, Portal side of ERP and Blogs allowing data manipulation<br />
for management.<br />
- Maintain and enhance existing Web applications and all internal systems that are integrated.<br />
-Perform complete testing job applications’ unit and system, engaging users as necessary<br />
